EngageBay helps me keep my contacts and conversations organized throughout the day. I can quickly check a contact’s recent activity and see what has already been discussed before I follow up. Having all that information in one place saves me time and makes it easier to pick up conversations right where I left off.

What I like most about EngageBay is its all-in-one stack for CRM, marketing automation, and client project communication. It brings lead nurturing, client follow-ups, and stakeholder feedback tracking into one place for our boutique industrial design studio, Form Studio Works. Before adopting EngageBay, our lean 11–50 person team bounced between separate CRM software for prospect tracking, email tools for client check-ins, and shared cloud folders for storing design feedback and prototype approvals. With data spread across disconnected systems, we often missed follow-ups with prospective product clients and struggled to maintain a complete record of feedback threads tied to each design project.
The built-in CRM with custom project fields is the feature I rely on daily. I set up custom fields within each client record to track prototype revision counts, material selection preferences, and milestone deadlines for our industrial design work. When we onboard a new product client, I attach their project brief, reference images, and stakeholder contact details directly to their CRM profile. Last quarter, we took on a consumer hardware redesign project, and every client comment on 3D prototypes was captured on the same contact timeline. Having everything in one unified record saves roughly 6 hours each week that I used to spend hunting through scattered email threads and shared drives to piece together feedback history for our design team.
EngageBay’s email sequence automation is another major asset for our studio. I build segmented nurture sequences for prospective manufacturing clients who download our industrial design case studies from our website. The workflow automatically sends relevant project examples and booking links for discovery calls, and it flags high-intent leads when they open multiple emails or visit our portfolio page. This keeps outreach consistent in a way our small team couldn’t realistically maintain manually, and it frees our senior designers to focus on prototype development instead of chasing follow-up emails.
One unexpected benefit has been the native form builder that’s integrated with the CRM. We embedded custom intake forms on our website for new project inquiries, and we also use those same forms to collect structured client feedback after prototype reviews. When a potential client submits the intake form, their requirements, budget range, and timeline expectations automatically populate a new CRM contact and generate a task for me to review the submission. That removes manual copy-and-paste work that previously took up to 3 hours per week during busy proposal seasons. The form responses remain permanently linked to the client profile, so our design team can revisit the original project scope at any stage without digging through separate documents.
Because our studio doesn’t have dedicated in-house IT staff, EngageBay’s unified platform also reduces the overhead of managing multiple SaaS subscriptions and maintaining integrations between disjointed tools. We can quickly adjust user permissions for contract 3D artists, giving them limited access only to their assigned client feedback threads while keeping sensitive pricing information hidden. Overall, the platform ties lead generation, client communication, and project context into one space, helping our small design studio maintain consistent communication and keep stakeholder feedback organized through prototype iterations and final deliverable handoffs.
