"Streamlined Service Coordination, but CSV Imports Need Work"
4/5
What do you like best about Onsite CRM?

What I like most about Onsite CRM is how it connects client service cases, scheduled appointments, subcontractor profiles and compliance paperwork all in one space, which makes the handoff between our office team, customer service reps and field supervisors way less chaotic. I can tie a service case directly to the client’s signed contract and the assigned subcontractor. I still remember that HVAC appointment scare we had. Once we saw our HVAC subcontractor’s insurance was expiring soon, I updated his compliance status in the record. Our support team could instantly see the red flag before talking to the client, so nobody accidentally locked in that risky job. I heavily use custom fields and weekly CSV imports. I built custom fields for service codes, appointment windows, insurance status and contract expiration. Just last week our field lead needed all upcoming visits waiting for renewed insurance. I filtered the compliance field and pulled the full list in minutes. Before this CRM, I would’ve spent more than an hour flipping between spreadsheets and PDF folders. The role permissions are well thought out too. Customer service can look up client contracts and appointment times, but they can’t edit compliance status. Field supervisors can log visit outcomes and update case progress, without altering sensitive pricing terms in client agreements. I ran two short group training sessions, and the staff quickly got comfortable pulling up records on their own, instead of messaging me constantly for help. Onsite CRM stays focused on what we actually need: client onboarding, scheduling, compliance checks and service case tracking. It doesn’t shove unnecessary sales automation features on us, and we were able to configure everything ourselves without hiring an expensive outside consultant. What do you dislike about Onsite CRM?

There are a few recurring pain points that eat up my time during busy service weeks, even though the core case tracking works reliably. The CSV field mapping is really sensitive to special characters. Earlier this month, I was uploading a batch of newly onboarded clients and subcontractor data. One of our plumbing subcontractors had parentheses in his business name, and that threw off the column mapping entirely. The system only sent a generic failure notice, with no hint of which cell or row caused the conflict. I spent a good chunk of time cleaning and reworking the whole sheet, which delayed activating those new service cases right before their service window opened. Cross-record filtering is another big limitation. Our field manager recently asked me to find all active service cases assigned to our electrical subcontractors where the appointment is scheduled but compliance hasn’t been approved. I can filter subcontractors or service cases separately, but I can’t combine those two conditions in one saved view. I had to export two separate lists and cross-match them manually in Excel. It’s not a showstopper, but these repeated manual steps add up fast when we’re juggling dozens of open service cases at once. It also wasn’t plug-and-play; mapping all our custom fields took careful planning on my end. Review collected by and hosted on G2.com.
