OpenProject is super intuitive to use, there is a great online documentation (and personal support) but it is not really needed. I love that you can do everything in OpenProject and don't need any other tool. Even emails are not necessary because you are communicating in OpenProject, that really helps to streamline communication. We have increased our productivity because all information is in one space and you don't lose time going through different systems looking for the latest information. For me, data security was a big factor as we have a lot of confidential data being processed and OpenProject offers secure hosting (if you use the cloud version, otherwise on-premises is of course even better) and they don't share your data. **What do you dislike about OpenProject?** I can't really say anything negative, love the tool and its ease of use. **What problems is OpenProject solving and how is that benefiting you?** OpenProject allows me to have all project relevant data in one space. Despite the frequent updates, the software is still buggy. 2. It has only basic system of permissions e.g. lack of privileges on levels lower than a project like on work packages or custom fields. 3. Budgets management is very limited e.g. there are neither margin option nor possibility to use common budget for couple projects. 4. It still lacks a some system of automation e.g. possibility to write some scripts, define own views for all projects at once etc. 5. Working with many projects is very limited. 6. You cannot use custom fields in many features like cost reports or my page widgets. 7. The external API is still underdeveloped. 8. Lack of KPI's, resource management and employees efficiency. **Recommendations to others considering OpenProject:** OpenProject is a good and trustworthy solution but it is only a tool. First you need to define your own needs, create your own processes and then decide if this software can fulfill your requirements. **What problems is OpenProject solving and how is that benefiting you?** 1. The important thing is to know exactly how we want to use it, and we will have very important customization options. What I enjoy the most is how fast it is; it is a powerful yet very lightweight software. In our company, we have it installed on a local server, and the access speed through the intranet is unbeatable, but it also remains fast when we are working remotely or from home and access it via the Internet. The ease of creating tasks and assigning them to people, as well as creating work packages within a project, is unbeatable. The large number of options when creating a work package is very useful, as is the ability to assign custom statuses to these work packages. Finally, the relationship we can establish between tasks is also extremely useful, with the ability to add predecessors easily and quickly. **What do you dislike about OpenProject?** The only feature I miss from this tool is the ability to create visual schedules in the "spreadsheet" style that other market options offer. Although it provides the possibility to generate project timelines, this functionality has been of little use to me when it comes to projecting tasks that will be carried out in a future time period and that I need to visualize graphically in the form of a calendar with phases, tasks, and relationships between them. **Recommendations to others considering OpenProject:** To successfully implement this tool, it is essential to have a clear understanding of its intended use. The way internal processes are structured is key to doing it correctly. Additionally, the most appropriate approach is to have a gradual migration process from another platform. This way, we avoid data loss or realizing that we lack vital features when it's too late. **What problems is OpenProject solving and how is that benefiting you?** It is currently used to manage the task allocation of different work teams within the company, with the ability to track compliance with timelines, goals, and quality standards. This task allocation covers the entire spectrum of action of our agency, from receiving technical support tickets from clients to passing requirements to specific technical teams, to the billing, collection, and payment process to suppliers. Additionally, we developed an in-house tracking tool through which the time spent on all the company's operational tasks is tracked, allowing for more accurate costing. ### 14. It is designed very efficiently that makes it easy for the users to use it. Creating filters and saving them is one main feature that I love the most. It helps to save time and you could get all the information at the click of a button. Creating custom rows and columns under while creating Cost Reports is another thing that is very useful. I do this on a weekly basis and has helped me in achieving different types of Reports for my senior managers. **What do you dislike about OpenProject?** One main thing that I dislike about this application is its inability to expand and collapse tasks. When a parent task has multiple children and it ranges over to multiple pages, it makes it difficult to track the tasks. You would not be able to know which child comes under which parent if the parent and child is in a different page. It would be great if the OpenProject UX designer see this as a serious issue and make necessary pages, this would resolve a lot of problems. It would also be great if a new feature could be included to export Cost Reports in excel sheets so that Utilization reports of different teams could be calculated in an excel sheet. **Recommendations to others considering OpenProject:** OpenProject is an amazing tool if all you want is to track your Project and generate Cost Reports. It also help you organize tasks and features of your project. **What problems is OpenProject solving and how is that benefiting you?** Tracking statuses of different tasks and managing them is very easy with Open Project. In short, it is a very complete tool for project management. **What do you dislike about OpenProject?** As far as I've been able to work on this tool is only available for Linux environments I have not been able to work with it under the windows environment, it is true that the vast majority of development teams use linux environment but I think there should be a version available for windows 10 natively. I think the option to be able to handle it is the option in Cloud. **Recommendations to others considering OpenProject:** Most of the development projects that fail within the IT Software Factory industry are because they lack tools of this type for the management of projects and work teams, particularly I think that open project is a solution to this issue, since It allows you to really measure the scope of the project in all important statistics, tasks, development teams, costs, development times, resources, you can even identify if some tasks that you set out at the beginning are necessary as you thought. Particularly this type of tools allow you to assess these points very precisely, in addition you can give a report or much more complete report to the client, based on the project management a bit more advanced and correct. My general recommendation is that they try the trial of 14 days that they offer as proof and if it is to your liking that I am sure that it will be acquired some of the available plans to make the update to the business plan. **What problems is OpenProject solving and how is that benefiting you?** I have been able to take a more orderly project management, which has resulted in reduced development times and project costs, in addition to being able to show the client all the processes in a much more efficient and orderly manner, and I have been able to incorporate methodologies development as Agile and Scrum that have also allowed me to be able to take better management of the development team in virtue of taking better advantage of the development team. ### 16. What I like the most is that it allows me to observe the status of my projects using Gantt diagrams, which shows in a more graphic way the progress I have had during the time that has elapsed to a project to which I currently belong in my work. In a few words, it offers me everything necessary to be able to plan a project with guarantees. I was using Redmine previously in my company before moving to OpenProject. I love the UI offered by OpenProject - it's not as boring or monotonous as Redmine. As a project manager, I constantly monitor the status of bugs reported within my projects. The ease of use in setting up filters and saving these filters privately/publicly is a feature that has helped me within my organization and with my clients. Setting a custom filter to filter out the features that are being developed in different phases and creating a separate menu item for this filter helps my clients get a quick idea about the features that my team is developing in each phase of the project. **What do you dislike about OpenProject?** it would be really great if there was an option to export cost report. While trying to understand the resource utilization within my project, exporting the cost report as an excel sheet will greatly help me in filtering out different reports. Also, there have been many cases where I get a server error when uploading documents. My clients have reported the same issue, which is very annoying when you are trying to share important documents. **Recommendations to others considering OpenProject:** It's an amazing tool which is very easy to use and covers every aspect of Project Management in the simplest way possible. **What problems is OpenProject solving and how is that benefiting you?** Managing and tracking the project from a high level and the ease of drilling down to the granular level is something that has always made me root for OpenProject. ### 18. This leads to a lot of clutter for projects of a reasonable size. UI improvements are needed. Especially with the filters & cost reports. While there is an option to maintain relationship between work packages in different projects, there is no way that the contents or the statuses can be reflected automatically when change is made on one of them **What problems is OpenProject solving and how is that benefiting you?** Open Project is best suited for small to medium sized projects. With the issues mentioned above, it creates a lot of clutter for large size projects. It is easy to use and not nearly as cumbersome as other scheduling programs. Perfect option for someone looking to create basic project schedules and display timelines in bar chart or calendar form.
