What do you like best about When I Work?

I like how easy When I Work makes it to manage a large staff team in one place. Being able to build schedules, see staff availability, post open shifts, manage shift drops, and communicate schedule changes saves a lot of time. I also really like that staff can pick up available shifts themselves, especially when we have last-minute openings or extra shifts available. Having different schedules for different seasons and programs is also very helpful for our organization. Review collected by and hosted on G2.com.

What do you dislike about When I Work?

With a large staff, some parts of When I Work can become cumbersome. Making changes to recurring schedules or large numbers of shifts can take more steps than I would like, and it is not always easy to quickly compare the published schedule against our master schedule or identify conflicts.

I would also like better tools for tracking staff qualifications and restricting open shifts based on certifications or training. We manage many different class types, and not every coach is qualified to pick up every shift.

The shift-drop process can also be confusing for younger staff. Sometimes they think that requesting or offering a shift means they are no longer responsible for it, so clearer messaging around whether a shift has actually been covered would be helpful. Review collected by and hosted on G2.com.

What problems is When I Work solving and how is that benefiting you?

When I Work helps us manage scheduling and communication for a large staff with many different roles, programs, availability restrictions, and changing schedules. It gives staff one place to see their shifts, submit availability and time-off requests, pick up open shifts, and manage shift coverage.

For management, it makes it much easier to organize schedules across recreational classes, camps, birthday parties, events, supervisors, coaches, and CITs without relying on individual emails or messages. It also gives staff more responsibility for checking their schedules and finding coverage when needed.

Overall, it saves us a significant amount of administrative time, improves communication, and makes last-minute staffing changes much easier to manage. Review collected by and hosted on G2.com.
