Responsive is very flexible — role-based permissioning is easy to implement and understand. The tool is user-friendly to the point that most tech-savvy users require little to no training.

**What do you dislike about Responsive, formerly RFPIO?**

We have experienced a few software-level bugs (but the account staff has always been attentive and willing to own issues). Handling of rich text and images occasionally creates manual work.

• Project visibility: Real-time project status is visible to everyone and auditable
• Content management: Maintaining a large repository of all RFx answers, plus a set of approved content visible to sales / engineers

**What do you like best about Responsive, formerly RFPIO?**

Their user interface is pretty intuitive given the breadth of options and features that they offer. The software rarely lags or glitches and the uptime is in excess of 99%. The tools within the software make responding to client questionnaires easier than ever, we love the ability to manage all of our various projects with helpful metrics and reporting to prove both the value of our team and the tool. The integrations are also a huge time saver and reduce the amount of downloading and saving of files. The customer support is fantastic as well, with super friendly representatives and quick response times. Highly recommended!

**What do you dislike about Responsive, formerly RFPIO?**

I honestly don't have any significant complaints, they are constantly exploring new avenues and features and definitely take Voice of the Customer into account!

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Lack of project management tools, lack of centralized repository of both projects and answers, messy Excel spreadsheets whose authenticity/viability is always in question.

Responsive, formerly RFPIO has been a great tool for me and my company to use when answering all kinds of questionnaires. It's user license model as allowed for more collaboration than with other tools and it is a great place to hold a knowledge base of ALL content.

Before RFPIO we had scattered documents and tribal knowledge that left with employees. We looked at other solutions but found the collaboration, ease-of-use & format of RPFIO to be the best. RFPIO has created a central data repository for our company where we can quickly organize and update our content library, ensuring that answers we are putting out are accurate.

**What do you dislike about Responsive, formerly RFPIO?**

There have been a few times when uploading documents with multiple columns where conditional questions were missed. It would be nice if everything was captured.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

RFPIO is creating a central space where we can really look at all the information we're putting out to clients and easily verify with other internal parties whether that data is correct and up-to-date. Around 60% or so of our privacy questionnaires have common questions, so the auto-suggest from previous replies helps save a LOT of time. We can also manage completion and delegate sections appropriately to ensure an even workload.

Lack of AI generative tools. We are currently using a different AI rfp product that may one day replace Responsive.

Once configured, Responsive has made the process of building out responses far quicker and easier, with a more professional looking result immediately. The team is more productive and less stressed during key busy periods.

There is a high barrier to entry. From configuring user roles, building templates, writing sections, amassing a knowledge library, to training users, there is a lot of work which must be done prior to it ever producing its first response.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

We respond to a very large number of RFPs each year, usually concentrated around certain busy periods, leading to lots of stress, overtime, and cut-corners in document presentation. Responsive's role is to make first drafts of responses faster, easier, and more professional so that the team can concentrate on value-added tasks and responding to every viable RFP.

Responsive is able to house a large amount of information and has a large amount of functionality within the system. It seems to know what best practice is and can cater to a wide-variety of organizations and RFP processes.

Often times it is not very intuitive, which wastes time. A box that needs clicking will auto populate, default settings are not always helpful, etc. I find myself going through multiple unnecessary steps often to accomplish a simple task.

After uploading a security questionnaire to RFPIO, getting the questions automatically filled out from our knowledge base increase our efficiency and productivity immensely!

Search functionality is not great and can be improved.

We receive security questionnaires from our customers when they assess our products. We use RFPIO to answer such questions in a consistent and efficient way that can scale to meet the needs of a global organisation.

Impressed by Responsive's speed in tackling RFPs and security questionnaires. It's really easy to find answers and make sure that the answers are correct and precise. The UI upgrades make navigation a breeze. Collaborative features simplify teamwork.

**What do you dislike about Responsive, formerly RFPIO?**

Adapting to it took time, which can be frustrating for urgent tasks. The UI upgrades are positive, but the learning curve persists. Once you're past it, the tool's benefits shine, especially for teamwork and standardized responses. Just be prepared for a bit of a learning curve.

**What do you like best about Responsive, formerly RFPIO?**

RFPIO is helping me scale our proposal operations exactly as I'd envisioned, so to say I love it is an understatement. Working in the education industry, my team sees all sorts of RFxs, from complex state procurements to simple vendor approvals for a school district's approved vendor list. RFPIO works for all of these projects. The integrations with Word, Excel, and Chrome make it easy for my team to respond to bids in online platforms like Bonfire or Ionwave.The content management tools are superb. Being able to separate content like data security allows the data security team to review and update the relevant content easily. The Executive Dashboard gives me insight into all aspects of our proposal management. I can report everything my boss and the leadership team need to see each month.

**What do you dislike about Responsive, formerly RFPIO?**

The only thing that I haven't liked is that, when updating a project stage of an archived project, the submitted date changes to the present day. This causes the project to appear as "Delayed" in the Executive Dashboard, when that isn't the case. I then have redo the project stage update, input the actual date of completion, and then resave. It's a bit fiddly but the other tools more than make up for this minor inconvenience.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

RFPIO makes responding to security and privacy assessments a breeze. The automation tool quickly predicts the best response, so what used to require manual lookup in a separate document from the data security team now takes maybe 10 minutes tops. The best part is how RFPIO can accommodate these documents in any form - PDF, Word doc, or spreadsheet. For our proposal preparation and response management, RFPIO has very powerful content management tools that make it easy to insert content or create and update new content. I can even write new content for a proposal but then moderate it separately later on before it goes into the library.

We have everything in one place for our entire company. The SME's have fully adopted the platform. And we have been able to respond quickly and compliment!

The licensing model was most appealing for our organization where we have tons of contributers across many products. This model makes it very flexible for our sales organization. 

Being able to seperate questons and answers by products using their collections feature was also very important for us too.

**What do you dislike about Responsive, formerly RFPIO?**

There some lack of automation when creating projects, we would like to auto-assign projects to certian collections (products), moderators, and reviewers. Currently this is a very manual process.

At this time they are going through a redesign of the UI of the platform and I am not convienced it is better yet :/

Reusing common information across the organization. Responding quickly and effectively to RFPs which often have a very short return time and hunderds of questions.

**What do you like best about Responsive, formerly RFPIO?**

Storing and locating responses within RFPIO is a breeze. It's a user-friendly tool that requires very little training to get new team members/stakeholders up and running. The tagging system works nicely and allows you to apply a single piece of content across several categories/product lines. Databases with folder structures require you to choose a single location for each response; when that response applies to several products/solutions, you're forced to add the information under each applicable category/stack. This creates duplicates and also requires you to maintain multiple records containing the identical response. With RFPIO you can tie as many categories as you wish to each response and filters allow you to easily find the responses for each category. You can add as many tag levels as you wish, allowing you to drill down deeper than other solutions. I gave this 9 stars instead of 10 because at times I do wish there was an option for viewing responses in a folder-like structure (RocketDocs & Loopio), but overall the tagging functionality has been beneficial. Additionally, I like that you can flag content with expiration dates. It doesn't create an automatic review cycle, unless you ask it to. Instead, it flags the content with a deadline and alerts the user if they're trying to use an expired record. This ensures the user knows when it's time to have the information verified/revised before adding it to their project. The expiration date also allows you to focus on the content you use most often, versus forcing you to spend time maintaining content (via review cycles) that may not be needed very often.  Also, sharing content with non-licensed users is fast and easy and there is no charge for this feature. Not all SMEs hold licenses; therefore it's very efficient to be able to send a record to an outside stakeholder and allow them to weigh-in directly within RFPIO.  Lastly, the extensions are very helpful. I can add database content directly from Microsoft products or online forms; the extension brings RFPIO to you, instead of you having to toggle over to it.

At times I wish there was an option to view content within a folder-like structure, such as Loopio or RocketDocs. However, RFPIO's tagging structure is what allows my team to be more efficient and prevents us from needing to maintain duplicate records solely because the information applies to more than one product line (more than one category within the database).

RFPIO allows us to utilize consistent information and branding regardless of the presentation or prospective client RFP. It also prevents us from digging through old RFP documents  for answers, enabling us to move very quickly when we respond to client/prospective client requests.

The best part is we can bring unlimited users to collaborate on a project. Even the dashboard is customizable which helps our team for better visibility. The reporting ability is far better than others.

The new UI has some technical glitches which the customer support team could not rectify. Even the content library is not that user-friendly and sometimes leads to confusion when it comes to new users.

This is my first experience with any RFP tool but frankly speaking, it took me just a few days to get accustomed to the tool. Very much user-friendly I would say and recommend to others.

Get good automated responses only if you have sanitized your content library properly. Helps in better collaboration with different team members and it saves time and effort.

**What do you like best about Responsive, formerly RFPIO?**

There are so many things about RFPIO that I love, that it is hard to just mention one or two in this review. The ability to collaborate, track deliverables/milestones of each project, and quickly populate RFP responses with answers from a database that I know is up-to-date, are all key things that make my life easier. Our proposals used to take between 40 and 60 labor hours to complete, and now we average right around 9 hours per proposal. So that alone has helped my team become more efficient, be able to support other tasks besides proposals, and increase the number of proposals that we can manage at one time, significantly. But, I also love that we have been able to create proactive proposals in the platform that sales teams can generate with minimal effort in less than five minutes, without impacting the workload of my team. And, when language needs to be updated, my team can make a single change to the template being used and know that every future proposal will have the correct language.

There is nothing that I specifically dislike. We have had challenges with creating export templates that meet all of our proposal requirements, but most of that is user error. When we drop our personal pride and ask for help from RFPIO's customer success team, we always end up with guidance that solves the problem. And customer service has been top notch!

We are currently in our busy season. We have more than a dozen proposals in progress, and 30+ people contributing to the content of those proposals. Each proposal used to take 40 to 60 labor hours to complete, and now we average nine hours per proposal. When I start work every morning, I open the platform and see the status of each proposal. Within five minutes I have a clear picture of how each contributor is doing with their responsibilities, whether I need to reassign a question or bring someone else in to help with an answer, and I have been able to retain my time for other company needs that would have previously been neglected during a busy proposal season.

Responsive has allowed our team to have a focussed area where we can work on our projects. With everything from team chat to vital documents on one handy screen, it's easy to see the bigger picture of our projects and enables all of our staff to get the most out of each task.

There is still some work that can be done around the intake phase of a bid. Things like the ability to track clarification questions before the intake is moved to projects is vital for us, as not all bids that come across our intake will be converted to projects and a lot of the time, the decision for this is made based on clarification questions.

As well as better reporting and tracking features, it allows our team to see everything we need relating to each RFP in one place. We switched from using SharePoint / MS Teams. The content library and recommendation facility saves huge amounts of time searching for content. Content owners find the review scheduling/update process very easy to use. The project dashboards make managing mulitple bids so easy - you can see at a glance the live status, who needs to do what and when. Having all bid comms (chat, CQs etc) within the project is brilliant, especially for new team members/coving leave etc. The time savings gained have allowed us to shift our focus to review/tailoring our responses. The Responsive support team are great, always polite and keen to resolve issues and provide help and advice.

A few little bugs in the releases (continual deployment model), which can be frustrating, BUT we flag them and the are generally resolved very quickly.

RFP360 has made such a huge difference in saving time for us. The amount of time we spent manually putting together proposals, sending them out individually, and spreadsheeting proposals was insane. The implementation process with RFP360, the buildout and the support from the team has also been exceptional.

I think the only capability I wish the system had was adding more than one file at a time when dropping files. This is now the most time consuming part of our process, and we really feel it when we are quoting a block that has between 30-60 groups, with 3 to 5 files per group.

Versioning capabilities are also commendable and because this is a thin client, access to the software is very easy with SSO enabled.

The biggest win with RFPIO is lessening the email load. Everything is in the tool and we don't need to track emails. Tied for biggest win is the ability to "police" your contributors. Who's in there? The ability to save answers and documents into the library gives new starters to an organisation an opportunity to assist with the large task of responding to RFI/RFP's etc.  The use of flags and comments allow a more senior person to review any answers that the new starter may not be entirely confident about.  The document library has version history which is also very helpful.

Ideally it would be helpful to have a read only user profile as part of the standard offering rather than having to pay additional licence fees for this feature.  Our broader team has heard about RFPIO but we are unable to provide them with a log in without the risk of our answer library being potentially impacted.

**What do you like best about Responsive, formerly RFPIO?**

I like the versatility of the tool, it can be leveraged in different ways with the right administrator

**What do you dislike about Responsive, formerly RFPIO?**

I wish it could be more customizable for the different user levels

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

It is a great content management tool. I think if there was a quicker way to format that would be great. There are some RFPs that are unique. If the integration from RFP360 could be transfered into Responsive that would make a huge impact
