# How do Google Workspace teams keep Drive permissions and ownership tidy as shared files grow?

I've been researching how Google Workspace teams keep Drive permissions and ownership tidy as shared files grow, including who owns a file once its creator moves on. The answer across recent G2 reviews is a few policies agreed early: naming conventions, a folder structure, permission rules and restricted access where it's needed. With those in place, Drive does what people value most, tight integration with Gmail, Meet and Docs and automatic saving that ends version conflicts, and the clutter that can build in complex processes with many files and participants stays manageable.

In office suites, the policies seem to matter most in three places:

Files shared with people outside the company

Projects with many contributors over a long period

Files owned by someone leaving the team

Easy sharing is what makes Drive quick to collaborate in, and a folder structure set up front keeps that ease as the organisation grows.

Which of these has your team planned for? And who owns the Drive structure in your organisation?

How do people handle files owned by someone who's leaving? Transfer ownership as part of offboarding, or move everything into a shared folder first?
