I appreciate how easy it is to use Zapier. It's very straightforward yet has a lot of features and functionalities at the same time. It integrates very well with different platforms. I use Zapier to create workflows that can automate some of my daily tasks. I like how there are a lot of app integrations. I also like the copilot, which helps bridge the gap from what I want to make and actually implementing it, especially with some Java and Python coding knowledge. Testing on Zapier is a nightmare. My biggest complaint is the only way to truly test is to publish the draft and then see what breaks. There is no way to get new "test items" when in draft mode. As a small nonprofit with limited staff capacity, Zapier saves us a huge amount of time by automatically syncing our Donorbox donations into our CRM, Bloomerang. Once I got it our Zap up and running, it has eliminated a lot of manual data entry while helping keep our records updated. It is difficult to set up Zaps and doesn't feel as intuitive and user-friendly as I hoped. I am more tech-savvy than my coworkers and I don't think they would have the patience or ability to create them. When something breaks or doesn't automate as it should, it’s not always clear why, and fixing it can feel like something a developer should handle—even with the AI support. I'm also not sure that my Zaps are set-up in the most streamlined and cost-effective way. I like how Zapier allows me to connect different tools within our workspace. I can easily take information from Zendesk and add it to Hubspot Properties, and vice-versa. I would love the opportunity to have additional nested paths. Right now, there's only a maximum of 4 paths that can be nested, and I found myself wanting more for a Zap. Zapier essentially replaces manual coordination with systems. Most teams don’t realize how much time is wasted in small, repetitive tasks sending follow-ups, updating sheets, triggering messages. Zapier removes that dependency on humans doing predictable work. In my workflow, it automates bulk SMS via Quo and triggers emails from Google Form submissions. The biggest advantage is speed and zero dependency once it’s set, it just runs. No follow-ups, no misses. What stands out is how non-technical it is. You don’t need engineering support to build something that actually impacts operations. That’s rare. But it’s not perfect. When workflows get slightly complex, debugging becomes messy and visibility drops. You don’t always know what broke until something fails. Also, costs scale quickly as usage increases, which can become a concern for high-volume operations. Still, the trade-off is worth it. It converts operational chaos into systems. I use Zapier to connect our Airtable with various other platforms to share files. It's really easy for a non-coder, but technically competent admin to set up and administer. It's just really easy to use. I don't need to pay for a third-party API developer to connect services. I can just use Zapier to connect everything, and it's relatively cost-effective per month. Honestly, most things work really well. Occasionally, Zapier will lose contact with services like Airtable. But that has always been due to something going wrong with Airtable.
