What do you like best about headcount365?

Implementation only took about 4 weeks and our team was already using the platform on go-live day. Bulk imports and bulk updates were completed quickly and made onboarding fast, and pushing approved jobs from HC365 into Ashby is super easy. We also like the req tracking and activity feed, because it gives everyone much better visibility into hiring progress. There was some initial change management moving away from spreadsheets and getting managers aligned on the approval workflow, but adoption became smooth pretty quickly. What do you like best about headcount365?

HC365 helped us operationalize our workforce planning process very quickly. The implementation took 4 weeks and was fast, bulk imports/updates were completed quickly and saved a ton of time, and the Ashby integration makes opening approved roles seamless. The biggest value has been the visibility into req health, recruiter capacity, predictive hiring dates, and end to end req tracking. The implementation was 4 weeks and super quick! Clear visibility into the request and approval process. Prior processes required manual tracking and repeated follow-ups to understand status or ownership. Headcount365 centralizes this workflow so stakeholders can see exactly where a request sits and who is responsible at each stage. Date tracking exposes bottlenecks across the approval chain and makes it clear where intervention is required. The system also introduces controls around job titles, distinguishing standardized roles from newly introduced titles. Greater title granularity improves salary alignment and compensation accuracy tied to roles. What do you like best about headcount365?

Headcount365 has become the single source of truth for our hiring plan. As a growing startup, we were still building our systems, processes, and data architecture while trying to maintain data integrity for reporting. We constantly struggled with spreadsheet version control, changing hiring plans, and keeping Recruiting, HR, Finance, and leadership aligned on what we needed to hire, what was actively being recruited, and what had already been filled.

The implementation was incredibly fast, we were fully implemented in just three weeks. It was an easy implementation that required very little change management, and our teams adopted it almost immediately. Beyond configuring the platform, the Headcount365 team acted like an extension of our own team, helping us design our recruiting operations, HR systems, and reporting strategy. It genuinely felt like having an embedded Recruiting Operations, HR Operations, and People Analytics expert supporting us throughout the process.

The seamless integrations with our ATS and HR systems have eliminated spreadsheets, reduced manual work, and created reliable data across our hiring process. We now have real-time visibility into hiring progress, approval workflows, recruiter and finance alignment, and headcount transparency, allowing leadership to make faster, data-driven decisions with confidence. There honestly isn't much to dislike. We realized value almost immediately after implementation, and the platform has continued to evolve with new functionality. The combination of an intuitive UI, responsive customer support, and ongoing product improvements has made our hiring operations significantly more efficient. What do you like best about headcount365?

I like the ease of the system in headcount365, specifically for adding requests, managing existing data, and reporting. I also appreciate that it easily connects to Ashby, allowing for a seamless transition and management of headcount and recruiting. Having the ability to add different personas as users makes it easy for HRBPs, CHROs, Recruiters, and People Ops to use the tool. The headcount dashboard is a great place for a one-stop view of where we are as an organization. It gives an overview of how many exits and incoming requests we have, as well as how many roles we are actively recruiting for. What do you dislike about headcount365?

Even more seamless integration to things like Ashby, Slack, Claude. When I, as an HRBP, enter a new request for opening an HC (backfill or new), it still requires some manual steps to send to Ashby, even after my approver has approved. I also wonder if there could be reminders in Slack when different actions are needed for things like approvals. With Claude, just to be able to build even more data artifacts. What do you like best about headcount365?

The implementation was exceptionally well run from kickoff through go-live (Tom was the very best implementation specialist!). The kickoff and project plan were far more detailed and robust than what I’ve experienced with comparable vendors. This is the level of rigor that is typically promised but rarely delivered. The approach was consultative, not transactional. Headcount365 didn’t just configure the system; they actively advised on how headcount should operate across the full Recruiting, HR, and Finance tech stack now that systems are integrated. Tom’s background in Recruiting Operations, HR Operations, and FP&A materially improved the implementation. He understood how recruiting actually consumes and produces data, anticipated downstream impacts, and provided recommendations that would not come from someone without hands-on functional experience. The white-glove implementation allowed my team to stay focused on day-to-day recruiting while most of the configuration work was handled for us. We have some requirements for our annual planning process that aren't yet available in headcount365; however it's on their roadmap and based on how quickly headcount365 was able to build some custom features for us during our implementation, I'm confident that it will not hold us back during our next annual planning process. "Headcount365 has transformed the way our HR Business Partners and Finance teams collaborate. For the first time, we have a single source of truth where budget stakeholders and business owners can access meaningful headcount and budget data in real time — something spreadsheets simply couldn't deliver.

The tool has brought real proactivity to our hiring process. We're now able to get ahead of our plan by prompting business leaders on forecasted hiring needs earlier, collecting job descriptions sooner, and aligning on compensation levels in advance — all of which has helped us stay on track with our hiring plan dates.

The approval workflow functionality has been a game changer as well. Workflows are now consistent, transparent, and fully tracked, eliminating the back-and-forth that came with managing this across disconnected tools.

Finally, the integrations with our HRIS and ATS have been incredibly valuable — data accuracy has improved significantly and the number of manual field inputs per request has been reduced, saving our team meaningful time and reducing the risk of errors.

As with any new tool, there were some bumps during the early stages of adoption. Getting users comfortable with a new workflow and moving away from the familiarity of spreadsheets always comes with a learning curve. However, what stood out was how responsive the Headcount365 team was throughout the process. Any issues or questions we raised were addressed quickly, and it was clear they were invested in our success. For a newer product, that level of support and partnership goes a long way. There are some feature requests we would love around auto populating fields based on things like a comp table or matrix. While not available currently, it is on their roadmap and we are excited to get those features released. Bugs do arise and the team is quick to resolve them.
