What do you like best about Proposify?

We organized the Content Library around the parts of a technical proposal that tend to cause problems later on: API development, migrations, authentication, environments, post-launch support, and client responsibilities. We also store frequently used diagrams, pricing blocks, and implementation tables there. When our support policy changes or we stop offering a specific integration version, we update the approved source once, instead of hoping everyone remembers which older proposal needs to be corrected. Sections can be created directly in the library and then inserted into documents or templates. That lets us reuse the parts that should stay consistent without forcing every proposal into the same rigid structure. Variables are simple, but they’ve prevented some very visible mistakes. We use them for the client, company, owner, value, dates, and other project-specific details. In an earlier implementation, an internal draft went out with another client’s name buried inside a technical section that had been copied manually. Since moving those details into Variables and mapping them from the opportunity, that risk has dropped significantly. Review collected by and hosted on G2.com.

What do you dislike about Proposify?

Proposify can make a scope look much clearer without actually making the scope itself any better. A polished proposal can still be risky when dependencies, acceptance criteria, client responsibilities, or technical assumptions haven’t been properly worked through. The platform helps us standardize the document and add some controls around how it moves through our process, but it doesn’t replace discovery or an engineering review. What problems is Proposify solving and how is that benefiting you?

A proposal for an ERP integration was almost ready to send when I reviewed the technical section and realized sales had bundled real-time, bidirectional synchronization, historical migration, and six months of support into the same price we had estimated for a simple nightly import. The document looked polished and complete, but the project it described wasn’t the project engineering had actually priced. We reopened it in Proposify, swapped the outdated section for an approved block from the Content Library, filled in the client details and dates using Variables, and reworked the Pricing Table to reflect discovery, core implementation, optional migration, and recurring support. We also added a Client Input Form to have the client confirm which system would be treated as the source of truth, since that choice affected far more than just the wording of the proposal. Because the revised scope exceeded what had originally been approved, the Approval Workflow routed the document through delivery and finance before sales could send it. The client chose migration as an add-on, signed electronically, and paid the deposit through Stripe. Proposify didn’t fix the original estimate for us. What it did do was surface the mismatch early enough to correct it, keep approved content centralized, and tie together pricing, review, client input, signature, and payment—without forcing sales and engineering to reconstruct the full story in yet another meeting.
