I find Google Workspace easy to use, especially with Drive. The docs and spreadsheets are well done, and I like how it facilitates sharing and collaborating on documents.

**What do you dislike about Google Workspace?**

The slides product feels clunky and hard to use overall, and it’s just not that great. The email features are okay, but still not great. Sometimes the way emails are grouped feels awkward and clunky, and the spam filtering isn’t very accurate.

**What problems is Google Workspace solving and how is that benefiting you?**

Google Workspace helps with email, writing, collaboration, and sharing documents. It makes working on docs and creating presentations feel seamless. Email is the main way we communicate with clients, providers, and external contacts in general. We use documents for both internal and external proposals, to create PRDs, and for other day-to-day writing. We also rely on spreadsheets for reporting and analysis.

**What do you like best about Google Workspace?**

There are three active documentation projects running simultaneously, a product specification update waiting for review, illustration annotations to cross-check against SolidWorks drawings, and a client email thread that needs a structured response before the afternoon. That is before the week has properly started.
That is the reality of design engineering and technical documentation work. And that is exactly the environment where Google Workspace stopped feeling like just a set of productivity tools and started feeling like an actual system built around how real work happens.
The moment everything changed was when I started using Gemini-powered workflow automation inside Workspace. There is a certain kind of task in documentation work that is necessary but mentally draining  reformatting content, routing files between team members, updating trackers, generating consistent output across multiple product lines. These tasks are not complex but they consume time that could go toward work that actually requires engineering judgment. Automating those processes through Gemini did not just save time. It gave back a quality of focus that repetitive manual work quietly erodes over a working week.
What I genuinely appreciate is that the automation does not demand a technical background to set up. On days when a quick solution is needed, describing the task in plain language to an AI-generated flow gets it running within minutes. That accessibility matters in a professional environment where the priority is the documentation work itself, not learning a new technical system to support it.
The versatility across three different approaches is something I did not expect to value as much as I do. Pre-built templates handle the recurring processes  documentation review cycles, project update structures, client communication workflows  reliably and consistently. Custom solutions built from scratch cover the workflows specific to Acuity Lighting’s internal documentation standards, where off-the-shelf templates simply do not fit. Having all three options available means the right approach can be matched to the right task rather than forcing every process into the same template.
The feature that makes all of this genuinely powerful rather than just impressive is variables. The ability to pass information dynamically between steps pulling product data from a Google Sheet, populating a Docs template, routing the output to the right folder in Drive, and triggering a Gmail notification to the relevant team member  all in a single automated flow  is what turns Google Workspace from a collection of useful tools into one connected operational system.

**What do you dislike about Google Workspace?**

spending enough time inside Google Workspace daily at Acuity Lighting, a few limitations have become familiar enough to talk about with some confidence.
The first one hit early. When I moved beyond the standard templates and started building custom automation flows for documentation workflows specific to Acuity’s product lines  multi-step logic, variables passing data between Docs, Sheets, and Drive, conditional routing based on project type the learning curve became real. Workspace Studio does a good job of making automation feel approachable at the surface level, and the AI-assisted setup helps significantly. But the moment a workflow needs genuine complexity managing variables across multiple steps, configuring logic that handles exceptions, setting up flows that behave differently depending on the input  the simplicity of the interface starts to feel like a constraint rather than a feature.
It is not that it cannot be done. It can. But there was a period of trial, error, and frustration before the more complex flows started running reliably. For a team focused on delivering technical documentation rather than learning a new automation platform, that investment of time is worth flagging honestly.
The integration scope is the second area where reality does not quite match expectation. Google Workspace connects its own tools beautifully Docs, Sheets, Drive, Gmail, Meet all work together in a way that feels genuinely seamless. But in a professional engineering environment at Acuity Lighting, the workflow does not live entirely inside Google’s ecosystem. When automation needs to reach outside connecting to third-party systems, pulling data from external platforms, or triggering actions in tools that sit outside the Workspace environment  the configuration process adds layers that quickly become more complex than the original problem being solved.
Each additional integration point introduces another setup stage, another authentication step, another potential failure point to monitor. For straightforward internal workflows it is manageable. For complex cross-platform automation involving specialized engineering or documentation tools, it starts to feel like the platform is being pushed slightly beyond its natural boundaries.
The feature depth tension is perhaps the most nuanced frustration. Coming from a technical documentation and design engineering background, there are moments when the AI-assisted approach m which works beautifully for most tasks  does not provide the granular, precise control that a more technically demanding workflow requires. The balance between making automation accessible to all users and giving power users genuine code-level control is a difficult one to strike, and Google Workspace occasionally lands on the wrong side of that line for more demanding use cases.

**What problems is Google Workspace solving and how is that benefiting you?**

There is a moment every documentation engineer knows well. It is the end of a project sprint at Acuity Lighting, multiple deliverables are due, the inbox has unread threads going back three days, and somewhere in that pile is a critical client update that needs an immediate response. Everything feels urgent and nothing feels organized.
That is the problem Google Workspace is solving for me  and it is solving it in a way that feels genuinely built around how real professional work actually flows rather than how a software developer imagined it might.
The most immediate benefit has been efficiency through automation. Routine processes that used to demand manual attention monitoring specific project notifications, generating summaries of unread email threads, routing documentation updates to the right team members now run automatically in the background through Workspace Studio. The first time a workflow ran end-to-end without any manual input, handling a process that previously took fifteen to twenty minutes of daily attention, it was genuinely difficult to go back to doing it the old way. That recovered time compounds across a working week in ways that become significant quickly.
What makes the efficiency gain sustainable rather than a one-time setup benefit is the flexibility in how automation is built. Early on, when the priority was getting something working fast, describing the task to Gemini in plain language and letting it generate a flow was the practical choice. No configuration knowledge required  just a clear description of what needed to happen and the platform handled the rest. For a documentation professional whose priority is the technical content rather than the tooling around it, that accessibility was the difference between actually using automation and putting it off indefinitely.
As confidence grew and the workflows became more specific to Acuity Lighting’s documentation standards, pre-built templates became the go-to starting point. A template for summarizing unread project emails, customized slightly to filter by sender and project tag, became a reliable part of the morning routine. **What do you like best about Google Workspace?**

What I like best about Google Workspace is how easy it is to use across the workday, especially in a role like mine where I need to stay organized, communicate clearly, and move between different tasks quickly. As a Mental Health Case Manager, I regularly rely on Gmail, Google Calendar, Google Meet, and Google Docs, and it is helpful having everything connected in one place instead of switching between separate platforms. It makes scheduling, team communication, note-sharing, and document collaboration feel much more streamlined.

I also really like the overall interface and aesthetic. Everything feels clean, modern, and intuitive, which makes it easier to find what I need without wasting time. That may sound minor, but when you are using a platform constantly throughout the day, the visual simplicity and layout make a difference. Google Workspace also works really well across different devices, which is a big plus. Being able to access the same email threads, calendars, files, and meeting links easily from my laptop or phone makes it much easier to stay on top of things when I am not sitting in one place all day.

Another thing I find valuable is the real-time collaboration. Google Docs in particular is useful when working with teammates because multiple people can edit, comment, and review information at the same time without version confusion. Overall, Google Workspace has been one of the most practical and reliable parts of my day-to-day workflow.

**What do you dislike about Google Workspace?**

The integration is a strength overall, but there are moments when settings, permissions, or file locations are not as immediately obvious as they could be. In a fast-paced role like mine, even small delays in finding the right document or confirming access can be frustrating. 

I find that the mobile experience, while very useful, is not always as smooth as desktop for tasks that require more detail, especially when reviewing longer documents or managing multiple tabs of information at once. Another minor issue is that shared Drives and heavily used folders can become visually crowded over time if teams are not consistent with naming and organization. None of these are major problems, and the platform is still very reliable overall, but there is definitely some room to make navigation and file management feel a little more streamlined.

On the onboarding side, Google Workspace is relatively easy to get up and running with because the tools are familiar, and in my experience it does not require much training to start using core functions like Gmail, Calendar, Meet, and Docs effectively. In terms of AI, features like smart compose, suggested replies, and other built-in prompts are helpful for saving small amounts of time throughout the day, especially when handling a high volume of communication and routine documentation.

Google Workspace is solving a lot of the day-to-day coordination problems that come up in a fast-paced work environment. In my role, the biggest benefit is having communication, scheduling, meetings, file storage, and collaborative documents all connected in one system. It reduces the need to jump between disconnected platforms and makes it much easier to keep track of emails, calendars, shared notes, and team documents without losing time. That has a real impact on workflow because it helps things move more efficiently and keeps communication clearer across teams.

It is also especially helpful for collaboration and access. Being able to work in the same document with other people in real time, join meetings quickly through Calendar links, and access files from different devices makes the workday feel much more organized and flexible. From my perspective as an end user, the value comes from how much time and friction it saves in everyday tasks. Pricing and ROI are not really areas I am directly involved in, since I use Google Workspace through my employer rather than being part of the purchasing or decision-making process, but from a usability standpoint it has been very practical and reliable.

A one-stop shop for all my files, with easy access for sharing and the ability to use it across platforms. The apps are integrated together, which makes my workflow simple and smooth. There’s no lag, and the programs run incredibly quickly no matter how small or large the file is. Every base product is free. The help feature is incredible, especially because it uses AI-generated features.

The only downside I’ve come across so far is when crossing over from Sheets to Docs. It would be nice if the same formatting carried over automatically, without having to go back and make all those changes.

Google Workspace includes all the relevant tools I need to handle my daily tasks and stay connected with my team. We use email for documented communication, Hangouts for quick and easy reach, Google Sheets to analyze data, Slides for presentations, and Sites to build a knowledge base. We also use video creation to produce tutorials for customers. The current features for summarizing emails with the help of Gemini, along with Workflow Studio, are awesome.

**What do you dislike about Google Workspace?**

I’ve noticed that some features, like Sites, require a Google Workspace account for the recipient to view the published version. This sometimes makes sharing difficult. We should be able to share it as long as the email address is valid. Also, the new Workflow Studio feature should read labels and provide a summary, rather than showing only the inbox.

**What problems is Google Workspace solving and how is that benefiting you?**

It helps solve communication gaps between teams through chat and Google Meet. I don’t need to purchase additional software for report creation, since I can do that via Looker Studio.

**What do you like best about Google Workspace?**

I like google docs the best out of the entire workspace. It's far superior to Microsoft Word. It's clean, clear, lots of easy to find features, customization, intuitive, it's easy to open/save docs, once I started using it instead of MS word I was like, "oh, this is much better" and just haven't gone back or use any other word processing for writing. For the rest of the workspace? I have major issues with. Love being able to integrate it with anything, as well.

**What do you dislike about Google Workspace?**

I hate Google Voice, and Google Calendar and Google Drive is just ok. I've had so many bugs, issues, and irritations with voice and calendar. I send calendar invites to patients, and they never receive them. I sent a text through Google Voice only to find out, by asking communities one day, why the hell my contacts aren't receiving texts. It's because if you type more than 160 characters, it just... doesn't send, and there's no error message at all. Nothing. Nowhere is this fact made obvious. It has something to do with SMS, the type of phone, or whatever, I don't care what the excuse is - let it be known this is a limitation. You can't have the word count on voice either when you text. 

So I have to double-check the text I send in Google Docs. Copying and pasting the entire Google Calendar link, the longer form link doesn't work in texting either; it just doesn't send. I went three or four months before finally realizing this had happened. I thought it was either my fault or my contacts never checked their spam, or they were poor communicators/ghosting. I have to copy and paste only the URL link and text it to them, but only after I've confirmed with the contact that they've received the text, then I send the link. If you have an email address not associated with Gmail, there's NO CHANCE the Google Calendar invite will be sent. 

Sending reminders ought to be a feature that should've been there for years - other calendars are doing it. Why can't Google, of all companies, allow the calendar event creator to SEND A NOTIFICATION to the other person - the other person has to set up their own notifications. It feels like Google is run by the Windows 99 team. 

 Also, the Google Voice interface is profoundly outdated. You can't update contact information in Google Voice; you have to open Google Contacts separately. You can't even edit the name; you can ENTER a name, but you can't edit it. Make a typo? Too bad. Open contacts because Google Voice outsourced that task elsewhere. 

You can't edit anything or add anything in Google Voice. Contacts and voice need to be combined. Can't tell you guys, how annoying it is when you have 12 clients per day, using Google for everything because your agency requires all communication through it, add all this work that we've already evolved out of, but still having to do everything, and not even having the knowledge that some of these things just don't work.

I only use Google Drive to store Google Docs, nothing else. I'm using a different app for storage, and it's not OneDrive either. Google Drive has a lot of irritating interface issues, but for me? Google Calendar and Google Voice are the problems. Gmail is fine, it's the best part of the workspace, and it's not even close. It's because it was the first thing they created, so it's obviously refined and mastered. They need to apply the same effort to everything else, but they haven't and it's painfully obvious.

Google Workspace is barely a modern workspace, and it's barely helping me, and most of the time it's created frustration, barriers, irritation, inefficiency, rude community moderators, and outdated interfaces with common sense features just completely absent, and the absences are painfully, severely obvious - I don't understand why they haven't changed.

It's really quite remarkable. I would've never complained about Google before having to utilize it in a job with tons of clients. I used to be only a Gmail "Andy," thinking Google was the greatest. I was a musician before becoming a therapist. So I wasn't savvy or knowledgeable about tech or software much at all. It's crazy to me. I have no doubt I'm not the only one complaining, I'm probably late to the party, and I'm sure people have begged Google to update their interfaces for years.

The biggest thing for me is reducing the mental 'clutter' of using ten different tools. Having my email, docs, and storage all under one roof—and accessible with one login—just makes my workflow feel smoother.

Recently, the Gemini integration has been a lifesaver for getting past that initial 'blank page' syndrome. Instead of staring at a cursor for 20 minutes, I can have it generate a rough outline or a quick email response, which I then tweak. It hasn't replaced my writing, but it's definitely sped up my 'get started' time. The benefit is basically getting back a few hours of my week that used to be spent on administrative busywork.

The interface feels a bit dated and plain. Navigating through the various settings and menus isn't always intuitive, and it can take a few extra clicks to find what you're looking for compared to more modern tools.

**What do you like best about Google Workspace?**

I like the tools it provides under a single subscription, such as Google Documents, Google Sheet, and Google Slides. The best part is that I can share files easily and manage access simply by allowing only my company to view them. That way, if there are any confidential files, they can’t go outside my workspace. I also like the extended storage option in Google Drive, which really helps us distribute projects and files with our clients and team members. We use Google Workspace on a daily basis, whether we need to email, create documents, or share anything.

**What do you dislike about Google Workspace?**

I don’t like some features and limitations of Google Workspace. The first limitation is permissions. If we don’t have access to record a meeting, then we can’t record it at all, no matter what. That’s understandable, but at least there should be a way to request this permission so the admin can approve it after seeing the reason. Right now, we have to ask the admin team manually, which doesn’t really help because the need to record is usually instantaneous, and it’s possible the team isn’t around when we need it.

The second thing I don’t like is the limitation around using better Gemini models. We can’t make purchases on our own to use a better model; everything is set up and provided by the admin. So if they don’t allow it, we’re restricted to whatever is provided to us.

**What problems is Google Workspace solving and how is that benefiting you?**

It helps solve the issue of data leakage from confidential documents. We can ask admins to identify which employee did it and restrict their access before a major incident occurs.

Another problem it solves is related to email: all company employees have mail in the same domain, so it becomes easier to find the right employee quickly. It also helps us confirm whether someone is genuinely representing the company, so we can safeguard ourselves if someone is portraying themselves as an employee.

The other problem it solves is actually my favorite one. As a consultant, I have to take meetings multiple times a day with different teams, like the development team, admin team, clients, and sometimes managers too. When scheduling meetings with internal people, I can see when they are available by viewing their calendar from my calendar while setting up the call. It doesn’t work with external people like clients, but within our own team we can make sure we schedule calls when everyone is available. Also, if I have a client call, other team members can see whether I am available at that time, and based on that they can schedule their calls as well.

Collaborating on the Google platform is like nothing else I have experienced online: a seamless interface designed for working with large groups. After years on the market, this system is tightly honed, each software feature fully tested, and all the bugs worked out, not just on any particular application, but across all applications and the links that allow users to work with several applications simultaneously. 
Documents, Sheets, and Slides are great, though admittedly very much in alignment with what was originally the MS Office suite. The game-changer here is Google Forms, which remains a groundbreaking application with endless uses, especially given the myriad add-ons developed for it.
Another great feature of Google Workspace is mobile access on iOS. I can access everything I am working on seamlessly from a mobile device. No loss of fidelity, no functionality issues; everything is seamless and super-easy to navigate. This is the way software is meant to be!
I've worked at many locations that rely on Google Workspace, and at all of them, I have been amazed at how easy it is to just jump in and start using the platform. My frequency of use for this software is considerable, and I find it easy to integrate Google Workplace with other platforms as needed to improve my workflow.

There is little I dislike about Google Workspace, if anything. 
While I have never experienced this firsthand, I am told that customer service for the platform is practically non-existent, and that account lockouts, when they occur, are a nightmare to resolve.

It’s a pretty mature product, so there isn’t much to dislike. The main issue is that the plan we’re on right now doesn’t allow meeting recordings, which is a problem. Third-party extensions also don’t work well for this, so we end up joining on Teams or Zoom just to get free recording. It would be more useful, and help retain customers, if they offered something like up to 30 minutes of recording even on the lower plans.

It can be pricey per user and adds up quickly once you have a few, they don't support different users on different pricing plans, so even if only a few users need higher level plans or more storage space you need to upgrade all which will be costly. Google Workspace lets us collaborate as a team on spreadsheets, documents, menus, and presentations across different machines and from different locations.

**What do you like best about Google Workspace?**

I appreciate google workspace because it's SO intuitive. I've used it for the past 10 years (before that i was an outlook user) and I didn’t need much training or a demonstration to get comfortable, and now it’s just part of my daily workflow. It helps me stay organized without feeling like I’m managing a bunch of separate tools.

**What do you dislike about Google Workspace?**

My only opportunity is for myself to learn how to organize Drive better! It  can turn into a rabbit hole pretty quickly. If things aren’t labeled and organized well, it’s easy to lose track of files. I’ve definitely spent more time searching than I’d like.

**What problems is Google Workspace solving and how is that benefiting you?**

I love the collaboration I can get with Google workspace, especially across teams. Being able to edit documents together, leave comments, and instantly share updates keeps projects moving without delays. It’s made teamwork feel a lot more streamlined and less disjointed.
