Adelpo is procure-to-pay software built for multi-facility long-term care operators: purchasing, per-patient-day budgets tied to census, invoice automation, and payments. It is independent: Adelpo sells no products and is not owned by a distributor.
Staff build carts from vendor storefronts with the operator's approved catalogs and pricing. Requests route by the operator's own approval rules, set up without code, and approved requests become purchase orders sent to vendors automatically. Per-patient-day budgets adjust daily from census synced from PointClickCare, MatrixCare and other EHRs, so a department's monthly budget follows the building's occupancy.
Invoices arrive as PDFs, EDI files or images, and each location has its own intake email address. Adelpo Capture reads any invoice format, and the PO, receipt and invoice are matched automatically. The Price Discrepancies Report shows the PO price, the invoice price and the difference on each line. Invoices with the same vendor and invoice number as one already entered are flagged before payment. Approved invoices sync to Sage Intacct and QuickBooks; NetSuite and other accounting systems receive an automatic batch import of approved invoices. Vendors are paid by ACH or check inside Adelpo, with scheduling and an audit trail.
Adelpo is used by 300+ organizations across 2,500+ facilities, with $350M+ in spend managed annually. Deployment takes 3 to 4 weeks per facility, and 8 to 16 weeks for a portfolio over 20 buildings. Adelpo is HIPAA-compliant and signs a BAA.
