Automated Workflows and Workflow Templates are the parts of Ziflow we rely on most, because they let us assign each review stage its own owner, permissions, and deadline. Instead of sending the same asset to everyone at once and then hoping feedback comes back in a sensible order, we split the process into creative review, marketing, legal, and client approval. Automatic reminders cut down on the amount of chasing, and conditional rules prevent a piece from reaching the client while internal comments are still unresolved. Compare Mode is particularly helpful when a new version comes back: we can place files side by side or use the overlay view to confirm that a price, disclaimer, or CTA was corrected, without overlooking an unrelated change elsewhere. Checklists also help us keep brand requirements, dimensions, legal copy, and other mandatory content tied to the right stage. One unexpected benefit has been noticing the same mistakes repeating across campaigns; once that pattern was clear, we updated the briefs and templates instead of continuing to catch the same issue at the end of every review. The initial setup can get more complicated than it needs to be if every client or campaign ends up with its own custom workflow. We made that mistake and wound up with several nearly identical templates, outdated reviewer lists, and rules that nobody wanted to touch because it wasn’t clear what else they might impact. Ziflow could make it easier to compare templates side by side and consolidate duplicates. Our workaround was to cut down to a smaller set of core workflows and assign a clear owner to each one. That made ongoing maintenance far more manageable and kept process design from becoming yet another source of inconsistency. Review collected by and hosted on G2.com. What problems is Ziflow solving and how is that benefiting you? A campaign running across three markets already had more than thirty assets—banners, videos, PDFs, and landing pages—when the client changed a commercial condition just four days before launch. We created updated versions within the existing proofs and applied a Workflow Template: design first checked the implementation, marketing reviewed the message and brand, legal approved the disclaimer, and the client made the final call. Because each stage had its own Checklist, legal wasn’t spending time on image dimensions, and design wasn’t being asked to validate contract language. In the first round, we received two conflicting comments about the CTA. Rather than sending both back to the creative team and leaving them to decide, the marketing owner resolved the thread and only then reopened the stage. Compare Mode confirmed that the price and disclaimer had changed without undoing other approved edits, while automatic reminders kept the remaining reviewers moving. For banners that shared the same structure, we used Bulk Decisions after checking a sample, and the monday.com integration updated the deliverable only once the final stage was approved. Overall, Ziflow centralized feedback, versions, and decisions, prevented design from working on incompatible directions, made it clear which market was still blocked, and helped us reach release without having to reconstruct final approval from separate emails, chats, and files. My specific type of work means I might have several projects or tasks underway at any given time, all at different levels of completion. One might come in later but have a shorter timeline and I may have to start it sooner than a job that came in earlier. So a quick, at a glance way to identify jobs in my list that are underway would be handy for me and what I do. Thant being said, zi-flow has some great organizational tools including lists that completed job move to, which helps keep things tidy but also easy to pull up again later if needed. I like that Ziflow organizes different versions of the same video in the same proof, which is especially useful. The automated delivery, or workflows, are a huge time saver for me. I don't have to send any emails or continuously monitor my inbox. Once something is approved, it is automatically delivered to the next group of reviewers. What do you dislike about Ziflow? I don't like having to wait for a 'share link'. When I upload a new version, it needs to upload and process before I can get a link to send to reviewers. I know it gets sent automatically to all reviewers anyways, but I like to officially hand off versions and provide context as to what they are looking at. I don't understand why we need to wait for upload and processing. When I've used similar tools, I am able to share a link to a folder/proof even before I upload a new version. Why do website reviews default to snapshot when I most often need to be reviewing multi-page sites?) • Finding new comments and discerning what comments I have already seen in the proof is difficult. The "unread comments" banner doesn't seem to go away even after I've Xed it out • I can't see what comments have replies at a glance • Comments are sorted by time they were left instead of document page (this would be preferred for PDFs). • Viewing ratio settings on website proofs feels inconsistent and I have to give special instruction for reviewing sites • I would also prefer better controls for categorizing/tagging comments for easier filtering of different types/locations of feedback • I have struggled with trying to leave a whole page vs. selected area comment before. The platform's intuitive design significantly eased the training process for our employees, making it straightforward to onboard the entire team. I appreciate that Ziflow effectively streamlines decision-making delays by allowing us to monitor project progress in real-time. We can see who has viewed the necessary documents and identify those who haven't, which eliminates the need for redundant follow-ups typically associated with email chains. This feature saves us considerable time and resources. Furthermore, the ease of integration with Adobe makes our workflow even more seamless. The setup was extremely easy, which reflects Ziflow's user-centered design. I am confident about recommending Ziflow, as signified by my rating of 10 out of 10. It would be more helpful if there were an option to add personalized folders for final work.
