MailCalm is a native macOS application that provides email round robin for Microsoft 365 team inboxes. It fairly routes new enquiries, sales leads and support requests to eligible team members, forwarding each allocation to the recipient’s normal inbox. Ordinary team members do not install MailCalm, use another dashboard or learn a new workflow. They continue working in Outlook or another chosen inbox and simply receive the emails they are responsible for. Before using round robin, MailCalm checks for existing ownership, customer replies, returning customers, specialist routing rules, individual working schedules and current availability. Managers use the macOS Control Panel to manage the team, set schedules and holidays, make someone unavailable for new work and review allocation history. MailCalm uses clear, rule-based routing rather than AI. If the Mac or internet connection is temporarily unavailable, new messages remain safely in Microsoft 365 until routing resumes.
