"Indispensable Auto-Scheduling Hub for Audit and Month-End Close"
4.5/5
What do you like best about TimeHero?

What I like most about TimeHero is how it auto-schedules and dynamically re-prioritizes our audit and month-end close task stack. For a small accounting firm like ours, with no dedicated IT staff, that capability has become indispensable. Before adopting TimeHero, we tracked audit workpaper deadlines, vendor reconciliations, and SOX control documentation in a messy patchwork of shared Excel spreadsheets. Any time an external CPA pushed back a fieldwork date or a client’s ledger reconciliation took longer than expected, I had to manually rebuild the entire timeline, email everyone to reset priorities, and cross-check dozens of spreadsheet cells to make sure nothing slipped through the cracks. That routine regularly ate up 4–5 hours of my week, right in the middle of our tight month-end close window.

TimeHero’s auto-planning feature completely changed that workflow. I enter our recurring and one-off audit tasks, set hard deadlines tied to SOX reporting and CPA audit milestones, and assign owners directly in the platform. For each client audit cycle, I build task groups that mirror how we actually work: one bucket for AP/AR reconciliation checklists, another for evidence document collection, and a separate set for final workpaper assembly. When something runs over its estimate—like when a client provides incomplete bank statements and vendor reconciliation gets delayed—TimeHero automatically shifts the downstream tasks on the timeline. It alerts both the assigned accountant and me right away, which helps us spot bottlenecks days before they threaten audit submission dates. As a result, we’re no longer spending hours manually rearranging task lists.

I also rely on the drag-and-drop task builder every day. If the external audit team makes a last-minute evidence request, I can quickly drop the new task into the existing project timeline, adjust dependencies, and confirm it won’t conflict with our month-end close deliverables. That straightforward interface saves me multiple hours each week compared with maintaining complex spreadsheet Gantt charts. The granular permission settings are equally important for client data security: I can give external CPAs view-only access to specific audit task progress without exposing sensitive client general ledger records or internal financial notes. We can also share task status updates inside the tool instead of managing long email threads with attached checklists.

One unexpected benefit I noticed after several months is the workload forecasting dashboard. It gives me a clear view of each team member’s allocated hours across all active client audits and month-end jobs. In the past, I often realized we were overloading someone only after they missed a minor reconciliation deadline. Now I can look ahead 3–4 weeks and rebalance work proactively. For example, last quarter the dashboard flagged that one team member was assigned three overlapping SOX documentation projects, so I shifted part of the workpaper prep to another colleague before burnout or delays set in.

TimeHero doesn’t replace our core accounting SaaS tools, but it does tie our fragmented audit and close workflows together. For our lean 11–50 person team, it removes the manual scheduling overhead we used to struggle with, keeps audit cycles on track, and helps protect both our deadlines and our capacity. At this point, it’s become the central hub we rely on to coordinate every client audit and month-end close cycle. Review collected by and hosted on G2.com.

What do you dislike about TimeHero?

What I dislike most about TimeHero is its overzealous auto-scheduling engine, which can sometimes override our carefully defined audit workflows and create extra manual cleanup work for our lean 11–50 person accounting team. Since we do not have an in-house IT resource, any unexpected scheduling adjustments force me to pause month-end close or SOX documentation work to reset task dependencies. TimeHero’s algorithm prioritizes available team bandwidth above the strict sequential audit rules we follow. For example, I set a task dependency that external CPA evidence review can only start after we fully complete AP-AR reconciliation and package supporting ledger documents. Occasionally, the auto-scheduler will move the CPA evidence task forward early if the assigned accountant has free calendar space, ignoring the prerequisite task status. Last month this happened on a client audit engagement; the system alerted our staff to begin evidence collection before we had finalized vendor reconciliation. I spent close to three hours rolling back the timeline, re-locking task dependencies, and messaging both my team and the external auditors to correct the misalignment, putting us slightly behind on our audit workpaper submission target.

The limited native integrations with our core accounting SaaS stack is another persistent pain point. TimeHero does not connect directly to our general ledger platform or our audit evidence document management software. We rely entirely on Zapier middleware to push task status updates between tools, and the sync occasionally drops status changes without warning. During one month-end close cycle, a “completed” bank reconciliation task in our GL platform never updated inside TimeHero. The platform continued scheduling downstream tasks as overdue, generating repeated automated reminder notifications to the team. I had to manually cross-reference task completion status across two separate systems every few days, adding roughly two hours of validation work each audit cycle. For a small team juggling multiple client audits simultaneously, this manual cross-checking erodes much of the time-saving value we get from its scheduling features.

The custom reporting module also falls short for accounting and audit compliance use cases. While TimeHero can generate basic task completion reports, it lacks configurable filters to pull SOX-ready audit trail summaries. When external CPAs request a log showing who edited audit tasks, timestamps of status changes, and review sign-off history, TimeHero’s default exports cannot produce this formatted output. I need to export raw CSV data and rebuild the audit trail manually in Excel, formatting columns and redacting sensitive client GL data before sharing. This extra step takes 2 to 3 hours for every full audit project.

An unexpected downside we uncovered after several months is the restrictive mobile experience. Our team often reviews task status while visiting client sites or taking calls with external auditors, but the mobile view hides dependency controls and permission settings. If an accountant needs to adjust a task deadline remotely, they cannot make the change on their phone and must wait until they return to a desktop. This created delays during a recent urgent client audit request, when a team member was on-site and could not update a workpaper deadline until they were back in the office.

TimeHero’s auto-planning is powerful for simple task tracking, but its rigid automation behavior, weak native accounting integrations, limited compliance reporting, and thin mobile functionality create recurring manual work that our small team can ill afford during packed month-end and audit windows. It works well as a task scheduler, but it cannot fully align with the strict sequential control and audit evidence requirements that define our daily accounting operations.
