What do you like best about ZestNexus?

What I love most about ZestNexus is its all-in-one customizable HR and recruitment structure that perfectly fits our multi-client HR consulting workflow at our 11–50-person Hamburg team. Before we switched from Volunteer Ledger and messy Excel tracking, our entire candidate management system was totally fragmented, and we constantly ran into risky cross-client mix-ups. Back when we only used spreadsheets, I once handled simultaneous recruitment projects for a local Hamburg manufacturing client and a healthcare clinic client. My junior teammate sorted all shortlisted candidates in one shared sheet without segmented tags. We almost sent manufacturing job nurture emails to healthcare applicants, which would have caused serious client complaints and damaged our agency credibility. After moving to ZestNexus, I can build fully custom recruitment pipelines, exclusive client tags, and tailored onboarding stages for every single client independently—no developer support needed at all. I personally set up separate pipeline statuses for industrial roles, medical staff roles, and administrative positions, so candidate data from different clients never overlaps. Every team member can update interview notes, screening results and candidate feedback on the shared profile in real time. This completely fixes the old problem where key applicant context was locked in one person’s private files, especially when teammates took leave or rotated client projects. I also rely heavily on its multi-condition filtering feature for my daily outreach work with EngageBay. I can combine multiple filters like “German-speaking candidate”, “phone screen passed”, and “active job seeker” to pull ultra-precise audience segments in seconds. This replaces hours of manual spreadsheet sorting every week. For our small HR consulting team with no dedicated system admin, ZestNexus’s flexible no-code customization stabilizes our multi-client recruitment work, eliminates human error, and makes our entire candidate nurturing and hiring workflow far more organized and reliable. What do you dislike about ZestNexus?

The biggest downsides of ZestNexus all create repetitive manual work and avoidable errors in our daily multi-client HR workflows, especially when paired with our core tools EngageBay and DRACOON. First, its built-in email functions are far too basic for professional German candidate outreach. It only supports simple internal team reminders, with no editable formal templates for rejection letters, onboarding welcome sequences, or talent nurture campaigns. Last month, I needed to send standardized onboarding emails for a Hamburg logistics client’s new hires. I had no way to preview German umlaut display or check spam scores inside ZestNexus, so I had to fully export the new hire list and rebuild every email template from scratch in EngageBay, wasting tons of repetitive work. Worse, there is zero native sync between ZestNexus and EngageBay. All candidate segment transfers rely on manual CSV exports and uploads. During a high-volume talent re-engagement campaign two weeks ago, I exported over 600 candidate records, and dozens of German surnames and company names had corrupted umlaut characters. I almost uploaded the broken file to EngageBay, and I had to spend nearly an hour manually cleaning and correcting every garbled entry to avoid sending incorrect outreach. We also use DRACOON for GDPR-compliant candidate resume and contract storage, but ZestNexus has no automated document linking. I have to manually copy and paste DRACOON file links into each candidate’s profile. Two months ago, we moved a batch of client resume folders inside DRACOON, and all pasted links in ZestNexus broke. I had to recheck hundreds of candidate profiles one by one to repair links. On top of that, advanced workflow menus are English-only, which confused our new junior HR staff during pipeline setup, slowing down our team onboarding significantly.
