## Whatfix Reviews
 ### 1. Enhancing User Experience with Interactive Guidance and Insights via Whatfix

**Rating:** 4.5/5.0 stars

**Reviewed by:** Sajal P. | Senior sales enablement consultant, Information Technology and Services, Enterprise (> 1000 emp.)

**Reviewed Date:** September 16, 2025

**What do you like best about Whatfix?**

I really like how Tasklists and Flows help us train our stakeholders in a structured and scalable way. Tasklists give users a path to follow with step-by-step instructions on what to do. Flows are like a guide that shows them how to do things in time right inside the application. This means we do not have to rely much on traditional training methods and our onboarding process is more hands-on and efficient.
Using Tasklists and Flows together helps our users learn faster feel more confident and do things the way across all teams.
What I like best about Whatfix is that it is easy to create guidance for our users without needing to know how to code. I like features like Flows, Pop-ups, Beacons and Smart Tips because they help us assist our users in a way that makes sense for what they're doing. Whatfix is easy to use and flexible so we can customize the experience for our users based on how they behave. I also like the tools that help us see how users interact with the platform because they give us ideas, for how to make things better.

**What do you dislike about Whatfix?**

One area where Whatfix can improve is in organizing content and managing its lifecycle especially as people use it. When dealing with Tasklists, Flows and Widgets across various applications or teams it gets hard to keep things structured prevent duplication and make sure old content is removed properly.
Some improvements in managing content in bulk controlling versions and categorizing or tagging better would make it easier to handle content when it grows and make governance better.
The user interface can feel a bit much at times especially when managing many Flows or Widgets. Some advanced customizations need support or workarounds which can delay creating content. Also Whatfix should be more flexible in the survey and quiz module as we try to get more in-app feedback.

**What problems is Whatfix solving and how is that benefiting you?**

Whatfix is helping us address several key challenges — primarily around user onboarding, adoption, and engagement on our MyCapgemini platform. By using interactive elements like Flows, Pop-ups, Beacons, and Smart Tips, we’re able to guide users contextually, reduce the learning curve, and ensure a smoother onboarding experience. This has directly contributed to increased user adoption and reduced dependency on traditional training or support.
In addition, Whatfix’s analytics and user journey mapping capabilities provide deep insights into how users interact with the platform. This allows us to identify friction points, optimize the user experience, and make data-driven decisions to continuously improve the platform’s usability and effectiveness.

 ### 2. Easy In-App Guidance with Smooth Integration and Outstanding Support

**Rating:** 4.5/5.0 stars

**Reviewed by:** Sireesha D. | Intermediate Technical Writer, Small-Business (50 or fewer emp.)

**Reviewed Date:** June 26, 2026

**What do you like best about Whatfix?**

What I like most about Whatfix is how easy it is to create, manage, and maintain in-app guidance and content. The integration with our application went smoothly, which made onboarding simple and straightforward. Just as importantly, their Customer Success team has been outstanding—they’re consistently available when we need support and have been a strong partner throughout our journey. Overall, the feedback from our teams has been very positive.

**What do you dislike about Whatfix?**

I don’t have any major concerns. If I were to suggest one improvement, it would be to streamline the authoring experience further by reducing overlap across similar guidance formats such as flows, help articles, and videos, or by offering clearer recommendations on when each format should be used.

**What problems is Whatfix solving and how is that benefiting you?**

Whatfix has simplified user adoption by providing contextual, in-app guidance that reduces the need for instructor-led training and ongoing support. Our end users can now easily access help content, videos, and feature updates directly within the application, which has improved onboarding while saving our team significant time and effort.

 ### 3. AI Quick Capture and Summaries Help Us Create Content Faster and Save Time

**Rating:** 4.5/5.0 stars

**Reviewed by:** Kate S. | Senior Product Manager, Enterprise (> 1000 emp.)

**Reviewed Date:** March 25, 2026

**What do you like best about Whatfix?**

The advantages of the builder tool are especially important for an organization as large and complex as Storage. The AI Quick Capture process has expanded the number of internal employees who can create content quickly.

The AI Quick Read summary has also been impactful for our end users. When the summary is available, which is about 90% of the time right now, users are saving an average of 10 minutes per question. With 6,500 employees, that time adds up fast and helps people complete other tasks while also being available for our customers in the moment.

The migration process was handled very well, and the team was highly competent, even when working through challenging lower-environment problems.

**What do you dislike about Whatfix?**

The software update process felt a little nebulous the first time around, since it wasn’t included as part of the structured training.

Role Tag behavior and troubleshooting could also be better defined in the Content. The functionality is outlined, but there isn’t much guidance around real-world use cases. For example, when you create a role tag, all content must have a role tag to be visible at all. That part was explained clearly during the process with my rep. What caused some confusion was the Help Menu configuration needed to make sure the content displayed the way I intended.

All of this information is available, and the support teams were very prompt and helped me resolve it. Still, adding a few use-case scenarios, especially showing the outcome of certain actions, would likely help future users avoid the same confusion.

**What problems is Whatfix solving and how is that benefiting you?**

WhatFix lets us reach our entire store-employee base right away through banner notifications and pop-ups. Building content with our previous DAP was cumbersome, but the AI quick capture tool has changed the level of effort required to create and maintain content. The dynamic context in the Help Menu search results smooths out the user experience and helps get answers to employees faster. Role Tags also enable segmented content for new user groups as we move forward.

 ### 4. Helpful Support, But the UI Makes Content Building Difficult

**Rating:** 2.5/5.0 stars

**Reviewed by:** Verified User in Consumer Goods | Enterprise (> 1000 emp.)

**Reviewed Date:** June 26, 2026

**What do you like best about Whatfix?**

Very responsive and helpful support & customer success staff.

**What do you dislike about Whatfix?**

The UI makes it difficult to build content. E.g. it is still not possible for us to drag elements around on a pop-up smoothly - if something goes wrong we often have to start over. I also don't like that you have to edit the CSS & HTML to apply things like custom fonts, rounded corners, etc. I feel there should be more styling options native to the application instead of "hacking" it on the backend.

**What problems is Whatfix solving and how is that benefiting you?**

It helps us communicate quickly with users, reaching them in context where they already are instead of emails which drown in an inbox. This is especially helpful if we need users to take action.

 ### 5. Flexible Custom Flows and Widgets with Excellent CSM Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Maria Anastasia T. | Head of Capabilities Platform, Mid-Market (51-1000 emp.)

**Reviewed Date:** June 17, 2026

**What do you like best about Whatfix?**

I really value the flexibility the tool gives us to customise our flows and widgets. I also appreciate the support and guidance we receive from the CSM assigned to us.

**What do you dislike about Whatfix?**

I’m not really fond of the issues we run into while building things.

**What problems is Whatfix solving and how is that benefiting you?**

WhatFix helps us support how people use our platform. Because our platform is complicated, our customers often find it difficult to navigate, and WhatFix makes it easier for them to get around and use it more effectively.

 ### 6. Outstanding Tool with Exceptional Support

**Rating:** 5.0/5.0 stars

**Reviewed by:** Ani C. | Change & Transformation Management Consultant, Enterprise (> 1000 emp.)

**Reviewed Date:** April 09, 2026

**What do you like best about Whatfix?**

I like that Whatfix provides help to users where they need it, and it offers real user usage data to leaders and change teams to improve the system. Customer service is top tier, and Mirror is an amazing tool for early adoption. During UAT, it's become increasingly valuable for our SMEs and Change Champions. The team's willingness to truly partner with us and being SCORM compliant are fantastic. The initial setup was easy for the most part because the Whatfix team helped us throughout building the system for go live.

**What do you dislike about Whatfix?**

It would be great for them to partner with software companies to get their training manuals to simplify onboarding, like partnering with IBM. With regard to uploading materials, having a base of help materials from the software vendor so the client's team is just updating customized workflows.

**What problems is Whatfix solving and how is that benefiting you?**

Whatfix provides help to users where they need it and gives real user usage data to leaders and change teams, improving the system.

 ### 7. Intuitive In-App Magic That’s Powerful for Users but Demands Real Work Behind the Scenes

**Rating:** 5.0/5.0 stars

**Reviewed by:** Vasant C. | Enterprise (> 1000 emp.)

**Reviewed Date:** April 09, 2026

**What do you like best about Whatfix?**

What I like best about Whatfix is its smart in-app guidance that turns complex enterprise software into something that feels effortless and intuitive for every user. Instead of forcing people to hunt through manuals or watch long training videos, it delivers real-time, step-by-step walkthroughs, tooltips, and interactive prompts right inside the application itself. This means faster onboarding, fewer support tickets, and happier teams who can actually focus on their work rather than struggling with the tools.

**What do you dislike about Whatfix?**

One thing I dislike about Whatfix is its relatively steep learning curve and ongoing maintenance demands for content creators, even though it's marketed as no-code. Building out comprehensive flows, smart tips, and self-help widgets can feel time-consuming and complex at first—especially when mapping them to dynamic enterprise apps that update frequently, causing guides to break and require manual fixes. The analytics dashboard also feels a bit limited and not as intuitive or deeply insightful as it could be for spotting user friction quickly, and some users report occasional glitches with flow stability or triggering. On top of that, the opaque pricing and implementation timeline can make it less approachable for smaller teams or faster-moving organizations. Overall, it shines once everything is set up, but the upfront effort and upkeep aren't as effortless as the end-user experience it delivers.

**What problems is Whatfix solving and how is that benefiting you?**

Whatfix is solving some of the toughest digital transformation hurdles we tackle every day at Genpact—specifically the massive gap between rolling out powerful enterprise applications and getting global teams to actually adopt, master, and drive real value from them. Our clients (and our own internal operations) often deal with complex systems like SAP, Salesforce, custom BPM platforms, or AI-enabled tools where users get overwhelmed, leading to slow onboarding, high error rates, endless support tickets, underutilized software investments, and delayed ROI on multimillion-dollar tech initiatives. Whatfix’s AI-powered in-app guidance, interactive flows, smart tips, and contextual self-help widgets eliminate that friction by delivering step-by-step help exactly where and when it’s needed—right inside the application itself—without forcing people into separate training portals, lengthy videos, or IT help desks.

 ### 8. Smart Tips and Pop Ups used LME Review eLIMS

**Rating:** 4.0/5.0 stars

**Reviewed by:** Wesley B. | Senior QC analyst, Enterprise (> 1000 emp.)

**Reviewed Date:** March 26, 2024

**What do you like best about Whatfix?**

Most helpful is the amount of self help and training videos there is on the the What Fix website.

**What do you dislike about Whatfix?**

Sometimes the customer service can be slow to reach someone. Also it takes some time before the flows actully update from "Draft" stage to "ready" stage.

**What problems is Whatfix solving and how is that benefiting you?**

It is solving the problem of having to train multiple people at a the same time. Using flows, pop ups and smart tips, users can understand how to use an application better and be guided through a system without feeling overwhelmed. Its also simple to use and allow for content creators to use their creativity wiithin an app that they know how to use.

**Official Response from Gayatri Karthy:**

> We appreciate your positive feedback about our self-help and training videos. We understand your concerns about customer service response times and flow updates. We are actively working to address these issues and improve the overall user experience!

 ### 9. Empowers Adobe Workfront with Ease and Efficiency

**Rating:** 5.0/5.0 stars

**Reviewed by:** Bill P. | Enterprise (> 1000 emp.)

**Reviewed Date:** August 08, 2023

**What do you like best about Whatfix?**

I use Whatfix to enhance the capabilities of Adobe Workfront, and it makes the product easier to use for both beginner and experienced users. I like that Whatfix is easy to use and provides several means of communication to help enhance the use of Adobe Workfront. It helps by providing self-help for users to watch videos, access project management documentation, run automated process flows, and request changes with just a few clicks. Once the initial setup is done, it is effective and very useful for the end users.

**What do you dislike about Whatfix?**

The administration of the product is hard to learn at the beginning but once it has been mastered it is a very useful and effective tool. The initial setup took some time because of all the useful features of the tool, however once the setup is done, it is effective and very useful for the end users.

**What problems is Whatfix solving and how is that benefiting you?**

I use Whatfix to make Adobe Workfront easier for all users, enhancing its use with self-help options and automating processes. It's easy to use and offers various communication methods to support users effectively.

 ### 10. Empowering UI Teams, Superb Support

**Rating:** 4.0/5.0 stars

**Reviewed by:** Verified User | Mid-Market (51-1000 emp.)

**Reviewed Date:** July 01, 2026

**What do you like best about Whatfix?**

I appreciate how Whatfix empowers the UI/UX team to improve the user experience without putting too much effort on the development team. It allows the UI/UX team to take the driver's seat in adding bits and pieces to enhance the application. I also found the initial setup to be fairly easy, thanks to their customer success team.

**What do you dislike about Whatfix?**

I think their help center is very well thought of, but it can be improved. Like, navigating through the videos or the articles was a little bit difficult for me to get quick answers, but their support team is amazing, so that solved it for me.

**What problems is Whatfix solving and how is that benefiting you?**

I use Whatfix to create flows that guide users in updating their information and adding smart tips to dashboards, improving overall user experience. It empowers the UI/UX team by reducing development effort, allowing focus on major tasks and enhancing application quality.
