You write down what you did today — by typing, dictating, or with the day timer — and the assistant sorts it into your projects. For every project you see how many hours it took, what it paid, and what that makes per hour in fact, next to the rate you need to hit your yearly goal. If you fall behind, it shows how many extra hours or what rate increase catches you up.
Send a client one link with the hours and money for their project, and an invoice by email when the work is done. Mark hours as paid, keep unpaid hours visible, tag entries, and see where your time goes by project and by day. Working with a partner or a small team? Everyone keeps their own hours and hourly price, and you see the margin on a project.
