
Ziflow was simple and easy to use for not only my team but every person that touched our artwork throughout the process. We loved how you could include people to review without the hassle of each person having to create a login and password. Also, with it being a digital solution, the measure tool was the icing on the cake. The fact that Ziflow is a web based tool also means that we will never have to worry about compatibility or software versions. Ziflow has been a great tool for our team to review artwork while we've all been working from home. We were struggling to find a solution to allow multiple people to review and comment on artwork that was easy to use, until we came across Ziflow. It's extremely easy to mark-up the proofs for changes, make comments, see & reply to other users comments and see who has reviewed proofs. Ziflow makes it so much easier to send proofs to clients and automatically send reminders for clients to review deliverables. This saves me from following up with each client separately by email and cuts back on manual email communication. Ziflow also gives me the option to see when proofs have been opened so I am aware of whether clients have had time to review them. There is also a feature to extend the deadline if clients require additional time for review.
Ziflow also has great features that allow collaborators to leave text feedback or mark up areas that correspond with feedback. This works well when passing along changes through our workflow and enables designers and copywriters to complete the required changes without confusion on where the change is required. The option to compare past versions is also extremely helpful when going through multiple rounds of revisions on a particular design and helps clients see which option actually looks best.
The workflow feature is also fantastic. We are a process-oriented company and being able to extend the workflow to other teams (ex: design, content) makes it easy to have more eyes on the project and complete changes early on. Although the feedback and comparison tools are great, they can be a little difficult to use especially if the recipient is not very computer savvy. It takes some time to learn the functionalities and most clients end up leaving comments in the sidebar without using the other features. I love how easy the interface is, especially when sharing with clients. A quick call to start the proofing process and they are away. Not needing me to hold their hands. We have had great experience dealing with this company from the get go. Customer Service and help desk are incredibly responsive when we see issues but also when we request new features. We at least always get a quick acknowledgement. We have seen great improvements in their interface and they are always looking for the next improvement, constant upgrade and client satisfaction. Our former service rarely responded to inquiries.

The biggest issues we see on our team is an inconsistency in function. We often experience lags when signing in, lags when opening proofs, having to refresh proofs often. We often receive error messages but then with a refresh it goes back to normal. I will echo my sentiment from above that we see very quick response when submitting these issues to the help desk. The only thing I would say is the lack of agency-side options. I find it somewhat hard to navigate through some of the UI and keep things organized. It would be nice to see them integrate more ways to keep your portal organized.
Another thing that I'd like to see improved is on the client side. In the email they get sent it there should be a how-to use and review portion so to a new user about to review their draft, they would know how to use the system correctly for optimal collaboration.

I've tried many proofing tools over the years and Ziflow is the most robust with one of the better feature sets out there. We used it primarily for proofing HTML emails with multiple versions and multiple approvers and Ziflow met all of our requirements. Review collected by and hosted on G2.com.
Like a lot of tools that have large feature sets, the UX can be a bit confusing and not super intuitive when you first start to use it. But we found the learning curve to be short.

It is quite easy to learn how to use this software. I like that I can show client's how to use the features and they can straightaway make comments and changes on projects. My organization migrated to Ziflow from Proof HQ after WorkFront had acquired them and they were no longer going to offer PHQ as a stand alone product. Ziflow is extremely similar to the primary functionality of PHQ and the migration was relatively smooth. There are several areas of Ziflow that we find extremely beneficial. At the onset of the migration, the operations team has been communicative, timely, and knowledgeable. This was important for us as we use Ziflow across all mediums (print, motion, digital, etc), and we leverage with all clients as well.
As far as the functionality of the tool itself, there are many aspects that prove to be invaluable. Automated workflows have been a game changer and the customizable stages provide a level of versatility we did not have before.
As mentioned earlier, accountability in our line of work is extremely important and Ziflow does a great job at identifying where a project is in the routing process to keep them running smoothly and efficiently. Review collected by and hosted on G2.com.
Below is a list of a few feature requests that we would like to see implemented with the tool. I would like to preface it, however, with the fact that we are actively working with the customer support teams towards implementation of several feature requests, where they continue to be engaging and willing to listen to our needs. There have been many feature requests (not listed) that have already been developed and deployed to date.
-We would like to see a comprehensive bread crumb trail with hyperlinks in the email so users can navigate quickly to the desired destination
-When using the measuring tool, we would like the measurement space/box to stay open as we navigate through a multi-page pdf. Currently, if you change pages, the measuring space disappears. We use this tool for not only measuring, but to check alignment, positioning, spatial relationships, and sizing throughout multi-page documents.
-If a user selects the measurement tool, the holding rule around the measurement is actually 2 different rules. The measurement tool box has a red rule around it, but when you release your mouse, a blue rule also appears outside of the red rule, thus giving you two rules and we are not sure which one is the accurate dimension. Since we often times have to deal with precise measuring, we would like this to be either a single rule, or no rule at all and just depicted by the box itself to provide more accurate measuring.
-When selecting the drop down menu that displays all of the versions, we would like to request that the name of the version be displayed as well. Not just V1, V2, etc.
-Due to a particular client's security requirements, we have had to make a separate partition inside of Ziflow to facilitate the workflow. Many team members need to "toggle" between the partitions as they work on both. These team members require a seat in both instances and this process has been a little challenging to navigate.

Being notified about a proof. I would like better control of how people on the proof and myself receive notifications about proof activity. There doesn't seem to be a great middle ground for notifications. You either get notified for every change or extremely limited notifications. Ziflow is versatile and saves you time. Your collaborators can use multiple tools from text selection to drawing. You can group frequent collaborators together with preferred settings, then add them to a proof all at once.
My top favorite feature as a designer though is the resolve button. I cannot say how much time I have spent going back and forth to make sure I didn't miss feedback in the past, or sorting out what still needs to be done. My only real complaint is that it could be a little more intuitive. I find myself forgetting at times which page will let you send what reminders. Ziflow makes the review process so much easier than our old (non-) process. We used to send emails or pdfs or make phone calls (and therefore make hand-written notes). And then send another pdf via email with another version. Everyone would respond with their own email or pdf which would result in conflicting edits and lots of re-work. ziflow makes collaborating on reviews so quick, easy and painless. Everyone can see what what everyone is saying and have conversions about something, resolving issues before they become issues. The ziflow IT team is continually making updates to their program; they rollout new features often which include addressing or resolving issues that we'll request. There is little I dislike. As a developer I route full websites in ziflow and have little to complain about. This is hands down the best tool I have found to consolidate reviews and notes for a website. Ziflow is a great tool to work collaboratively. Whether with external clients or internal to the company, it is very easy to generate a round trip with all the parties involved in the design process.
It makes all communication more agile (without complicating the users administration) and efficient at the same time that it is easy to keep order and versions tracking.

I love that we can route artwork to everyone at the same time, and keep track of who has seen it. It cuts our routing time down tremendously. The auto compare feature is amazing! I also love that you can nudge people that are late, you can lock proofs so you don't miss any comment stragglers, and you can make a PDF of the whole proof to save in case you need to refer back to it. I love the side-by-side comparison feature! It ensures my team is able to easily review previous versions of a project and makes sure that nothing slips through the cracks. I also really like how you have multiple ways to comment/markup a route to ensure your feedback is easy to understand. As a project manager, it is also very easy to track who has opened a route, who has commented, when they commented, etc. I can also set up automatic routing, send personalized messages, set deadlines. Sometimes Ziflow has a glitch that prevents you from viewing a route. Although this is very rare, it does happen from time to time. The good news is that anytime I have an issue Ziflow is incredibly fast at responding (within 5 minutes) and fixing said issue. We have found automating workflows around the stages a little more challenging than we expected - potentially because we doidn't have an existing online approval tool in place.
