## About Zoom Mail

Zoom Mail is an integrated email solution built directly into the Zoom Workplace platform, designed to consolidate business communications — email, chat, phone, and video meetings — into a single, unified application. It is available in two complementary forms: the Zoom Mail Client and the Zoom Mail Service. The Zoom Mail Client allows any Zoom user, on free or paid plans, to connect their existing third-party email accounts — including Gmail and Microsoft 365 (Exchange) — directly within the Zoom desktop app. This eliminates the need to switch between separate email applications and the Zoom Workplace app, reducing what Zoom describes as the "toggle tax" — the productivity cost of constantly switching between tools. Users can read, compose, and manage their emails alongside Zoom Meetings, Zoom Chat, Zoom Phone, and Whiteboard, all without leaving the Zoom environment. The Zoom Mail Service is a Zoom-hosted email offering designed specifically for enhanced privacy and security. It is available to customers in the U.S. and Canada on Zoom Workplace Pro, Zoom Standard Pro, and higher plans at no additional cost. The Zoom Mail Service provides end-to-end encryption (E2EE) by default for emails sent directly between active Zoom Mail Service users, meaning Zoom itself cannot access the email contents, including body text, subject lines, and attachments. Emails sent to or received from external, non-Zoom email users are encrypted upon storage by Zoom. The Zoom Mail Service is particularly well-suited for small-to-medium businesses without dedicated IT resources that require enhanced privacy — such as law firms or organizations that regularly share sensitive information internally. Key productivity features of Zoom Mail include AI Companion email compose, which helps users draft and refine email messages with the appropriate tone and length. Users can also create and reuse custom email templates, schedule emails for later delivery, snooze emails to manage inbox priority, and set up custom email filters for automated labeling, archiving, and deletion. Built-in phishing detection and anti-spam protection allow users to report suspicious emails directly from the Mail tab, and administrators can manage spam filters organization-wide. Zoom Mail also supports email translation into over 30 languages. For organizations looking to migrate to Zoom Mail Service, a bulk migration option is available to import batches of users from Gmail or Microsoft 365. Businesses on Zoom Workplace Business or higher plans can also configure a custom email domain. Storage allocations include 15 GB for Zoom Pro and Zoom United plans, and 100 GB for Zoom Workplace Business or higher. Zoom Mail is deeply integrated with the broader Zoom Workplace ecosystem. Users can copy email messages directly into Zoom Chat channels to continue collaboration, access meeting cloud recordings and attachments from within calendar items, and search emails directly from the Mail tab in the Zoom Workplace app. The Zoom Mail Client's use of Google API data adheres to the Google API Services User Data Policy, including Limited Use requirements. Overall, Zoom Mail is positioned as a privacy-focused, productivity-enhancing email solution for teams that want to centralize their communications workflow within the Zoom platform.

"Smooth, Easy-to-Use UI with Straightforward Integrations"

5/5

What do you like best about Zoom Workplace?

I really like how clean and simple the UI/UX is. It’s easy to join meetings or find recordings without getting lost. The integrations with Google Calendar and Slack save me time every day. Performance is mostly smooth, even during long classes. Pricing feels fair for students, especially with the free tier. Onboarding was quick, and the AI features like noise suppression and transcripts. help me focus better during lectures. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

Sometimes the UI/UX feels cluttered when switching between chat, meetings, and phone. Integrations with some LMS platforms are missing, which makes posting recordings manual. Performance dips on older laptops during big group calls. Pricing for Pro is a bit high for students without discounts. Onboarding could explain AI features better. I didn’t know smart recordings existed until weeks later. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

Zoom Workplace solves the problem of scattered tools for classes, group projects, and notes. With good UI/UX, I can jump between chat, calls, and recordings easily. Integrations with Calendar and Slack keep everything in one place. Performance is steady, so long study sessions don’t crash. Pricing works for my budget, and onboarding was smooth. AI features like transcripts and summaries save me hours when revising lectures. Review collected by and hosted on G2.com.

"Zoom Workplace: Reliable Calls with Practical AI Summaries and Action Items"

4/5

What do you like best about Zoom Workplace?

The thing that still wins me over is how dependable it feels when a call actually matters. You hit join and the video and audio usually just hold, even if the connection isn’t perfect. That peace of mind is hard to beat.

I also like that it hasn’t become overly complicated. The screen stays clean enough that you can find what you need without digging through layers, and people outside your company can jump in without any fuss. Over time they’ve added chat, calendar stuff, short video clips and those helpful summaries after meetings, but the core experience never got buried. The automatic notes and action items after a call are genuinely useful — you walk away knowing what was decided instead of scrambling to remember. And the price feels reasonable for what you get, especially since those smarter features come included instead of locked behind another fee. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

It can feel a bit heavier than it used to. The app has grown a lot, so on older laptops it sometimes eats more resources than I’d like, and every now and then an update brings a small glitch that takes a day or two to settle.

The free version is still limited in a way that pushes you toward paying pretty quickly if you have real meetings. And while the extra tools are nice, the interface has gotten busier — there are more icons and options now, so new people sometimes need a minute to orient themselves. Support is fine when you need it, but it’s not the fastest if you’re on a lower plan. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

The biggest thing it solves for me is the friction of getting people into a conversation quickly and reliably, especially when some participants are outside the company. There’s no long setup, and most of the time there aren’t any of those “can you hear me?” loops. That alone saves a surprising amount of mental energy.

It’s also reduced the post-meeting mess. Instead of someone having to write up notes or chase down action items afterward, the summaries and lists show up automatically. I spend less time trying to reconstruct what was said and more time actually moving things forward. And because it connects to the calendar and email I already use, scheduling doesn’t feel like a separate chore. Overall, it removes a bunch of small daily annoyances that used to add up. "A part of everyday Life!"

5/5

What do you like best about Zoom Workplace?

It's easy to use, especially for the participants. The Breakouts are simple and work well. It works on multiple platforms. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

The view when you're sharing. The panels are over the deck, and you have to be careful not to advance slides when chatting, annotating, or even letting people into the meeting.

I don't like the format of the poll results; not simple to compile; VERY TIME consuming.

Hate that you can move your annotations; only the person sharing can. Would love to see consistent push notification about updates. Review collected by and hosted on G2.com.

Recommendations to others considering Zoom Workplace:

Zoom is a great platform for virtual learning, collaboration, etc. It has allowed us to remain connected through the pandemic. It has changed business models, education models and even social gatherings. I believe we will continue to see this application used for various purposes. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

Meetings, workshops, coaching, meetings are continuing to happen because of this platform. Realized that we are tied to technology. We have to embrace change Review collected by and hosted on G2.com.

"Seamless Remote Collaboration Made Easy"

4.5/5

What do you like best about Zoom Workplace?

I love how Zoom Workplace makes remote work and team collaboration seamless with its clear audio and video calls and instant screen sharing that really boost productivity. The stability and high clarity of both video and audio, even on slower internet, is impressive. The clean, intuitive user interface makes managing meetings and breakout rooms simple and quick to set up. I really enjoy the integrated team chat and virtual whiteboards because they help keep our workflow organized and efficient without needing third-party apps. Sharing files and sending direct messages during a call is super convenient, and the whiteboards are especially valuable for brainstorming as they make meetings feel more interactive. Plus, the initial setup was really easy, taking just a few minutes to download and start using without needing technical support. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

While it generally works well, the frequent desktop client updates can sometimes be inconvenient when trying to join a call quickly. Also, managing some of the advanced administrative and account settings requires switching to the web browser interface instead of handling everything directly within the main app. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

Zoom Workplace eliminates communication barriers and enhances productivity by providing seamless remote collaboration through clear audio/video calls, instant screen sharing, integrated chat, and file sharing, making meetings quick and effective without lengthy email exchanges. "Zoom’s One-Click Reliability with Seamless Screen Sharing and Stable Quality"

4.5/5

What do you like best about Zoom Workplace?

What I love most about Zoom is its absolute reliability and ease of use. It takes just one click to join or host a meeting, making it accessible even for non-technical users. Screen sharing works seamlessly, allowing for smooth presentations and collaborative discussions. Additionally, the video and audio quality remain surprisingly stable, even when connecting over a weaker internet connection or during large group calls. Features like breakout rooms and interactive whiteboards are huge bonuses for team brainstorming sessions. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

The free plan’s 40-minute limit on group calls can be quite inconvenient, often requiring you to restart meetings if discussions run long. Sometimes, when a large number of participants join with their webcams turned on, there is a slight lag on mobile devices. The user interface can also feel a bit cluttered due to frequent updates and the addition of too many new features at once. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

Zoom completely solves the challenge of remote collaboration and team communication. It allows me to organize quick face-to-face check-ins, present reports to colleagues, and host webinars without complex setups. It saves an immense amount of time on travel and keeps team projects moving forward smoothly regardless of where everyone is located. Review collected by and hosted on G2.com.

"Effortlessly Connects Teams, Great for Remote Work"

5/5

What do you like best about Zoom Workplace?

I find Zoom Workplace easy to use, even for those without technical knowledge, which makes joining meetings and online classes a breeze. The audio and video quality are decent, even with poor internet speeds, making it ideal for remote team collaboration, webinars, and online classes. I like how it integrates with email and messaging platforms, which is helpful for using other tools like screen sharing and recording. The platform is reliable for both remote and city areas, helping keep my team connected. The ease of use makes it accessible for everyone, regardless of technical skill. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

The chat and collaboration features are less polished compared to dedicated tools like Slack, so I want this issue to be fixed. The free plan has a 40-minute limit on group meetings, which is disruptive. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

I use Zoom Workplace because it's easy for everyone, even without technical skills, and it's reliable for team meetings and webinars. It helps keep us connected. However, the chat and collaboration features need improvement, and the 40-minute limit on the free plan can be disruptive. Review collected by and hosted on G2.com.

"All-in-One Collaboration Hub That Simplifies Daily Communication"

4.5/5

What do you like best about Zoom Workplace?

Zoom Workplace is an all-in-one collaboration platform that brings video meetings, team chat, phone, and whiteboards together in a single app. It makes day-to-day communication simpler and more centralized. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

Zoom Workplace frequently forces unexpected software updates, which can delay you from joining a meeting when you’re in a rush. The interface also feels cluttered, bloated, and overwhelming, because it tries to pack too many tools into what used to be a simple video app. On top of that, it hogs system memory and drains my laptop battery quickly during long, collaborative team sessions. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

It works by using a central sidebar for navigation, letting you launch instant communications while the built-in AI Companion continuously drafts notes, summarizes missed threads, and tracks action items in the background. This setup reduces friction between tasks, so your team can collaborate smoothly—whether live on a call or asynchronously throughout the day. Review collected by and hosted on G2.com.

"Awesome Software for Remote Work"

5/5

What do you like best about Zoom Workplace?

I like the customizability of the features for backgrounds, the sound quality, and the low price for monthly usage. The UI is top-notch and is very pleasing to the eyes. I can also say that the performance speed of the overall software is snappy. I can appreciate the small AI features that are available if you are into allowing the software complete tasks for you. I have utilized support for a problem and they solved it in minutes. The ability to invite others to co-host is a plus too! Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

There is nothing I dislike about the app. The Zoom updates are received without issue. I would like to see other options for connecting to other programs that integrate well. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

Where do I start?! I like working remotely from my cell phone, computer, and iPad! It allows me to schedule meetings that are important to me. I also like the ability to send calendar invites. Review collected by and hosted on G2.com.

"Zoom Makes Live Learning Personal and Interactive"

4.5/5

What do you like best about Zoom Workplace?

I don't use Zoom just for meetings. For me it's where the learning actually happens. After students finish a module, we jump on a live call, go through real examples, answer questions and discuss things that are hard to explain in a recorded lesson. Those sessions make the course feel much more personal. Review collected by and hosted on G2.com.

What do you dislike about Zoom Workplace?

I sometimes wish there were a simpler way to keep all meeting recordings and shared resources connected to a specific lesson. It's not a big issue, but it would make following up with students a little easier. Review collected by and hosted on G2.com.

What problems is Zoom Workplace solving and how is that benefiting you?

My course gives students the theory, but live sessions are where we discuss real situations and answer questions that come up while they're learning. Zoom makes that part easy. Instead of long email conversations or trying to explain something in text, we can jump on a call, share screens, work through examples together and solve problems in real time. It makes the learning experience much more interactive and personal. Review collected by and hosted on G2.com.
