"Streamlined Expense Tracking with Room for OCR Improvement"
4/5
What do you like best about Terrapin?

What I like most about Terrapin is its multi‑source receipt‑capture feature that consolidates receipts from email, SMS, camera shots and phone gallery files all within one platform. I’m Stan Ayun, Digital Operations & Community Relations Coordinator at Voyage Interactive Studio LLC, our 37‑person indie game studio in Seattle. Before we switched over from TrackStar Expense Tracker, I still recall the stressful situation at PAX Seattle last spring. Our concept artist lost his physical $420 art‑supply receipt and only had a fuzzy screenshot. He had to manually type every single detail inside TrackStar Expense Tracker and made multiple input mistakes, dragging out the reimbursement process for days. After adopting Terrapin, we attended a smaller regional gaming showcase over summer. Our sound designer covered networking dinners, local transit and last‑minute dev accessory purchases throughout the trip. He forwarded vendor confirmation emails, texted receipt snapshots and took quick camera photos right after buying items. Terrapin automatically extracted merchant names, transaction dates and dollar figures, then matched most entries against our connected bank feed. He barely had to type anything at all. This is such a big win for our creative team. Our developers and artists are worn‑out after long convention days and hate filling out rigid expense forms. They can submit receipts however is most convenient for them, without jumping through complicated hoops. I still run light manual QA, since OCR can mess up handwritten tip amounts on group dinner receipts. Even with that small check step, Terrapin stops receipts from getting scattered across random message threads. It cuts down massive amounts of tedious follow‑up work for our bookkeeper and keeps our monthly reimbursement cycles on track even in our busiest event seasons. What do you dislike about Terrapin?

The most recurring headache is inconsistent OCR performance for hand‑written tip values on group networking dinner receipts, which pop up constantly when we host mix‑ups with freelance artists, audio contractors and publisher contacts at gaming expos. During our summer regional gaming showcase, our whole team dined with three external freelance collaborators. Terrapin read the main food total correctly, yet misread our handwritten tip and logged an amount roughly $90 higher than what we actually paid. If I hadn’t spotted this mistake during my weekly review session, bad data would flow toward our accounting records and skew our convention‑event budget reporting. There are no built‑in anomaly alerts to flag obviously unreasonable OCR outputs, forcing me to inspect every receipt line item one by one. Beyond OCR issues, bank feed matching behaves unreliably for freelance contractor reimbursements. When we send compensation payments to our remote creators, those transactions frequently fail to auto‑pair with submitted receipts. I need to manually link each record, and this workload piles up fast after expos when we process batches of reimbursements. We also lack tiered approval workflows; every expense lands directly in my queue, even purchases over $500 that should require our studio manager’s sign‑off. To make matters worse, custom project tags we add for tracking convention‑related costs sometimes vanish during CSV exports for month‑end closing. All of these gaps mean we cannot fully rely on automation and must invest significant hours of manual oversight. Review collected by and hosted on G2.com.
