I’m Haven Keeler, Mid-Market Sales Operations & CRM Administration Specialist at Tampa Industrial Solutions Group LLC, a US mid-market industrial equipment reseller in Florida. I manage our Claritysoft CRM environment, build sales pipelines, clean contact records, and use TimeHero to schedule CRM admin tasks, sales rep training sessions, data deduplication work, and compliance audit prep. I track task activity to keep our client contact records aligned with CCPA privacy standards for our B2B industrial sales team.
My favorite feature is TimeHero’s auto-scheduling engine paired with its centralized profile and team settings panel, which cuts roughly 6 hours each week I used to spend manually juggling CRM maintenance tasks, training slots and audit deadlines across our sales team. The settings tab groups profile details, working hours, notifications and team permissions all in one place, so I can quickly configure each sales rep’s profile, set their correct timezone and adjust notification rules without switching between separate tools. I assign recurring tasks like weekly duplicate contact cleanup, monthly Claritysoft pipeline health checks, and quarterly CCPA audit log reviews, and TimeHero automatically slots those tasks around our sales team’s customer calls and existing commitments. This automated workload planning eliminates the messy manual calendar juggling I used to do in Outlook.
The integrations functionality is what makes it fit our sales ops workflow. I connect TimeHero to Claritysoft using Zapier, so completed task logs sync back into our CRM activity records. When a rep finishes a follow-up call or I wrap up a contact deduplication project, that task status feeds directly into our CRM activity history. I also link it with Microsoft Outlook so meeting bookings automatically block time in TimeHero’s schedule, preventing our sales reps from being assigned admin tasks during active client demo windows. The role-based access controls let me restrict edit permissions for our junior sales team; reps can view their assigned tasks but cannot modify recurring admin workflows that I set up for CRM hygiene and compliance.
An unexpected benefit I’ve discovered is how much easier it becomes to prove work activity for our internal audits. Every CRM cleanup, data review and sales training session is logged with timestamps inside TimeHero. Last quarter, I needed to prepare evidence for our CCPA data review, and I pulled task history showing when we removed duplicate client PII and updated contact sharing permissions. I could quickly demonstrate our regular data governance cadence without digging through scattered spreadsheets. It also helps me spot bottlenecks; I can see when reps are overloaded with client calls and delay non-urgent CRM cleanup work so pipeline quality does not drop.
Suggestions for the product team: Build native Claritysoft CRM integration to sync tasks and sales activity without Zapier webhooks. Add custom audit fields to tag tasks as privacy or CRM compliance work for CCPA evidence. Add bulk task reassignment tools for sales rep turnover. Add automated alerts for overdue CRM hygiene tasks like duplicate account cleanup. Improve reporting to separate admin tasks from customer-facing sales activity. Overall, TimeHero’s smart auto-scheduling and team profile controls streamline my sales operations task management, keep our CRM maintenance on schedule, and create traceable activity logs to support our client data privacy compliance for industrial equipment sales. I’m Haven Keeler, Mid-Market Sales Operations & CRM Administration Specialist at Tampa Industrial Solutions Group LLC, a US mid-market industrial equipment reseller in Tampa, Florida. I manage our Claritysoft CRM, build sales pipelines, handle contact deduplication and CCPA compliance, and use TimeHero to schedule sales tasks, track rep follow-up activities, and align task workflows with our CRM deal records.
The biggest pain point is the lack of native Claritysoft CRM integration. All sales task and contact activity data must pass through Zapier, and these webhook syncs fail silently without alerts. Last month, I built a workflow to push new opportunity follow-up tasks from Claritysoft into TimeHero for our outside sales team. The Zap connection broke for nearly ten days, and new deal tasks never populated inside TimeHero. Our sales reps missed critical follow-ups on industrial equipment quotes, and I only caught the problem during my weekly pipeline audit. These mismatched records create gaps in our activity logs, which complicates CCPA data reviews because I cannot reliably trace all outreach linked to client PII. Reconciling records between two disconnected systems adds extra manual cleanup work every week.
Second, role-based permissions are not granular enough for my sales operations team. TimeHero only offers broad admin and standard user access. Our contract sales reps need to view and complete their assigned tasks, but I cannot block them from exporting full task logs containing client names, phone numbers and email PII. There is no separate read-only auditor role, so whenever I need to pull records for compliance review, I have to use full admin credentials. This violates our internal data governance rules and increases risk for our client contact data protected under CCPA. I also cannot restrict users to only view their own assigned tasks; reps can browse other team members’ client task lists, which creates unnecessary exposure of sensitive customer information.
The audit log and export functionality has major limitations for sales ops and compliance work. The CSV export is flat and cannot filter tasks by deal, rep, or customer account. When I prepare quarterly compliance checks or investigate outreach activity, I have to manually sort thousands of task entries and cross-reference each item back to Claritysoft. This manual reconciliation takes roughly seven hours each audit cycle. The platform also lacks built-in duplicate detection. When our Zapier sync reconnects after an outage, it often duplicates tasks for the same sales opportunity, forcing me to manually delete redundant entries one by one. This bloats our task library and makes forecasting reports unreliable.
TimeHero also struggles with timezone handling for our field sales team. Some of our reps travel across time zones, and the timezone setting does not automatically adjust task due dates consistently. Tasks sometimes shift deadlines unexpectedly, leading to confusion on quote follow-up timelines.
Suggestions for the product team: Build native two-way integration with Claritysoft CRM and add webhook failure notifications. Add fine-grained role permissions, task-level access limits and a dedicated read-only auditor role. Add filters and tagging within audit exports to simplify CCPA compliance reviews. Add automated duplicate task cleanup when syncing CRM data. Improve timezone logic to preserve fixed due dates for client follow-up tasks. Overall, these improvements would cut manual reconciliation work, tighten client PII protection, and make TimeHero far more reliable for sales operations teams managing B2B industrial sales pipelines.
