"Streamlined Document Approvals and Secure Sharing for Vendor and Sales Paperwork"
4/5
What do you like best about Coevera?

What I really enjoy about Coevera is how smoothly it keeps all our vendor, production and sales paperwork organized alongside our core document workflows. I’m Jhennyfer Silva, Administrative Records Manager at Pinecrest Paper Group. We’re a small paper and forest products company, 11 to 50 people total. My days are spent sorting admin files, keeping employee paperwork in order, tracking production schedules, and managing all the sales documents for our forest product orders. We already use Egnyte for our main secure cloud storage and shared folders, but Coevera fills a different gap that Egnyte alone can’t handle well.

Before we started using Coevera, we juggled so many loose threads. Vendor certificates, harvest compliance forms, delivery confirmations, and customer order paperwork would get scattered in emails, saved in random folders, or passed around as separate attachments. Our production team would ping me constantly, chasing down the latest mill specification sheets or forestry compliance documentation. It was easy to mix up versions, especially when vendors sent revised permits or updated pricing for our lumber and pulp orders.

The biggest win for me is the way it structures our document review and approval workflows. A couple months ago, we were finalizing a big pulp shipment deal with a regional buyer. I uploaded all the required files: harvest proof, sustainability disclosures, delivery schedule, and the sales contract. I built a simple workflow inside Coevera to route the packet to our operations lead, our sales manager, and our compliance contact. Everyone could leave comments right on the file, flag edits, and sign off without me sending a long chain of follow-up emails. Once everything was approved, I could link that finalized package back to the corresponding order record. No more hunting for the latest version of a document.

I also appreciate how straightforward external sharing is with our forestry vendors and buyers. We work with a lot of independent suppliers, and many of them don’t have access to our Egnyte workspace. Coevera lets me send controlled links, set expiration dates, and limit what outside parties can view. That keeps our sensitive internal employee records and production plans locked away, while still letting vendors submit their required certifications easily.

It doesn’t try to replace Egnyte for our long-term backup and general file storage. Egnyte is still where we house our permanent company records and run our backups. Coevera is built for active document circulation, reviews, and sign-offs. It takes the chaos out of moving contracts and compliance paperwork between our team and our supply chain partners. For me, that means fewer frantic “where is this document?” messages, less time chasing approvals, and more time keeping our production schedules and sales records neat and up to date. What do you dislike about Coevera?

The biggest headache for me is the search tool. It just doesn’t scan the actual text inside our files, and that creates real headaches for our line of work. We’re constantly working with forestry compliance paperwork, vendor mill certificates, shipping permits, and all those documents are packed with unique details — permit numbers, harvest IDs, and specialized forest product terminology. If I don’t have the exact file name memorized, tracking something down turns into a slow slog. A few weeks back, our operations lead reached out urgently for a sustainability certificate tied to a lumber shipment that was ready to leave our yard. I knew I’d uploaded that certificate into an approval workflow about a month prior, but I could only remember the vendor’s name, not the specific file title. I plugged the vendor name and the certificate reference number into the search bar, expecting it to pull the document right up. Nothing came back. I had no choice but to manually click through every single old workflow, scrolling through piles of closed approval packets, until I finally located the file. That whole process ate up a big chunk of my afternoon, and I was already juggling deadlines to finalize the week’s production schedule and sort incoming sales paperwork. It was such an unnecessary drain on my time.

On top of that, the folder layout and sorting options feel really stiff. Our documents go through a clear lifecycle: draft, vendor review, internal compliance check, then signed final version. We organize all our records around customer orders and production batches — that’s how our whole team is used to finding information. But once a workflow finishes and gets marked complete, moving that fully approved document into our archive folders within Coevera is awkward. The platform doesn’t support our batch-and-order filing logic very well. Completed packets drop out of the active workflow view, and they don’t automatically slot into the right group. More than once, I’ve saved a finalized contract or compliance form, only to later struggle to find it again because it didn’t land neatly in the archive structure we use. It’s easy for finished, important paperwork to get buried once it’s no longer sitting in an active approval queue. I end up adding extra manual notes and cross-references to keep track of everything, which just piles on more admin work. It’s frustrating because our whole goal is to keep these forest product sales and compliance records easy to pull up at a moment’s notice for our production team, buyers and vendors alike.
