I’ve been using EngageBay for around 10 months at NovaTech Digital Solutions, and what I love most is how it bundles CRM, marketing automation and email campaigns all in one affordable package, perfect for our small 11–50 person SaaS team. We don’t have the budget to stack separate tools for CRM, email marketing and landing page builders, so having everything under one roof saves us a ton of time and extra subscription costs every month.
A real example I dealt with a few months back: we were running a lead gen campaign for our new SaaS onboarding tool. Previously, we used three different platforms. We captured leads on a landing page, manually copied contact info into our CRM, then set up separate email nurture sequences elsewhere. It was messy, and we often missed follow-ups or duplicated contacts. With EngageBay, I built the landing page directly inside the tool, set up form submissions to auto-populate new leads into our CRM contacts list instantly. I then created an automated workflow that sends a welcome email right after sign-up, followed by a case study email three days later, and a soft outreach task assigned to our sales team if the lead opens two or more emails.
This cut down our manual data entry work by hours every week. Before, I’d spend nearly four hours every Monday cleaning up contact lists and mapping lead data across different tools. Now that work almost disappears. The lead scoring feature also helps our small sales team focus on people that are genuinely interested. We set simple scoring rules: points for downloading our whitepaper, visiting our pricing page, or opening our demo invite emails. Our sales folks no longer waste time chasing low-quality cold leads.
Another thing I really appreciate is how straightforward the automation builder is. I’m a marketing specialist, not a developer. I can tweak workflows without asking our dev team for help. Last quarter, I quickly adjusted our customer lifecycle sequence for existing trial users, adding a reminder SMS alert before their trial expires. That small change helped us push up trial-to-paid conversions a little, which was a nice win for our team.
The only small downsides are occasional slow load times when we pull big contact reports, but it never stops our core marketing work. For a small software company trying to run end-to-end customer campaigns without overspending, EngageBay hits exactly what we need. It keeps our lead and customer data synced, simplifies our day-to-day campaign operations, and lets our lean team do much more with limited resources.

The contact management is one of the features I use regularly. I like being able to create both static lists and smart lists depending on what we are trying to manage. Smart lists are useful when we need contacts to be grouped automatically based on different conditions.
I also find the contact history very helpful. When I open a contact, I can see the previous activity and email conversations in one place. Before following up with someone, I can quickly check the earlier communication and get the context without having to search through old emails.

EngageBay is useful for keeping my recruitment activity organized throughout the day. I can update a contact after a conversation, check the latest activity, and come back to the same record when I need to follow up. I like not having to maintain a separate list just to remember where each conversation stands.
