TeamZap is a rota, clock-in and HR app for small shift businesses in the UK. We built it for owners and managers of cafés, restaurants, pubs and care homes with fewer than 50 staff, who are tired of keeping the rota in one place, holiday requests in another and the team chat in a WhatsApp group.
Rotas. Build a weekly rota for your location, using a template or copying last week's. Every shift has a role. TeamZap warns you about double-booking, approved leave, less than 11 hours' rest and more than 48 hours in a week. Publishing tells staff; later changes only notify the people affected. Post open shifts for staff to claim, and approve swaps.
Clock-in. Put a small NFC sticker by the staff entrance. Staff hold their phone to it and confirm the clock-in with one button. They can also clock in from the app, with breaks. If the workplace uses location checks, location is checked only when someone clocks in or out. It isn't tracked in the background. There's no clocking terminal to buy. Kiosk clock-in is also available from 12 October 2026.
Leave and HR. Staff request leave from their phone and you approve it. Balances, carry-forward, UK holiday entitlement, UK bank holidays and Bradford Factor scores are built in. Keep contracts and policies, send them for e-signature, track training and expiry dates, run opening and closing checklists, and send notices you can see have been read.
Payroll prep. Clock-ins become timesheets matched to shifts. Review the hours, lock the period and export a payroll-ready CSV for your payroll provider.
TeamZap doesn't run payroll or file to HMRC. We publish a list of what it can't do yet at teamzap.ai/facts.
Built in Edinburgh by iHybrid Ltd. TeamZap stores customer data with Amazon Web Services (AWS) in Ireland. Free for early customers. No card needed.
