**What do you like best about Responsive, formerly RFPIO?**

The platform has helped me and my team complete RFP documents more efficiently. The response suggestions make it easier to find information from our previous responses and answer the RFP questions in much less time. We use it every time we have a new RFP or RFI to fill out and we've been building a better database of responses that helps with each submission. Having access to the platform was also really easy, I just contacted our admin and after adding me, I received an email with access instructions which were easy to follow. I have not needed to contact Customer Support yet.

**What do you dislike about Responsive, formerly RFPIO?**

What could be improved is the User Experience since the UI is complicated with lots of information and buttons. For a new user, this makes the learning curve a bit long. Also, I have been using the tagging system for our responses and there is no easy way to tag responses in bulk so you have to tag them one by one which can be time consuming.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Individuals working on RFP documents possess a lot of information. Before we implemented RFPIO, we needed those individuals to make time to work on RFP documents. Now, we can learn from previous responses, and the information can be shared and distributed across the team and is not only kept with one individual.

Responsive is helpful in capturing the lifecycle of a project, and the Content Library and ability to universally search are fantastic! Their staff is helpful and wants to do good by us as their customer!

**What do you dislike about Responsive, formerly RFPIO?**

Responsive has some growing pains and seems as a company wanting to create features before perfecting others. For example, the reps are pushing the AI features of Responsive, but the ability to customize basic features like emails and custom fields remain in their infancy.

The ability to easily search for and through documents for content.

**What do you like best about Responsive, formerly RFPIO?**

I like that all the projects are in one space and you are able to track the progress as the writer inputs answers. I also like how easy it is to map Excel documents, as most interfaces have a hard time when it comes to Excel.

**What do you dislike about Responsive, formerly RFPIO?**

Right now there are a lot of kinks to work out, however once these are ironed out, I believe Responsive will be a great tool for our company. It doesn't quite export properly to our Word templates, especially the font when something is labeled as a "description."

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive is making it much easier to format proposals and RFPs. It will be even better once the export to the template is worked out properly. Due to the easy mapping and auto mapping, it saves us a lot of time.

**What do you like best about Responsive, formerly RFPIO?**

We use this everyday in my company. Our product teams are responsible for managing Q&A about our capabilities and we can easily add new ones for them to moderate with the integrations into our email and messaging tools. I answer RFPs at such a quick rate than I used to and getting help for content we don't have answers for is so easy with the comment functions. I recently found out our sales team use the browser extension to quickly get answers to questions they get during meetings, and that just further drives our use of this product. Looking forward to all the new features that keep coming!

**What do you dislike about Responsive, formerly RFPIO?**

I wish I the UI for answering a project wasn't so jumpy. If I'm not paying attention, I might select an answer as answered when it hasn't been and it's not realised until much later.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It is solving the problem of having to search Google drive for past responses for each question and choosing an answer we like best and hope it is still accurate. Now each Q&A has global visibility across the company and multiple people can manage it as the single source of truth.

**What do you like best about Responsive, formerly RFPIO?**

I must admit that Responsive is one of the best tools I have ever come across in my career. It makes our livers easier by helping us to solve RFP's and questionnaires. Main benefit is that many people could simultaneously work on a single questionnaires which saves a lot of precious time. Also the UI is very friendly and anyone with zero experience can use the tool very easily. I'm a big fan of this tool.

There is not specific drawback of this tool. So far I am finding this tool flawless.

The Content Library feature with the new AI Assistant has been revolutionary for my work flows. I can quickly generate high quality responses in the format of my choice, much like the famous AI tools out there but specific to my organisation. Even without the Assistant I can save so much time searching for previously entered responses which we validate and have moderated internally.

**What do you dislike about Responsive, formerly RFPIO?**

Not a dislike about Responsive, but I tend not to use Responsive for the actual management of RFPs as I find stakeholders prefer to work manually in documents and not via the Web interface.

Having a single location for content that anyone can use and benefit from, quickly and easily.

I've used many RFP automation tools but Responsive is by far the most user friendly and intuitive. I love that they really hone into customer feedback and release some cool features based on our inputs.

**What do you dislike about Responsive, formerly RFPIO?**

It is still a little challenging to grasp the project load feature each time a new RFx format is received but we are working through it. Not all RFPs are alike but Responsive is definitely easier than others that I've used.

Decreases our proposal time but automating a lot of process, Providing organization with tagging and categorizing library health.

Responsive provides a super easy and straightforward search experience and is really intuitive to use. I specifically like the content library feature which basically makes Responsive a go-to place to search for on any customer question I receive.

Not a dislike but I am keen to see more AI features coming up (such as response summaries etc.)

All our answers to RFPs and questionnaires are included there, so, next to RFP and questionnaire management, it has basically become a go-to-place to search for the answer to any question I receive.

It has really been created with the users and purpose in mind. It is helpful to have similar responses organised and be able to collaborate with SMEs within the business. It's also really easy to store commonly used attachments to be added to a response and edit the name. 

Tech support are also quick to respond and helpful.

**What do you dislike about Responsive, formerly RFPIO?**

When issues are escalated, there are huge delays in getting responses which is not ideal for the tight timelines that RFPs often have.

I also wish we could see the date a response was created/last edited in the project view like we can in the content library view.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It is making it easy to manage an RFP question that often has hundreds of questions. Being able to choose from stored answers and apply them directly to the bid to tailor is really useful because it saves a LOT of time.

**What do you like best about Responsive, formerly RFPIO?**

We use the software daily here for our work and it is invaluable for us. In general I feel the Responsive interface is relatively clean and easy to use. Our customer support directly through our assigned CSM has been solid. I also like that there is a fairly extensive set of customizations available to the end user for things like intake forms, library tagging, user access, automated emails, etc.

**What do you dislike about Responsive, formerly RFPIO?**

What I dislike most about Responsive is that there is an additional cost for literally everything. Having a sandbox to test the layout of intake forms or library structure? An additional cost. Translation features? An additional cost. Proposal shredding, AI, you name it, is all an additional cost. As our business grows globally, as AI becomes more prevalent, as RFPs become more time consuming to review, these are features that we need and it would be great if our Responsive subscription would grow with us, but alas it does not. A stark example here is that Responsive's new AI functionality add-on will cost nearly the same amount as our base subscription. We shouldn't have to double our budget for the software just for a single add-on. 

A lesser issue is that when we submit a common technical support question via the automated chatbot or help/support request feature, we frequently do not see timely resolution or even proper resolution, which occasionally means we have to escalate these requests directly to our CSM for support.

Responsive gives us the tools we need in order to respond to RFPs and Security Questionnaires in a timely manner. That enables us to address complex customer requests and win more business.

I use Responsive every day in my workday and it makes my RFP Coordinator tasks much easier and quicker. All projects and their progress are visible in one simple view and tracking is easy. Additionally, the customer support team are open to hear suggestions from customers and the tool is often updated accordingly.

**What do you dislike about Responsive, formerly RFPIO?**

The downsides of using Responsive is that the response teams in the company use to think now that only what they have on the Tool is what is needed from them and sometimes they forget about other documents tasked somewhere else (pricing tables or pdfs).

Responsive is allowing the Bid Team to follow up with our tasks in an organized way and also tracking the KPIs that the management is interested in.

**What do you like best about Responsive, formerly RFPIO?**

It is easy to become a proficient user of Responsive in a relatively short time frame. It's intuitive user interface is logical and apparent. If you know how to use internet search engines, you can use Responsive. The tool offers a lot of flexibility - there are many operating options to choose from when performing tasks. Because it is easy to use, to find what you need, and to work with others, integrating this tool does not entail an unreasonable amount of training. Additionally, the layout of the interface is appealing  - just the right amount of information (which can be customized) is presented on your page at any given time.

On occassion, there are glitches that my team has noticed when performing tasks, however, these are usually resolved quickly.

It is extremely easy to facilitate content reviews among SMEs. On Demand Reviews has substantially cut down the time it used to take my team to get standard content reviewed and updated.

**What do you like best about Responsive, formerly RFPIO?**

3 years ago we were completing a handful of RFPs with a spreadsheet and 1 resource. Our Sales team was completing most of them on their own and there wasn't consistency in answers or methods. We implemented a tool and went to completing about 100 RFPs total, but were still completing half of them manually. With Responsive we handle 400+ RFP per year with 2 resources, high accuracy, and high confidence. Our responses are on brand and our RFX Desk has become a trusted partner to Sales and CS. Our completion SLA has gone from 5 days to 48 hours in that timeframe as well. I would choose Responsive again and again. Their onboarding process was comprehensive and easy. The customer support and customer success have been collaborative and wildly helpful. I'm a fan.

**What do you dislike about Responsive, formerly RFPIO?**

When we purchased Responsive, one of the things my boss asked was - What's 1 thing that going to annoy you about the tool in 6 months? And, I couldn't answer him at the time. 2 years later, I still can't answer him. It's been such a complete solution that's changed the way we collaborate with our internal SME's that I'm still honeymooning with the tool.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Our biggest problem was only completing half of the RFPs in our previous tool. Now we complete 99% of all RFPs in Responsive. We've been able to deflect security questionnaires with the Whistic integration by having standardized questionnaires ready and completed. We have an internal process that requires a letter to be generated for one of our professional services products. Those are handled in Responsive with e-signature. Content and documents use to be in multiple locations and versions. With Responsive we've consolidated content and documents, put a review cycle on it, and communicated it out with the Slack integration internally and in RFPs externally.

The tool makes our lives easier for handling RFP's and questionnaires. Our team uses the tool everyday and it makes workflow management very easy. Multiple people can work on the same RFP at the same time which is one of the biggest advantage.

The new UI update is great but lacks some features. I feel the tool hangs a bit and sometimes access is not given

I am not sure about this. It can hold a lot of data, multiple languages.
It has good customer support, they always try to solve your problems fast.
It is easy to use .

It is slow, crashing, have to wait couple of sec every time . Doens't show all the keywords in the contents.

I use Responsive for my daily work. It is very easy to use and intelligent. We have too much data stored in the system. But we can find what we are searching easily. I use it nearly every day. Implementation is also easy. It can also integrate with different systems.
Customer support is there whenever we need it.

Searching engine could be little improved for searching exact 2-3 words sentences. It is searching the words in the sentences separately so sometime it makes hard to reach exact sentence you are looking for.

I use it to response our RFIs, RFPs and customer compliance tables. It makes a lot easier to find similar answers which we used before.

The context library is very easy to use once you know all the functionalities and what they're doing. There are many ways to manage content, including assigning owners, using tags, projects, and more. Keeping content fresh and organized is very intuitive, so much better than having a massive list repository.

The most challenging part of Responsive is its complexity. For our users who are contributors but don't spend much time in Responsive except answering a few Q&As find it incredibly busy and overwhelming. Perhaps it would be helpful to have a toggle view of simple vs. full feature.

Central repository, shared knowledgebase, streamlining the Q&A process for requests by bringing the SMEs and content together with the requests.

The amount of tribal knowledge about the product/company/security policies that is at the fingertips of anyone with access to Responsive is incredibly valuable. I was a non-technical sales oriented employee when I transferred to a team that used Responsive daily and I was able to earn my "masters degree" in the product in just a few short months through searching the content libraries and absorbing information gathered from dozens of individuals, much smarter than myself.

**What do you dislike about Responsive, formerly RFPIO?**

Like any kind of tool that leverages data, you need to know what you're going to do with it (and how you're going to manage it) before you start collecting it. I highly recommend a review process to ensure the Q/A pairs are being updated promptly. I work with a SaaS toolset where functionality changes multiple times a year and answers can get stale quickly.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

In my current role as a customer-facing solutions architect, RFPIO allows me to delegate RFPs and Security/Due Diligence questionnaires to an extremely well-qualified team backed by an intelligent response tool so that I can focus on meeting with customers, doing demos and running POCs, and not answering endless functionality and security questionnaires.

The ability to save, curate, and reuse responses.  Its has personally saved me many hours of reproducing responses.

The cost per seat is fairly high. But if you're doing a significant amount of RFPs/RFIs a year it easily pays for itself in the time saved and efficiency of responses.

We use to use Excel and people's momory for responding to RFPs. That was just a dire situation. Reaponsive has completely streamlined that process and make it so that everything is in one place and reusable.

The importing and exporting capabilities are excellent. I don't think I've ever had any mishaps with formatting on export, which is really impressive. Generally, the RFP management features all work well. So, dropping preexisting answers in, assigning questions/sections to other users, moderating answers, and having multiple questions tied to answers - all works really well. It displays the critical information right where you need it, i.e. % complete, due dates, assignees, etc. I also think it's pretty easy to learn. Sometimes I'll have someone that isn't familiar with the tool jump in for a section and they typically understand how to use it (assuming I've done the importing already).

**What do you dislike about Responsive, formerly RFPIO?**

The top recommended answers typically aren't what I'm looking for. Now that I've used the tool for 2+ years, I can usually drop in keywords that I know will find the answers I'm looking for, but you have to be familiar with your answer library in that case. I'd also love to see more gen AI features. I'd be really impressed if they could leverage the knowledge in our answer library to generate responses to novel questions.

Responsive helps us manage RFPs by ingesting the questionnaires, organizing them, suggesting answers from our answer library, and exporting the completed responses. It speeds up RFP completion and allows reusability of content.

RFPIO is user friendly and easy to use. The way we can store and use the Q/R have been an asset to our organization. As a SAAS product, the implementation was smooth. The customer support are reachable whenever we need them. We use RFPIO for all our RFP.

Training the IA to help us answer needs time, but I assume that is the normal process if we want something reliable.

The Responsive tool is used in 99% of my proposal management project.  The Collections are organized with Tags which makes it easy to jump to different sections of the RFP and answer questions. The best feature is the grammarly and chat GPT functions, especially the passive to active interpretation. These help me ensure the response is  complaint and responsive to the question. Also, sometimes I will need to revise the original response because the GPT  interpretation was not what was meant. This is an awesome featureand easy to use with a click.

At times the Reponsive tool, slows down if two people are in the same project.

Responsive solves that issue language interpretation. The benefit is knowing there is no confusion about the question function or pain point resolving. In additon, we can ensure our answer are tailored to the specific client.

The ability to organize, review, and manage the content for responses is highly efficient. Filtering the searches by tags and helping my team find content by keywords has increased the quality of answers and the timeliness of draft completion, increasing the effectiveness and efficiency of my reviews. Importing and exporting the responses is simple, and the LookUp tool is a great add-on and was extremely easy to implement and integrate with our tech stack. I use these tools daily.

That you can have all your content and RFPs in one place and you can track them in "intake" and "projects." I like the de-dupe feature in the Content Library, as well as the On Demand Review process (even though you have to adequately train the 'owners" before starting --it's not very intuitive).

**What do you dislike about Responsive, formerly RFPIO?**

In the Content Library, you cannot click the back button on your browser and return to the spot you were working on. For example, when you are in "my work" and you read a comment, when you click into the Q&A Pair associated with it, you can't go "back" to the list. You have to start all over. That's time consuming and redundant. I have to have multiple tabs of Responsive open to work efficiently.

 The translation function is tricky as well because you can only set it to one version of "English." You cannote use multiple variants unless you manually create tags. For example, English-Australia, English-Canada, English-UK. When you are a global company repsponding to RFPs in many different languages, the translation function is very limited. Someone has to do a lot of manual work to tag it all correctly.

It's great that you often introduce new features, but they always seem to have an add-on cost.  Many would be nice to have but when your company's budget is already set for the year, it's impossible to get more money for the software.

Responsive has been a wonderful addition to our team. We now manage nearly every aspect of the proposal process in Responsive, instead of having disjointed processes that include documents living on places like Teams, individual user's laptops, etc. We love that we have auditing capabilities to see where a response came from. We also use the AI which has been a fabulous tool for us. Customer support is always quick to assist as well.

While there are some enhancements we would love to see in the future, we are very satisfied with Responsive and the roadmap.

We use RFPIO to manage large RFP responses and security questionnaires, its easy import features when customers provide structured requests (especially Excel sheets), makes managing and co-ordinating the resposnes across multiple people easy to do.

Additionally, after doing a few responses, we quickly built up some standard Q&A content that has accelerated delivery.

Whenever I've had questions, customer support is quickly able to respond.

**What do you dislike about Responsive, formerly RFPIO?**

For the most part, despite the complexity of RFPIO, it is easy to use.  There are a few places where the user-experience could be streamlined to the bits that we use (for example, we don't make use of tagging, and it isn't possible to "remove" these peices from the standard UX.  

The AI feature is new, and to date I haven't seen it pay-off.  It doesn't seem to find many matches, and I find I'm able to quickly find results by turning the search and relying on the normal question/answer approach.

And it would be good if they could finish dark-mode across the whole product.  Bits of the Content Management are only available in white mode.

The only "gripe" I would have is the pricing model - I wouldn't mind a one-time cost for the Office integration, but billing for this every year quickly has eroding its value for us.

Transparent design of the author-reviewer-moderator cycle.
Insightful project overview, e.g. for presentation purposes.
It is very simple to create new projects, the template function makes it more efficient, especially you run more similar projects.
The Customer Support is high-level, I've experiences with the RFPIO Academy, there are very good session and the subjects/problems/user groups are very well covered.
Very comprehensive search functions on almost every level.
The tagging methodology is very clear and simple.

errors when updating the source file (sections, answers, comments might get lost).
Insufficient management of Word files generated from pdf.
Missing versioning and security backup.
When assigning guests, e-mail addresses cannot be entered as a list.

The whole project team can work together on one platform. Comments, clarifications, actions, tasks is in one place without need to open several databases simultaneously.

We migrated to Responsive (RFPIO) from a different proposal automation tool. It was confusing, hard to navigate, and their support team could not resolve a critical issue we had for 5 months. It was extremely difficult to get SMEs to use to tool, so we ended up still operating using email and Teams. Once we switched to Responsive, it was a completely different experience. We have more SMEs happily using Responsive than ever before, people volunteering to be Content Managers in the library, and better collaboration within the tool that allows us to be more efficient and effective. We were also up against a deadline to migrate, so we pushed and were able to be 80% operational in 30 days so we were not locked in to a new contract with our former vendor.

There is not much I don't like :)  There are still a few features from the Classic UI that are not test available in the New UI, but they are slowly taking care of that (i.e. whole project search).

Better collaboration, easy library management for Content Managers, feature-rich and functional, almost everything about the software is helpful. They have a great and informative community, on-demand training, a great Customer Success team, and much much more. They take the enhancement requests very seriously, and their support team is also very 'responsive' (pun intended, lol).

The user workflow Responsive provides to review and complete responses is the best aspect. The application provides an efficient user interface that makes it easier to search, find, apply, and update responses to RFP questions and requests for information.

The application UI is a lot to take in at first for new users. Over time as one becomes familiar with it, and more of a power user, the UI is efficient and not confusing. However, at first it might benefit from a "basic view" to make the UI simpler for a new user to grasp.

The main problem Responsive solves is eliminating ad-hoc processes and personal workflows around responding to RFPs. Specifically, Responsive provides an accurate status of completiton which is invaluable when working towards a deadline. Without Responsive, it's a lot of work to simply understand how much of an RFP is complete, and whether you are running behind or not.
