"Digital Pigeon Makes Large-File Delivery and Client Feedback Effortless"
4.5/5
What do you like best about Digital Pigeon?

As Facility Operations & Client Partnership Manager at Pinnacle Site Services Group, Digital Pigeon’s large-file delivery system with granular download tracking brings the most value to our field services operation. Our work routinely requires sharing bulky inspection photos, floor plan revisions, mechanical system reports and post-service video walkthroughs with commercial property managers and subcontractors. Traditional email limits and generic cloud links left us juggling multiple attachments and following up repeatedly to confirm receipt. Digital Pigeon’s transfer dashboard lets me bundle these heavy assets into one delivery package, with individual access permissions for each stakeholder. Last month, after completing a full HVAC and janitorial audit for a downtown office campus, I sent a 12GB package containing thermal scan images, annotated blueprints and crew checklists to three separate contacts at the client firm, restricting subcontractors so they could only view their assigned sections. This functionality cuts roughly three hours weekly I once spent splitting files across separate shares and sending follow-up emails to verify delivery status.

I also lean heavily on its built-in feedback tool that lets recipients add timestamped comments directly on uploaded images and PDF documents. Property owners often flag problem spots on maintenance photos and note adjustments they want our field crews to address. Instead of copying feedback into our work-order spreadsheet manually, our team reviews these embedded notes before dispatching technicians. This keeps client feedback tied straight to the relevant visual evidence and eliminates miscommunication that could arise when comments get separated from the original inspection materials.

One pleasant surprise we encountered is its expiry and reminder automation. Many of our client contracts require us to archive service records for a fixed window before we can retire active file links. I set custom expiration dates for each delivery, and the platform sends gentle alerts to our team before links deactivate. It also prompts recipients who have not downloaded critical audit documents, so overdue reviews do not stall scheduled rework. Before Digital Pigeon, we tracked these deadlines on a separate sheet, and it was easy to overlook pending client approvals that hold up maintenance timelines.

Our mid-sized firm only has a single part-time IT resource, and we appreciate that recipients never need an account to access the shared packages. This file transfer platform is not a substitute for our work-order CRM, so we still paste delivery links into individual client service logs. Even with this extra step, Digital Pigeon streamlines our external document exchange. It consolidates large inspection packages, anchors client feedback directly to site visuals, and reduces the follow-up overhead that comes with coordinating maintenance work for our portfolio of commercial building clients. What do you dislike about Digital Pigeon?

As Facility Operations & Client Partnership Manager at Pinnacle Site Services Group, Digital Pigeon’s rigid notification structure and limited integration capabilities create noticeable friction within our commercial maintenance workflows. We distribute inspection captures, annotated floor layouts and service reports to property managers and subcontractors, yet the platform’s alert system offers only generic download notifications. There is no way to trigger targeted alerts when a client leaves feedback marked urgent on an image or PDF. When we carried out a plumbing integrity audit for a multi-tenant office building recently, a property manager tagged a leaking riser as high priority, but our team only spotted this comment hours later during a manual log review. That delay pushed back our plumber dispatch window and risked water damage to tenant suites. Constant manual monitoring of every outgoing delivery package eats nearly three hours each week, time I would otherwise allocate to aligning subcontractor rosters and auditing upcoming service contracts.

I also find its reporting functionality too basic for our compliance tracking needs. The platform logs basic download events, yet it cannot compile aggregated summaries grouped by client location or project phase. Many of our building owners require quarterly proof that all safety and maintenance documentation was delivered and reviewed. To compile these reports, I have to export records for each transfer separately and combine them in spreadsheets. This fragmented process makes it hard to quickly show stakeholders a full history of documentation shared for their facility.

An unforeseen source of frustration lies in its branding customization boundaries. Our client base includes premium office landlords who expect polished communications aligned with our company identity. The default delivery page carries prominent Digital Pigeon branding on lower subscription tiers, and there is no option to swap it out for our logo without upgrading substantially. We now add a pre-send check to gauge if the recipient will view this branding as unprofessional, which adds another layer to our workflow.

Our mid-sized facility services team relies on just one part-time IT staff member, and weak webhook functionality compounds these issues. We cannot auto-populate our work-order CRM with delivery events or client comment updates. Every time a subcontractor or property manager adds notes, someone on our team must copy that information over manually into our service tickets. Digital Pigeon excels at moving large site inspection files, yet it fails to tie those file interactions into our broader scheduling system. If the developers introduced rule-based notification triggers, customizable report builders and flexible white-label controls, the tool would mesh far better with our building maintenance operations. Until then, our team compensates with extra spreadsheet work and frequent manual checks whenever we share audit materials with our commercial property clients.
