# How do teams keep a growing Notion workspace consistent when everyone organises pages differently?

I'm putting together notes on how teams keep a growing Notion workspace consistent when everyone organises pages their own way. The answer most teams land on is deciding the structure, and who owns it, before the workspace grows: a more opinionated setup with clear governance, templates for recurring page types, and a convention for where new pages go. The consistency drift described in G2 reviews appears in large teams rather than small ones.

There seem to be two kinds of team using it, with different needs. A small team benefits from the flexibility as it stands, since linked pages, nesting and the drag-and-drop layout let the workspace follow how they already think. A large team gets the same flexibility, and for them it's what makes a governance decision necessary. In a knowledge base, that makes Notion a strong fit for teams willing to agree a convention, because the tool will hold whatever structure they choose.

Two approaches keep coming up, and I'm curious which held up for you:

A shallow hierarchy with search doing most of the finding

A landing page or index that does the navigating, so depth stops mattering

What did you change after watching a new joiner try to find something? And who on your team owns the structure now?

Curious if anyone gives each team its own landing page that links into one shared index. Seems like it could keep things consistent without one person owning everything.
