What do you like best about Apptivo?

As a Procurement & Sales Operation Coordinator for a regional dairy brand based out of Boston, my favorite part about Apptivo is how fully customizable and all-around flexible it is for our unique dairy supply and wholesale sales workflows. Most generic CRMs are built for standard retail sales, but our day-to-day involves farm supplier coordination, raw milk procurement, tiered wholesale pricing, batch product specs, and strict delivery window rules. Apptivo lets me build our entire operational setup from scratch to match our actual dairy business, no compromises required.

I handle all our vendor and partner data, and the bulk CSV import tool paired with fully custom fields has been a total game changer for our small team. We work with dozens of local Massachusetts dairy farms and retail wholesale partners across the Northeast. A few months ago, we onboarded eight new local farm suppliers for our seasonal raw material sourcing cycle. What do you dislike about Apptivo?

Apptivo is super flexible for custom record keeping, but its overall workflow stability and user experience create consistent friction for our dairy procurement and wholesale sales operations. As someone who manages farm supplier coordination, tiered wholesale pricing, and delivery scheduling for our regional dairy brand, I’ve run into multiple small but disruptive issues that slow our whole team down day-to-day.

My biggest frustration is inconsistent system lag and slow record loading. We store hundreds of active farm vendor profiles and wholesale partner accounts with custom contract fields, delivery rules, and batch product specs. Every time our team opens a supplier record to verify delivery windows or updated pricing terms, the page loads extremely slow. During our busy weekday order windows, this creates real downtime. Last week, our logistics team needed to confirm early-morning raw milk delivery limits for five local farms, and Apptivo’s delayed page loading held up our dispatch planning for nearly 20 minutes.

Another major downside is its confusing permission setup. We have a small team with distinct roles: sales, logistics, and operations. I’ve tried locking sensitive fields like farm negotiated pricing, seasonal contract terms, and exclusive wholesale discount tiers so only admin can edit them. But Apptivo’s role permissions overlap weirdly. Multiple times, regular team members were still able to view and edit restricted vendor pricing fields, even after I updated the access settings. On top of that, the auto-save function is unreliable. When I’m updating batch specifications, minimum order quantities, or seasonal supply terms for our farm partners, it frequently fails to save changes. I’ve had situations where I updated an entire set of supplier delivery rules, logged out, and returned the next day to find all edits reverted. What problems is Apptivo solving and how is that benefiting you?

Before we started using Apptivo, our procurement and sales operation work was scattered across endless spreadsheets, separate email threads, and saved contract PDFs. We work with a network of local dairy farms and wholesale retail partners around New England, and we had no single place to track supplier contracts, delivery windows, tiered pricing and product batch specs. Whenever our logistics or sales team needed to check a farm’s minimum supply requirement or a wholesale customer’s negotiated rate, they’d come find me to dig through files. It wasted everyone’s time, and it was easy for outdated information to slip through and cause miscommunication.

Apptivo hasn’t replaced every tool we use, and we still hit limits with its reporting. But it solved our biggest pain point: fragmented supplier and wholesale partner data.
