This is a great tool that enables me to quickly complete my projects and to easily identify the right answers for my RFP questions
It is versatile, has a really nice touch and feel, always a pleasure to work wit it. I start my working day with Responsive.

I am looking forward to see how the Library Information is curated and well kept.
Being a replacement for Qvidian, the previously tool used, I would like to have more autonomous and AI embedded features that would make my work faster and flawless. When are you going to incorporate some really nice fine-tuned AI features?

I would love to see that the product management team has the option to curate the content more often and quickly by leveraging AI, a powerful LLM that provides the best answers by taking into account the context and tailor the answer accordingly.

It fits perfectly at the intersection of what I do best every day: managing complex RFX workflows, coordinating cross-functional contributors, and keeping bid momentum moving forward without creating chaos..

Most importantly the customer support. Right from the day of onboarding, I always have experienced excellent support, the tech support, the management team support for escalations and the day to day ongoing support really stands apart. Especially my CSM- Rajasekaran Pandian, customer friendly, fair and resolves any crisis efficiently. I appreciate the cadence of connect up calls which helps us sort concerns (if any) in a timely fashion, which I find truly amazing.

none, actually. It has completely made by work life easier and effecient.

For someone in bid management like me, the platform solves several very real problems:

Repeatedly answering the same questions
Instead of recreating responses from scratch, Responsive uses a centralized answer library with approved content and AI-assisted suggestions.
Scattered knowledge across SMEs and teams
Technical, legal, security, and product answers often live in people’s heads, old files, or Slack threads. Responsive consolidates that into one searchable system.

The Q&A pair structure is extremely intuitive and makes it easy to organize and reuse content across proposals. The search functionality is especially strong - it’s fast, accurate, and significantly more efficient than traditional tools like SharePoint when trying to locate specific answers or past write-ups. Overall, it streamlines content discovery and helps teams respond more quickly and consistently. When we implemented the tool, we nearly doubled the number of RFI responses our team could handle.

**What do you dislike about Responsive, formerly RFPIO?**

There can be a bit of a learning curve upfront (especially for personnel who don't use the tool on a daily basis) when setting up and organizing content to get the most value out of the platform. That said, their support team is world class and is very "responsive" and helpful - they do a great job of quickly addressing questions and helping you optimize how you use the tool.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Before Response, every part of the proposal process was manual. Now, Responsive helps automate and streamline the response process, making it much easier to manage large volumes with lots of disparate requirements. By centralizing reusable content and enabling quick search and retrieval, it allows our team to respond more efficiently without sacrificing quality. As a result, a relatively small team is able to support a higher volume of bids while also delivering more consistent and polished responses.

Responsive is an excellent platform for managing the RFP process with speed and ease. Its user-friendly interface, automation, and collaboration tools save time and improve accuracy, while the content library keeps proposals consistent. The platform is easy to implement, and customer support is always quick, helpful, and reliable. I use it regularly and highly recommend it.

Responsive delivers the most value when the content library is actively maintained, so it does require ongoing effort to keep answers current and well organized. I rely heavily on the content library it’s really helpful to have a centralized source of approved answers that I can quickly pull from and reuse, which keeps our responses consistent and saves a lot of time.

I also like how easy it is to collaborate. I can assign questions to different SMEs across legal, security, product, etc.

Can get a bit hard to manage as it grows. At LRN, we have a lot of content across different solutions, and sometimes it takes extra time to find the most relevant or up-to-date answer, especially when multiple versions exist.

It is so easy to add new content the library can quickly fill with similar or duplicate content. Features to identify potential duplicates would help at the point of adding new content to prevent this.

Multiple email trails with the bid team are not required as communication is captured within the project.
Storing content in multiple repositories is no longer required as the content library stores all content in one place.
Tags and intelligent search engines reduce time spent searching for content. 
Time spent collating and reporting on bid activity is eliminated as the reporting function allows for instant visibility of live and completed bids.

I use Responsive primarily as our content library repository. Adding new content feels straightforward and low effort, which encourages frequent updates. The interface supports fast retrieval of information using keywords, tags, and projects, which improves day to day efficiency.

The Smart Search feature stands out. Search results return relevant and contextual answers quickly, which suggests strong AI driven understanding of intent and content relationships. This reduces time spent manually browsing the library.

Responsive also includes the Ask feature, which supports AI assisted drafting. Ask generates responses grounded in our existing knowledge base, which accelerates first drafts and improves consistency across answers.

For complex RFPs, Responsive supports full project organization and management. I love that I can start with a preformatted template and use drop-down menus to fill in the information I need. Responsive streamlines the entire proposal process. It saves me time with creating my proposals and has a professional looking format that appeals to my clients. The setup was straightforward after a few online training sessions from our marketing department. I also appreciate the flexibility it offers, as I was trained to use Responsive for one of my departments and brought on another department so that I can use it for both.

I do sometimes have a hard time creating my templates especially when I need to use the [] to auto-populate items. Just making it more user-friendly... easier to manipulate. I typically cut and paste the information there from prior proposals to make sure the formatting is correct.

As a manager overseeing our security questionnaire process, the collaboration and workflow features have been the biggest win. Assigning sections to subject matter experts, tracking progress, and managing approvals all happen in one place — no more chasing people down over email. The workflow automation also makes it easy to run multiple projects simultaneously without things falling through the cracks.

The biggest frustration is that the UI can feel clunky in certain areas — some workflows require more clicks than they should, and a few parts of the interface feel like they haven't kept pace with the rest of the platform. It's not a dealbreaker, but there's a noticeable difference between the more polished sections and the ones that feel a bit dated. Smoother navigation and a more consistent experience throughout would go a long way.

I like the AI Draft tool in Responsive, formerly RFPIO, because it helps us pull content easily and in a way that works for our members. When working on RFPs, the tool can generate responses when we don't have clear-cut answers, and it provides a trace score on how well the response fits the question.

I'm still fairly new to my role and still learning, but I think the content could be organized or stored in a different way that is more effective when trying to find specific responses. I would have different ways of being able to filter or see content, or when it looks for keywords in a question it is more accurate in finding records of the question itself, not just the keywords.

The new UI (compared to when I started) is definitely cleaner and looks modern. There are a few AI features like the Smart Search, which really works well if your data (your responses to questions) are good. I also like the feature to rephrase my manual answer.

It's tricky since I'm used to the UI now so much. I think the biggest improvement could be achieved in the import of RFP questionnaires. I know, they are all different and therefore it's not easy, but maybe some kind of a 'Have you missed this?', 'How about using that?' kind of control would be helpful.

Working collaboratively on RFP's can't get much easier. Not only working together to finish the current RFx, but also benefiting from answers provided to other documents.

Responsive has a breadth of functionality that enables our team to manage a large database of content across business functions. Before Responsive, our content management space was all over the place and Responsive really enabled us to streamline content operations.

We host narrative content in the tools, hence Microsoft Word compatibility would be great. Additionally, dashboarding capabilities to report content achievements to leadership directly in the tool would be great. There are mechanisms but they're not robust.

Responsive is our single source of truth for content in response to RFPs across the business. It allows us to collaborate on content directly with Subject Matter Experts. It keeps our responses and messaging consistent to our customers. It enables us to keep content up to date.

**What do you like best about Responsive, formerly RFPIO?**

I really love how quick and easy the import facilities are for mapping out questions and answers, which used to take a long time before. Another thing I really love are the agents. I love the compliance matrix that I can run within seconds, saving hours of calling for tedious, long, intense documentation. Now, I can hear through responses more easily and focus my time on projects that add more value. We integrate with SharePoint at present, and I love the facility to search through not only our content library but also previous folders. It's been great to use content from other regions.

**What do you dislike about Responsive, formerly RFPIO?**

I think the translation could still be improved. The English language translation is probably one of my key points that I would love to improve.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

I use Responsive to reply to cybersecurity questionnaires, RFPs, PPEs, and proposals. It makes importing questions easy and fast, saving me hours once spent on documentation. I now focus more on important projects using its compliance matrix and agent features.

**What do you like best about Responsive, formerly RFPIO?**

The thing I appreciate the most is definitely the content library with intelligent search, as I can find relevant answers in seconds even without remembering the exact words I used. This is very useful because it suggests similar content, saving me a lot of time in searching. I also really like the fact that I can immediately see the status of each project, so I know who has completed their part, what is missing, and what the deadline is. I no longer have to chase people because everything is there. Honestly, the integration with tools like Word, Google Documents, and Salesforce is convenient because I don't have to leave my normal workflow to use it. Additionally, the functionality of importing RFP formats from Word to Excel and any other type of format and mapping is really interesting and very useful, as well as the ability to export the original document with the inserted responses directly from Responsive.

**What do you dislike about Responsive, formerly RFPIO?**

The initial learning curve of Responsive is not very light, so it takes a while to understand how to properly organize, for example, the library and keep the contents updated. If you don't have someone dedicated to periodically cleaning up, you always risk ending up with obsolete responses within the database. The interface is sometimes a bit cumbersome, especially for those who use it occasionally, like me, so it's not always intuitive to find the function you're looking for without having used it a few times before. And even the quality of suggestions through artificial intelligence can vary. Sometimes it suggests content that is not very relevant.

I use Responsive to manage responses to security questionnaires, reducing manual work thanks to the library of approved content. It facilitates internal collaboration by assigning sections to colleagues and monitoring progress. It resolves consistency issues in responses and simplifies deadline management.

Time savings, easy to use, detailed and thorough but not overwhelming.

Not much. Honestly I can't really think of anything. It has a few quirks like any software, but they are so minimal I don't remember what they are. Nothing is stopping me from working and I don't have to do a bunch of workarounds to use the system.

Saving oodles of time. Making our responses more succinct, easier to read and in one voice. Organizing all of our responses and making them easy to find again and/or tailor and/or keep updated.

**What do you like best about Responsive, formerly RFPIO?**

I am a long-term and early adopter of Responsive's strategic response management software. What I like best is how much easier it is for us to manage our reliable content, answer complex RFPs, and regularly reuse that content so it doesn't get lost. I use it almost every day, and we couldn't manage our extensive projects without it. When I need assistance, their customer support is fantastic, treating our problems like their problems.

**What do you dislike about Responsive, formerly RFPIO?**

Grabbing content on the go that is formatted and ready to add to something outside of Responsive could be easier.

**Recommendations to others considering Responsive, formerly RFPIO:**

Call RFPIO, get a demo, and try it out. You'll love their unique cost structure, easy to use interface, and ability to manage content and projects with a clear view of the workload.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

We get a lot of RFPs through web portals that need to be answered in Excel, making collaboration and content editing a major challenge. We use Responsive to collaborate as a team across internal and external team members - saving so much time! We bring the Excel template in and know how many questions we have to answer, can quickly assess who needs to do what, and spend more time responding to the strategic pieces. 
The platform allows us to manage our extensive content library and collaborate as an extended business development team across sales, marketing, and SMEs. While we have not yet taken advantage of their extensive AI capabilities, we've already thoroughly explored them and look forward to taking advantage of them in the future.

I like that I can import questionnaires from different systems and export them back in the same format, making it easy to share with the client. I also appreciate being able to tag other users and comment and discuss topics alongside the questions so everyone can see the discussion that's going on. It's also handy that we can assign new authors as needed if we realize we are not the best person to answer a question.

Because we've been using it for a long time, a lot of our library is not up to date. So when Responsive is trying to predict or provide answers for us based on the questions, there are so many choices, and none of them are quite right. We need a way that we can work through and clean up our library, but it seems to be quite an onerous task to do so. It's probably a fault on our end, and I'm not really quite sure how we could have done that better. So it's a mix of user error and a system issue for improvement of keeping the library up to date.

It can create answers just using the Q&A pairs in the database, so I don't even have to have an answer to a question; it can create it for me. The initial setup was very simple. We had help from a representative, and all we did was upload our Q&A from a Microsoft Word document, tag it, add owners, and we were done.

Updating content library is not bad, you can export the Q&A library easily, which is good for maintenance and clean up.

Has too many buttons and sections. Overall their UI needs work as it's quite busy, and most icons can be added to a single toolbar that should be collapsible, not spread across the entire screen. I think they have too many different views for most RFP purposes

Before setup, our proposal team was excited for the time savings and efficiency from Responsive/RFPIO. In practice, we learned that Responsive seems to expect users to fit its strategy and workflows, rather than adapting to the team's established workflows.

Auto answer has now improved vastly. It can be hit or a miss, but when it works it works great. Other basic collaboration feature are as robust as they have been in the past.

Search and ability to reuse previous answers should become better with AI, but I think it has stayed the same. Before AI it recommended answers based on keyword match, it still is the same, ideally it should understand full context of question and then recommend answers vs just finding answer with matching keyword.

Responsive has been an extremely reliable and supportive tool for me to respond to complex RFPs with short timelines. Especially with the recent addition of the ChatGPT-style AI assistant, it has greatly improved the productivity of users. I no longer need to manually look up information, which could consume a lot of time, and the citations of information sources ensure that I am relying on verifiable information. Responsive provides a single knowledge repository that aggregates information to support RFP responses, which is a double help when answers need to be backed by credible sources like public URLs. Before using Responsive, I relied only on OEM public resources and sales enablement sites, but now all that is combined within the Responsive feed for me.

We have seen a major reduction in response times for our "simple" RFPs.  The tool is fairly simple to set up and use.  Communication around the tool, new releases, and best practices is quite frequent and thorough. The LookUp (Microsoft plug in) feature is nice.

The mapping of complex RFPs can be time consuming and require a lot of trial and error. The AI is not as performant with complex, multi-product RFPs.  The main problem (which is not due to Responsive) is that maintaining content is quite time consuming and requires a strict governance policy.

Better account management for the "little guys". My company is relatively small however, we deal with extremely complex technical solutions that require custom import configuration solutions.

Responsive has helped us create and maintain an answer library to questions that are frequenly asked in the types of RFPs our company responds to.  The document libraray and "add a guest" to the project features are also helpful in day-to-day problem solving.

**What do you like best about Responsive, formerly RFPIO?**

I am extremely pleased with our choice to implement the Responsive bid platform. It has significantly changed how our bid team operates, making us more efficient and making it much easier to locate content that used to take considerable time to find on SharePoint.

The AI features are particularly impressive. As we continue to add more content to our bid library, the platform becomes increasingly tailored to our organisation’s needs and style. It has also contributed to enhancing the quality of our existing content.

The implementation process was straightforward and hassle-free. The Responsive team has been consistently friendly, helpful, and professional. The online guides and the Responsive Academy tool have been invaluable during setup and onboarding - they are comprehensive and easy to follow. We are already using the platform for all our new bids, which speaks to how quickly we were able to get up and running.

In summary, I highly recommend switching to an AI-supported bid platform for any bid professional still relying on manual processes. It is a tremendous help in organising and managing a large content library, especially for organisations like ours with a wide range of services and products. Among all the platforms we evaluated, Responsive stood out for its user-friendly interface and advanced AI tools, so I would strongly recommend it.

**What do you dislike about Responsive, formerly RFPIO?**

I can't think of any downsides! The only point I would mention is that, to create a truly robust and manageable content library, you need to dedicate a considerable amount of time at the start to properly categorise and tag all your content. This initial effort is important to make sure you get the most out of the platform and avoid feeling overwhelmed later. However, I actually found the process quite enjoyable, especially since it's such an improvement over the manual workflows we used before.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

Responsive addresses several key challenges we faced. First, we struggled to keep our extensive library of past bid content up to date, which became increasingly difficult to manage using a standard content library. Additionally, as the number of bids grew, our bid team resources were stretched thin. The platform made it much easier to implement content review cycles with subject matter experts, which improved the quality and accuracy of our submissions. Collaboration with SMEs on RFPs has also become more efficient. Finally, the detailed reporting and statistics available on the platform have provided management teams with greater visibility into our processes.

There are a few new things I really like about Responsive (formerly RFPIO). The AI feels a lot smarter now — it does a much better job surfacing the right answers without me having to dig around, which saves a ton of time. It’s definitely made responding to RFPs, RFIs, and security questionnaires even faster and less painful.

I also like how the overall workflow feels smoother. It’s easier to see who owns what, track progress, and keep things moving without chasing people down. The platform just feels more polished and aligned to how revenue teams actually work today.

Overall, it feels like it’s grown up from just an RFP tool into something that really supports the broader sales process — and it continues to cut our response time significantly.

**What do you dislike about Responsive, formerly RFPIO?**

Honestly, overall it’s been a really solid experience with Responsive (formerly RFPIO). Overall, the platform has been a big win for us and continues to save a lot of time.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

With RFPIO, we are trying to expedite the turnaround time for completing RFP/RFI/InfoSec documents, while providing standardized and consistent responses throughout the organization. Also, it acts as a single repository for all previous questions so that employees can find the right answer in a single tool without trying to find the answer in various places, such as Google documents.

I like the ability within Responsive for my colleagues and management to put tags like 'NDA required,' 'internal,' 'external,' and 'general topics' on different portions of documentation. This makes it a bit easier to know if it's a document I'm allowed to share or not without having to open it specifically.

**What do you dislike about Responsive, formerly RFPIO?**

I find the search mechanism is not great. The archiving feature, at least the way we're using it, is not so good. It's an older system, and it acts that way.

Responsive creates a centralized location for storing important documents and questionnaires, making information accessible for teammates without searching multiple places. It helps with central management and storage of documentation for client responses, bringing more order and ease of access.

I like that they have listened to our concerns since first coming on board with them. They have worked hard to make improvements. The experience seems to get better and better every quarter. It is becoming a very useful tool and as we think of new ways to leverage it they seem very focused on making those ideas a reality. I also love their "chats" where we get to discuss new features with them and other customers such as ourselves. The culture at Responsive appears to be very much like ours and you can tell by how happy their staff appear on our calls. I really like them as a company and think they are doing all the right things. Makes me glad that we picked them a few years ago. They have been very easy to work with and very responsive to our needs.

**What do you dislike about Responsive, formerly RFPIO?**

One thing I would like is more enhanced notification capabilities like the ability to target a user on a quesiton without necessarily notifying other users on that question. Our process works in stages so when one user is done another may be asked to jump in. The first user no longer needs to get all of the notifications of the second user.

It is our data library and we use it to collaborate. They make it easy for our entire sales team to leverage our content to provide responses both formally in an RFP and on the fly. We are finding more and more of our team using it to answer questions from prospects. The addition of AI is making it even more easy to use for our team. We really like how they continue to work to improve on the functionality and features to make it even more valuable to us as a tool to use on a regular basis.

Knowledge Management: Searching through a previous RFP response database can significantly speed up the response process and ensure consistency. Project Management: Tracking the progress of the RFP (especially when handling multiple RFPs) helps in meeting deadlines and managing the team’s workload effectively.

Responsive's content library is extremely robust and has built-in tools to develop a highly functional information hierarchy. It is easily searchable, filterable, and sortable, and the AI generates great answers with source citations.

The project workflow offers AI features to complete questionnaires with lightning speed while citing sources to be able to check for accuracy.

**What do you dislike about Responsive, formerly RFPIO?**

The text editing console is super basic, making content formatting tedious. Tables are flat our impossible - no formatting functionality at all so that we have to format in Word, and then go back through and manually format the text to the HTML codes.

The UI is pretty complicated, but this is due to all the features and functions.

**What problems is Responsive, formerly RFPIO solving and how is that benefiting you?**

AI features are a HUGE time-saver and have a good degree of accuracy. I have found things to be inaccurate when the question has to do with something that is not in the library, and the AI will derive an answer from Q&As with similar verbiage, but it will be way off base. Example: one of the questions was asking to provide 3 references, and AI derived an answer from a Q&A about *former clients, so the context was not caught.

I really like the team that I work with; they've been really helpful. I like the AI features where I can ask questions. It's really intuitive to use, and I like how it makes less work for me to do, allowing me to focus more on more important tasks.

For my role in particular, it's not very helpful for generating offer letters, mostly because every customer asks for something different usually. Right now, it basically shoots out the same product that I already have, the same template that I would use anyway. It could be improved by just working more on the offer templates rather than just RFPs. I would say it's pretty easy to set up, but definitely a learning curve to get the hang of it.

Responsive creates a central repository for my content, making it easy to access with a search word rather than going through individual documents. It's amazing for accessing previously hard-to-find content within my company.

- Quick & Easy to Use
- Quality Suggestions as responses/Library etc.
- Progress % is the best thing which shows how much more time should a user spend on the project to plan his high/low volume
- Customer support is awesome (the team is always there to help and resolve during tight timelines of RFP submissions when we hit a roadblock)
- Auto repsonses feature resolve most responses and save precious time for Bid Managers.
- We use this tool daily for about 4-5 Projects thus saving significant man hours and timely delivery of projects

Honestly there is nothing notable here actually for RFPIO. So far is happy using this product to delivery responses on time effectively and efficiently
