"Effective Resource Management with Manual Workflow Hiccups"

What do you like best about Skills Workflow?

What I like most about Skills Workflow is its clear resource‑planning dashboard, which makes a real difference for my daily work as an architect at Berliner Bauplanung GmbH, our 51‑200‑person Berlin architecture firm delivering commercial and residential builds. Before we got this tool, all our team capacity and hour tracking was done in scattered Excel files. I still remember our mixed‑use residential project from a while back. Our project manager assigned heavy drawing documentation work to two junior architects purely from those spreadsheets. He could not see their existing workload, both staff got completely swamped, deliverables fell behind, and we almost missed the mandatory building‑authority submission. We had to pull senior architects off another commercial project just to salvage the deadline, burning through plenty of billable hours unnecessarily. Now I can open Skills Workflow and instantly see every team member’s active assignments, booked hours, and remaining capacity across all running jobs. Whenever we kick off new design phases, I can quickly check which architects have bandwidth for schematic design, construction documentation or coordination with structural and MEP partners. It does not connect with Revit for our BIM modelling, and I’m fine with that, I still want full control over our actual design files. I still go through our regular manual steps. I export capacity reports as CSV and clean up corrupted German umlaut characters in project street names. We store drawing packages and meeting notes on Nextcloud, hold cross‑disciplinary coordination calls over Whereby, keep client records in Zendesk Sell, and collect internal team feedback through LimeSurvey. Even with those workflow gaps, this centralized resource view is its biggest strength. What do you dislike about Skills Workflow?

There are multiple pain points within Skills Workflow that create lots of extra manual overhead for our architecture team at Berliner Bauplanung GmbH. First and foremost, there is zero native compatibility with Revit, our main BIM modeling tool. There is no way to sync project phases or task status directly from our BIM environment into Skills Workflow. On our city residential development project, our Revit team finished a major design milestone and updated the BIM model, yet nobody manually updated task status inside Skills Workflow. The system still showed that phase as in‑progress for over a week. Our project lead made staffing decisions based on that stale data and assigned extra resources we didn’t actually need, wasting several billable hours. Additionally, its filtering for external consultant tracking is really rigid. The tool can’t clearly separate internal staff from external structural and MEP contractors in its workload dashboard. Last month on a mixed‑use commercial project, I mixed up our in‑house architects with outside engineering firms while reviewing capacity. I shifted tasks around for no real reason and created team confusion that delayed our coordination meetings for two full days. There was also no quick import function for our old Excel project data during roll‑out, I had to manually type in every project phase and role setting. Exporting reports also mangles German umlaut characters in project street names, so I have to go through and fix dozens of entries before handing files over to finance. Outside of Skills Workflow, we do our BIM work on Revit, store project documents on Nextcloud, run cross‑team syncs over Whereby, manage clients in Zendesk Sell and gather team feedback via LimeSurvey. What problems is Skills Workflow solving and how is that benefiting you?

I use Skills Workflow to monitor team capacity and project budgets, and it directly replaces our old messy, error‑prone Excel planning system. Before we switched over, all our resource allocation, hour logging and budget oversight existed across multiple disconnected spreadsheets. I recall that chaotic stretch on our mixed‑use residential project. Our project manager assigned junior architects large documentation tasks without seeing their full workload. Staff got overloaded, deliverables slipped, and we nearly missed a critical building‑authority submission. We had to reallocate senior resources from another commercial build, which brought unexpected overtime costs and set back that separate client project. That incident showed how risky spreadsheet‑based planning can become under tight deadlines. Skills Workflow takes over that manual monitoring work. It tracks assignments and logged hours against our planned budgets, lets me spot overloaded team members early, and gives us advance hints when hours start drifting over our estimates. That said, it does not integrate with Revit at all. BIM milestone changes won’t auto‑update task states, so manual status updates are still required. Exported CSV files still need cleanup for garbled German umlaut characters. We keep using our full existing stack: Revit for BIM modelling, Nextcloud for drawings and project notes, Whereby for cross‑professional meetings, Zendesk Sell for client information, and LimeSurvey for internal feedback. It cannot fix our BIM file‑version issues, but it eliminates most of our spreadsheet chaos.
