RosterSafe is credential and license expiration tracking for medical billing and RCM firms that run credentialing for many client practices at once.
It holds every provider's state licenses, DEA registration, malpractice cover, board certification, CPR and CME dates, the CAQH 120-day re-attestation clock, and per-payer enrollments across all of a firm's client practices, and warns before anything expires. Alert windows default to 90, 60, 30 and 7 days and are configurable from 1 to 10 windows of 1 to 365 days each. Alerts do not stop at the deadline: a lapse alerts daily until it is resolved, and an unacknowledged alert escalates to the firm owner. Days remaining are counted on the firm's own declared time zone, not in UTC.
Also included: payer enrollment tracking with an application tracker and dated follow-up log, a document vault with version history and single-use provider upload links that need no account, daily exclusion screening against OIG-LEIE, SAM.gov and loaded state Medicaid lists, client-health and compliance-readiness reports as CSV or firm-branded PDF, scheduled reports, saved views and dashboards, and read-only client logins pinned to one client practice.
RosterSafe is software, not a credentialing service. It does not submit applications, contact payers, or perform primary source verification, and it does not do clinical privileging, NPDB continuous query, or HRIS sync.
Pricing is published: $25 per active provider per month with a $100/month minimum, or $250 per provider per year. A free tier holds 1 provider forever with no card and no trial clock, and runs the same product as the paid plan.
Security: Postgres row-level tenant isolation enforced by the database, AES-256-GCM encryption on SSN and DEA fields with every reveal audited, two-factor authentication, session revocation, an IP allowlist and a full activity trail. RosterSafe is not SOC 2 certified and does not sign BAAs.
