What do you like best?

Ziflow was simple and easy to use for not only my team but every person that touched our artwork throughout the process. We loved how you could include people to review without the hassle of each person having to create a login and password. Also, with it being a digital solution, the measure tool was the icing on the cake. The fact that Ziflow is a web based tool also means that we will never have to worry about compatibility or software versions. We have enjoyed using the product so much that even when we do go back to our office, we will continue to use it for our reviewing purposes. Review collected by and hosted on G2.com.

What do you dislike?

There really isn't much to dislike about Ziflow. We sometimes have some issues with users submitting art to review but also commenting on it separately, but that is more on our process and how we use it vs issues with the program itself. Review collected by and hosted on G2.com.

Recommendations to others considering the product:

If you are looking for an easy, feature-rich tool to review artwork across a varied number of users, then this is the perfect program for you. What problems are you solving with the product? What benefits have you realized?

We were an in-house design team and routed all artwork physically throughout our office. Now with everything in 2020 forcing us to go fully remote, we needed to find a seamless solution that mimicked our routing process without sacrifice and Ziflow was that solution. What do you like best?

Ziflow has been a great tool for our team to review artwork while we've all been working from home. We were struggling to find a solution to allow multiple people to review and comment on artwork that was easy to use, until we came across Ziflow. It's extremely easy to mark-up the proofs for changes, make comments, see & reply to other users comments and see who has reviewed proofs. I also love the Folder tab that allows me to see artwork that is still waiting to be reviewed, so I can easily see what still needs my attention. Review collected by and hosted on G2.com.

What do you dislike?

Overall I've been really happy with Ziflow. I wish the Folder kept a longer history of artwork I reviewed, but otherwise, there is not much I dislike. Review collected by and hosted on G2.com.

It's given us a new alternative on how to route artwork and more flexibility. Multiple people can now review at the same time, you can easily see the routing status and who still needs to review, and you no longer need to be in the office to look at printed files or proofs. As for your folders keeping a longer history of your artwork, Ziflow will keep your proofs for as long as you want to keep them in the system so your history will always be there. If you no longer see your proofs in a folder, then they may simply be automatically archiving due to inactivity so if you'd like them to be visible longer then you can adjust your archive frequency in your account settings. What do you like best?

Ziflow makes it so much easier to send proofs to clients and automatically send reminders for clients to review deliverables. This saves me from following up with each client separately by email and cuts back on manual email communication. Ziflow also gives me the option to see when proofs have been opened so I am aware of whether clients have had time to review them. There is also a feature to extend the deadline if clients require additional time for review.

Ziflow also has great features that allow collaborators to leave text feedback or mark up areas that correspond with feedback. This works well when passing along changes through our workflow and enables designers and copywriters to complete the required changes without confusion on where the change is required. The option to compare past versions is also extremely helpful when going through multiple rounds of revisions on a particular design and helps clients see which option actually looks best.

The workflow feature is also fantastic. We are a process-oriented company and being able to extend the workflow to other teams (ex: design, content) makes it easy to have more eyes on the project and complete changes early on. Tagging users can also come in handy when comments are meant for a specific reviewer. Review collected by and hosted on G2.com.

What do you dislike?

Although the feedback and comparison tools are great, they can be a little difficult to use especially if the recipient is not very computer savvy. It takes some time to learn the functionalities and most clients end up leaving comments in the sidebar without using the other features. What problems are you solving with the product? What benefits have you realized?

The approval and feedback process with clients is much easier to manage now. Comments can be seen by all collaborators and it's a great way of keeping communication transparent. Being able to see active proofs also makes it easier to stay on top of work and to see when things are falling behind.

In the past, we've had issues with client approval on designs since they were always communicated by email or over the phone. With Ziflow, having clients click the "Approved" button makes it easier to confirm that the work is approved. This prevents issues in the future where clients are able to backtrack on their approval and makes it much easier for all parties to be on the same page. Review collected by and hosted on G2.com.

What do you like best?

I love how easy the interface is, especially when sharing with clients. A quick call to start the proofing process and they are away. Not needing me to hold their hands. I describe it as an online PDF so make comments the same was as you would on a PDF and they get it. Review collected by and hosted on G2.com.

What do you dislike?

I dislike how if you share a lot of proofs it isn't intuitive to know if the user has been added already to a different stage. I find myself having to manually check rather than bulk share when I have a lot of reviewers on the proofs. Review collected by and hosted on G2.com.

What do you like best?

We have had great experience dealing with this company from the get go. Customer Service and help desk are incredibly responsive when we see issues but also when we request new features. We at least always get a quick acknowledgement. We have seen great improvements in their interface and they are always looking for the next improvement, constant upgrade and client satisfaction. Our former service rarely responded to inquiries.

What do you dislike?

The biggest issues we see on our team is an inconsistency in function. We often experience lags when signing in, lags when opening proofs, having to refresh proofs often. We often receive error messages but then with a refresh it goes back to normal. I will echo my sentiment from above that we see very quick response when submitting these issues to the help desk. With Ziflow we have been able to build efficiency around our approval process within our team but also with our counterparts within the business. We also have the opportunity to more concisely communicate with clients and receive feedback. We were able to identify where are hang ups were with manual stage changes but now can automate those steps within Ziflow. What do you like best?

I love how easy and simple Ziflow is to use. From collaborating with clients on reviews to uploading a new version to the same proof. Ziflow makes the client approval process easy on both client and agency side. Review collected by and hosted on G2.com.

What do you dislike?

The only thing I would say is the lack of agency-side options. I find it somewhat hard to navigate through some of the UI and keep things organized. It would be nice to see them integrate more ways to keep your portal organized.

Another thing that I'd like to see improved is on the client side. In the email they get sent it there should be a how-to use and review portion so to a new user about to review their draft, they would know how to use the system correctly for optimal collaboration.

I was also bummed out that I booked a demo and they never showed up for it. I tried to reschedule it and never heard anything back. I was left to figure it out on my own, but Ziflow is super easy to navigate. Review collected by and hosted on G2.com.

Recommendations to others considering the product:

It would be nice to see them integrate more ways to keep your portal organized. Creating folders for each specific client(user) you have. Just things to keep it clean and not create confusion.

Another thing that I'd like to see improved is on the client-side. What do you like best?

I've tried many proofing tools over the years and Ziflow is the most robust with one of the better feature sets out there. We used it primarily for proofing HTML emails with multiple versions and multiple approvers and Ziflow met all of our requirements. Review collected by and hosted on G2.com.

What do you dislike?

Like a lot of tools that have large feature sets, the UX can be a bit confusing and not super intuitive when you first start to use it. But we found the learning curve to be short.

What do you like best?

It is quite easy to learn how to use this software. I like that I can show client's how to use the features and they can straightaway make comments and changes on projects. I also like that it is housed on a cloud so I can access it anywhere and I don't have to email large files back and forth to clients for review. Review collected by and hosted on G2.com.

What do you dislike?

What do you like best?

It's easy to use, especially for clients who aren't as comfortable with technology. I love being able to see comments and proof versions all in one place. It's been a great way to communicate with clients and greatly reduces excessive emails and the inevitable conflicting edit requests when many people are involved. What do you like best?

High level of customisation and a variety of markup tools.

What do you dislike?

There was a bit of a learning curve for content creators (because we set up a fairly strict workflow with custom data fields), but the roll-out so far has been extremely smooth.

I would also like to see better integration with Adobe products in the future. Review collected by and hosted on G2.com.

What problems are you solving with the product? What benefits have you realized?

The marketing and regulatory teams at Ego Pharmaceuticals have been using Ziflow for a couple of weeks now to review advertising materials and feedback has been nothing but overwhelmingly positive. I've had comments like "This is so much better than the old process!" and "I'm wasting so much less time on email!"

I must have evaluated more than a dozen proofing systems before settling on Ziflow. It's a little pricier than some of the other options but in terms of ticking all the boxes on our URS it was head and shoulders above the rest.

There's been a slight learning curve for content creators but reviewers have found it intuitive and had no trouble adapting to the new system.

As an admin, I can't speak highly enough of the Ziflow support team. Despite being on the other side of the globe (in Australia), I always receive a reply within 24 hours, and very often within minutes. With their help I was able to set up an integration with Asana, which is another huge time-saver for the team. What do you like best?

My organization migrated to Ziflow from Proof HQ after WorkFront had acquired them and they were no longer going to offer PHQ as a stand alone product. Ziflow is extremely similar to the primary functionality of PHQ and the migration was relatively smooth. There are several areas of Ziflow that we find extremely beneficial. At the onset of the migration, the operations team has been communicative, timely, and knowledgeable. This was important for us as we use Ziflow across all mediums (print, motion, digital, etc), and we leverage with all clients as well.

As far as the functionality of the tool itself, there are many aspects that prove to be invaluable. Automated workflows have been a game changer and the customizable stages provide a level of versatility we did not have before.

As mentioned earlier, accountability in our line of work is extremely important and Ziflow does a great job at identifying where a project is in the routing process to keep them running smoothly and efficiently. Review collected by and hosted on G2.com.

What do you dislike?

Below is a list of a few feature requests that we would like to see implemented with the tool. I would like to preface it, however, with the fact that we are actively working with the customer support teams towards implementation of several feature requests, where they continue to be engaging and willing to listen to our needs. There have been many feature requests (not listed) that have already been developed and deployed to date.

-We would like to see a comprehensive bread crumb trail with hyperlinks in the email so users can navigate quickly to the desired destination

-When using the measuring tool, we would like the measurement space/box to stay open as we navigate through a multi-page pdf. Currently, if you change pages, the measuring space disappears. We use this tool for not only measuring, but to check alignment, positioning, spatial relationships, and sizing throughout multi-page documents.

-If a user selects the measurement tool, the holding rule around the measurement is actually 2 different rules. The measurement tool box has a red rule around it, but when you release your mouse, a blue rule also appears outside of the red rule, thus giving you two rules and we are not sure which one is the accurate dimension. Since we often times have to deal with precise measuring, we would like this to be either a single rule, or no rule at all and just depicted by the box itself to provide more accurate measuring.

-When selecting the drop down menu that displays all of the versions, we would like to request that the name of the version be displayed as well. Not just V1, V2, etc.

-Due to a particular client's security requirements, we have had to make a separate partition inside of Ziflow to facilitate the workflow. Many team members need to "toggle" between the partitions as they work on both. These team members require a seat in both instances and this process has been a little challenging to navigate.

With living in a virtual world, Ziflow allows us to aggregate all milestones on a project that ultimately create a virtual job jacket. This can be referenced, leveraged, repurposed, or audited, depending on the need at any given time on any given project.

Ziflow has really streamlined our production. Proofing design work to clients and being able to keep all information pertaining to jobs in one place has been extremely valuable to all members of our team. Review collected by and hosted on G2.com.

What do you dislike?

Being notified about a proof. I would like better control of how people on the proof and myself receive notifications about proof activity. There doesn't seem to be a great middle ground for notifications. You either get notified for every change or extremely limited notifications. Would be nice if you could edit the settings of assigning notifications to the owner and rest of the people on the proof. Review collected by and hosted on G2.com.

Recommendations to others considering the product:

Ziflow is a great way tool for jobs if there are multiple people on a project. The internal proofing before sending out artwork to clients has been great, and the way that all comments, changes, and corrections to projects are contained in one proof is very efficient. We have multiple team members assigned to jobs, and the workflows in Ziflow really help keep everyone on the same page through each step of our design process. What do you like best?

Ziflow is versatile and saves you time. Your collaborators can use multiple tools from text selection to drawing. You can group frequent collaborators together with preferred settings, then add them to a proof all at once.

My top favorite feature as a designer though is the resolve button. I cannot say how much time I have spent going back and forth to make sure I didn't miss feedback in the past, or sorting out what still needs to be done. With this button I simply mark a comment as resolved after I make the needed change or address the concern. Review collected by and hosted on G2.com.

What do you dislike?

My only real complaint is that it could be a little more intuitive. I find myself forgetting at times which page will let you send what reminders. I would prefer if a dialog offers one type of reminder that it includes all or can direct you to the one you need. Review collected by and hosted on G2.com.

Don't be afraid to customize. Poke around and test things out, you may find a feature that makes your life easier. Be patient with members who don't pick up tech stuff easy, when you work with this stuff it can be easy to forget the little bits you had to teach yourself when you started it can be overwhelming to those who aren't familiar. Working for a company that makes medical devices we have very strict quality control. We used to have to pass a printed document with a paper requiring 8 signatures for something as small as an updated image. This meant one week minimum to get the document in everyone's hands and approved. Often there were conflicting feedback notes that required me to bring the parties in disagreement together and find a resolution. Then after correction it would start a second round of approvals to ensure the changes were accepted by all. With Ziflow I can get the same document to all the same people at once. In some cases I can get the needed approvals in one day that once required a week. In other cases I can attach screenshots of corrections to the Ziflow proof so that everyone can see the changes reducing the likelihood of another approval round. What do you like best?

Ziflow makes the review process so much easier than our old (non-) process. We used to send emails or pdfs or make phone calls (and therefore make hand-written notes). And then send another pdf via email with another version. Everyone would respond with their own email or pdf which would result in conflicting edits and lots of re-work. ziflow makes collaborating on reviews so quick, easy and painless. Everyone can see what what everyone is saying and have conversions about something, resolving issues before they become issues. The ziflow IT team is continually making updates to their program; they rollout new features often which include addressing or resolving issues that we'll request. What do you dislike?

There is little I dislike. As a developer I route full websites in ziflow and have little to complain about. This is hands down the best tool I have found to consolidate reviews and notes for a website. As stated before our reviews were all over the place with reviews coming in various forms. Nothing was located in the same spot. Edits were made that few realized were being made. Edits would have to be rolled back or redone because changes weren't communicated to all. ziflow allows everyone to see all edits being requested. What do you like best?

Ziflow is a great tool to work collaboratively. Whether with external clients or internal to the company, it is very easy to generate a round trip with all the parties involved in the design process.

It makes all communication more agile (without complicating the users administration) and efficient at the same time that it is easy to keep order and versions tracking.

What do you dislike?

I have no major dislikes but I think the way notifications are set could have several improvements.

What do you like best?

I love that we can route artwork to everyone at the same time, and keep track of who has seen it. It cuts our routing time down tremendously. The auto compare feature is amazing! I also love that you can nudge people that are late, you can lock proofs so you don't miss any comment stragglers, and you can make a PDF of the whole proof to save in case you need to refer back to it. The measurement tool is also invaluable, since we have to check type sizes on a lot of our packaging artwork. Review collected by and hosted on G2.com.

What do you dislike?

We are on the lowest tier option since that suits our needs, but we can't access certain features like auto combining PDFs into one proof, we need to do it before we upload. Other than that, no complaints! Review collected by and hosted on G2.com.

We used to route printed proofs to departments in the office, and it would take forever. Since we are all working remotely, this solves that issue as well as speeding up the process and being able to refer to previous comments. We even started using it with our external customers and website changes. It's awesome! What do you like best?

I love the side-by-side comparison feature! It ensures my team is able to easily review previous versions of a project and makes sure that nothing slips through the cracks. I also really like how you have multiple ways to comment/markup a route to ensure your feedback is easy to understand. As a project manager, it is also very easy to track who has opened a route, who has commented, when they commented, etc. I can also set up automatic routing, send personalized messages, set deadlines. This is all very helpful in managing my projects and keeping everything and everyone on track. Review collected by and hosted on G2.com.

What do you dislike?

Sometimes Ziflow has a glitch that prevents you from viewing a route. Although this is very rare, it does happen from time to time. The good news is that anytime I have an issue Ziflow is incredibly fast at responding (within 5 minutes) and fixing said issue. We are able to ensure everyone on the team views the route and signs off on it. This provides great historical knowledge of the project and makes it easy to track. I am also finding that my teams are able to prevent any feedback from falling through the cracks due to the side-by-side feature. It makes it very easy for our editorial department to check changes or reference previous versions while trying to remain incredibly detailed in their review. As a project manager, Ziflow gives me complete control of my routes and gives me the tools I need to successfully see a project through to the end while maintaining the utmost quality control. What do you like best?

What do you like best?

Easy to use and FULL of great features! It checks all the boxes from customer service to our design department. We love how we can tell when people have viewed the proofs, when they have approved them, the variety of file types we can upload, and more. What do you like best?

I used to lose control of changes for my designs when I used to send PDFs, clients would give me a million emails with changes that were hard to keep track of, plus it would make the review process very disorganized and lengthy. This system helped to make things consistent. The platform has been easy on my clients, the learning curve is very short and easy, I have clients of all ages, one is in her 80s, and she was fine, my training with her was minimal and she liked how I was able to be responsive of her changes so quickly. What do you like best?

What do you like best?

Core product is very easy to use, all our approver stakeholders have picked it up very easily. Regular product updates. Supportive team during set up process. Live website proofing was an unexpected bonus! Review collected by and hosted on G2.com.

What do you dislike?

Some of the features aren't as user friendly as the core offering. We have found automating workflows around the stages a little more challenging than we expected - potentially because we doidn't have an existing online approval tool in place.
