NoticeDesk is invoice capture software for UK businesses and bookkeepers that need the VAT on their purchase invoices to be right before it reaches the books.
Upload a supplier invoice, receipt or credit note as a PDF or photo, one at a time or in a batch, or forward it to the workspace's own email address. NoticeDesk reads the supplier, dates, line items, net, VAT and total into an editable record and marks the fields worth a second look.
Each document then goes through 16 checks: the particulars a valid VAT invoice must show under VAT Notice 700, whether the lines add up to the totals, the format of the supplier's VAT number, and whether that number is registered (HMRC for UK numbers, VIES for EU numbers). Credit notes are also checked for a reference to the original invoice, and receipts are judged by the simplified-invoice rules. Every failed check names the gov.uk rule it relates to and the field to fix. Possible duplicate invoices are flagged.
Checked records export as files laid out for Sage 50, Xero and QuickBooks Online bill imports, a FreeAgent bill sheet, or a full CSV. A VAT-period view rolls up the quarter's documents and produces an audit file listing each one and its check results. Each record keeps a history of who extracted, changed and exported it.
