The software is so efficient and user friendly that you can track everything you do in your case. It also ties to my MS programs such as Outlook Calendar, Contacts, Word & Excel; then there is the ability to coordinate all my accounting and billing. The fact that it coordinates with my RingCentral system means that I miss very few billing opportunities. I have been practicing for over 50 years and have also trained in financial matters (MBA & CPA) has given me a very deep understanding why this system is better than all the prior systems (it seems to have combined all those little programs into one well coordinated and thought out system . . . good job SB. **What do you dislike about Smokeball?** Getting out an adjusted statement (system is so caught up in detail) it needs to produce a simple one page (first page) summary that allow the reader to use the following pages for details. The smokeball team is great at keeping an open door via new feature requests and support. **Recommendations to others considering Smokeball:** For attorneys opening their law practices, Start off right and with the right case management software. For anyone else better late than never. Smokeball allows you to quickly move all of your cases over and transition quickly enough that you should be able to keep building your practice no matter how long you have operated. **What problems is Smokeball solving and how is that benefiting you?** I wanted to eliminate our use of multiple programs that created the inefficiency of entering data twice. Amazing practice management; fabulous support; and the integration with our Court's e-filing system makes everything so easy. The case workflows are life changing. **What do you dislike about Smokeball?** Some of the court forms are "clunky" and I'm not a huge fan of the new court forms being generated in a version of pdf which I can't manipulate with my AdobePro. I preferred when the forms were done with Word. Our cases are injury cases--it has specific file types for us that are tailored to our practice. And this is all available through the internet, anywhere. **What do you dislike about Smokeball?** Some things must be refined/tailored to each practice, but this is an unavoidable reality with any case management platform. To Smokeball's credit, they keep trying to refine and take suggestions to incorporate it into what they have. **Recommendations to others considering Smokeball:** I would recommend considering Smokeball for most small-to-medium sized law firms. You need to manage a docket, calendar, case files, etc. This system coordinates your calendar with all the documents (medical, investigatory, other evidence) along with your email in order for everything to be contained in one place. And it is built for organization of files and to file things appropriately with minimal effort. **What problems is Smokeball solving and how is that benefiting you?** The greatest benefit has been work-from-home (anywhere) capability during COVID-19. ### 17. Here are my thoughts: 1. Smokeball is an "everything" platform. We realized we were only using the other softwares for billing/invoicing, but found little use for them otherwise. Smokeball, on the other hand, is much more versatile. We track our to-dos there, create workflows, assign tasks/projects to others at the firm (it avoids the back-and-forth internal emails), share our draft documents with client through a secure portal, and much more! 2. If you are a real estate transactions law firm (as we are), Smokeball is the only platform specifically designed for that practice area. We love that it automatically calendars deadlines, has templates built in, and otherwise automates much of the closing process for us (and avoids costly mistakes such as missing a deadline). Overall, it's a great software and will help automate much of your workflow. We highly recommend considering it if you are looking for a robust legal software. **What do you dislike about Smokeball?** I would point to three possible dislikes: 1. Cost (yup, it's one of the more expensive options you'll find out there). But when evaluating options, the thought process should be whether you will save some time by implementing the features of the software. And if so, a few extra bucks monthly is well worth it. 2. A little glitchy at times. We sometimes would create an invoice but would not be able to load it or send to a client until the next day. I have no idea why this happens, though it hasnt been a big issue for us. 3. Requires you to invest a lot of time to set up to automate your documents and learn how to modify them as you go. But, again, it is time well spent. Overall, an excellent software and definitely worth considering for your law firm, especially if you handle real estate transactions. **Recommendations to others considering Smokeball:** First, decide what you are looking for from a software. If you just need a basic software for intaking clients and billing, Smokeball's features likely would not be realized by your firm. If, however, you are looking to automate workflow and find a versatile platform, Smokeball is worth considering. **What problems is Smokeball solving and how is that benefiting you?** We were trying to automate our workflow since we are a high volume real estate and estate planning firm. We found that Smokeball was able to do that for us very well. It has saved our attorneys a lot of time and stress. ### 18. "All Inclusive" is the shortest, sweetest way to describe my Smokeball experience. I am a worker bee and worry more about getting the work done and billing second. Working on litigation matters with deadlines, rushes, in the midst of the hustle, I admit my time entry suffered. This feature makes the time keeping easy. Love it. So many features that I love. **What do you dislike about Smokeball?** At first, I disliked the unfamiliarity. I was reluctant and resisted change. We have used it for over a year now and it is amazing how much time is saved when you don't have to push emails to client files, etc. etc. I understand we only use a small fraction of what SB has to offer. Keeping that in mind, I can't imagine work without it. The only down side I believe is the billing side of it. The reports are limited and not sufficient for our practice. Alot of what the partners ask for has to be created long hand because SB billing does not have the capability to run the reporting. **Recommendations to others considering Smokeball:** I recommend SB. I was hesitant at first because there's a lot to it and change is hard. Now I completely love that there are a lot of components to it. I absolutely love that SB is integrated with Outlook to save emails right to the client matter, this way I never forget to save them. Smoke Ball has local & state court forms that pull the information from the client matter and add it to the documents for you. They can also create your own documents for you. For example, if there is a certain letter or form that you use, they will create it. It is also very easy to e-file documents with the integration of Info Track. I am looking forward to other implementations of integrations with other products in the near future. As a paralegal, my favorite features are the form automation, automatic time tracking and billing entries, the integration with my calendar, file management, and my absolute favorites - the Tasks and Daily Digest Pane features. Attorneys can assign tasks to other members of their teams, which can then be broken down into subtasks to create simple to-do lists. The Daily Digest Pane displays your schedule for the day, making it so easy to track your current and upcoming tasks in a quick glance. Finally, I cannot say enough good things about the customer service. The representatives are very knowledgeable about the product and extremely responsive to their customers’ need. Several times, when there wasn’t a solution to my issue, they submitted a work ticket and “created” the solution. **What do you dislike about Smokeball?** I really love the secure link feature in Communicate, where I can send documents to other parties via a secure link instead of using some other tool such as Dropbox or Sharefile. But while it's so easy and convenient on my end, the recipients seem to have a hard time figuring out how to access the documents. It's almost always "user error" on their end, but it is a hassle for me when they have to call me for help. **Recommendations to others considering Smokeball:** Get ready to be super organized and efficient! **What problems is Smokeball solving and how is that benefiting you?** The best feature is the automatic time tracking "Time Finder." I use it at the end of the day to capture and bill for tasks I had missed. ### 22. I also love the phone app and the fact the company is always improving the product. The forms automation is seamless and the company will provide endless training for anything new or a simple refresher course. The smokeball communicator feature is nice as well with many offices working remotely during the pandemic. **What do you dislike about Smokeball?** I wish it was linked up to an e=filing provider that did not charge a fee per e-fling. During the pandemic, most clients do not want to be told they have to pay an extra $3.00 per filing, just for the attorney's convenience. **What problems is Smokeball solving and how is that benefiting you?** I think the two (2) biggest problems solved with smokeball are time and availability. Once you have automated the forms you use most often, you can create them in other matters with a few clicks of the mouse. I especially love how everything is cloud-based so I can work on files at home, on the train, or if I need a document pulled up on the fly. This product has saved me countless hours where I can focus more time on the actual litigation of a case versus paperwork. ### 23. It creates a more efficient and productive work space, where I can be sure when I need to find a document, it will be right at my fingertips! When you have deadlines to meet, efficiency and time-saving techniques make all the difference. **What do you dislike about Smokeball?** The only downside I see with Smokeball is being able to have notes to internal staff relating to a matter, where all can interact to the notes and with each other. I haven't found how to make that happen yet. **What problems is Smokeball solving and how is that benefiting you?** In keeping all emails related to a case within the case file, this is a huge hurdle we've overcome using Smokeball. Whenever you are sending an email, you simply click the matter it is related to, and now that email is stored within that client matter!
