  ### 1. Xref how to make references less awkward and more efficient

**What do you like best about Xref?**

It helps references project manage, providing references along with a place for notes, reminders and tracking the process from start to finish. When getting references for my current role, one of my references dropped the ball a bit while I was waiting for an offer; through Xref we were able to push out a reminder and complete the reference.

**What do you dislike about Xref?**

I think it'd be helpful if there was a scheduling piece within the tool where a reference could book a call with the hiring manager. With this not being available then, sometimes a call can be missed the first couple of times.

**What problems is Xref solving and how is that benefiting you?**

It makes providing a reference something that can be project managed instead of getting left on the back burner. This makes the reference-providing process much more efficient.

Regarding your feedback about scheduling calls, we will pass this suggestion on to the product team, but most of our customers find that reference checking online is sufficient. We also find that written reference checks provide 60% more insights than phone calls because those providing a reference don't feel they are being put on the spot. Another benefit of online reference checking is that they can be completed at a time that suits the individual.

**What do you like best about Xref?**

Being able to automate the references process, one that is mainly led by the applicant.

**What do you dislike about Xref?**

I believe they need to improve the way in which the gaps are asked. In our case, we need to know why our applicants have gaps in their employment. 

In addition, it would be great if us as a employer, can upload and update a reference if this one has been provided by email, as a lot of companies are using a PDF template telling us the time an employee has worked for them but they dont provide it on Xref but send it by email instead.

**What problems is Xref solving and how is that benefiting you?**

Helping us to automate applicants' reference process.  It helps us by saving a lot of time, and not having to follow up with applicants or referees, as Xref does by using an automate process.

As a bit of background, the reason we try to encourage users to give a reference via our platform is because we have multiple layers in place to ensure the legitimacy of the reference and keep information secure, for example, our unusual activity detection. In addition, by completing a check via the Xref platform rather than a pdf, it is faster and easier for results to be compiled into easy-to-understand graphs so you can compare and contrast feedback with ease, meaning you reduce time to hire and secure those top candidates quickly. 

Like you Luisa, many of our customer love using Xref because the automation saves them time and reduces their need to chase candidates and referees to complete a reference check.

The convenience. Very simple to use and explain to others.

I wish you could see the reasoning for why an XRef wasn't delivered after it was accessed.

Fraudulent references. It is really nice to know when we have received a fraudulent reference.

**What do you like best about Xref?**

What I find most helpful is the speed which candidates can be logged into the Xref system, the time it saves me from having to chase up or conduct these myself, the realtime comments provided by referees and the controls put in place to monitor the validity of the referee. We want candidates who are truthful about their skills and experience and receiving reports that alert to problamatic behaviour is very telling.

**What do you dislike about Xref?**

I would like the option to register the candidates referees on their behalf, and then perhaps an email asking them to confirm acceptance to proceed.
Many of our candidates English is a second language or not tech savvy, this could be a useful feature when conducting F2F interviews.

**What problems is Xref solving and how is that benefiting you?**

Fast-tracking recruitment

PDF reports are appreciated by hiring managers
System checks and monitors to keep both parties accountable - candidate and referees.

Xref is a very beneficial tool for checking references. Not only is the interface super easy to navigate but the customer support is hands down one of the best I have worked with! Xref is the complete package of efficiency. productivity and support

I, unfortunately, cannot think of any dislikes or negatives of the website/interface or the Xref Team. Everything so far has been incredible! Way to go Xref Team!

Communication and presentation. Communication between all parties has been a plus for me, coming from our previous vendor. Not only do our candidates have a better experience but communication from beginning to end is effortless and professional

**What do you like best about Xref?**

I like that you can customize your questions on Xref. Our organization has a detailed background check process, so it is nice to be able to customize the questions to fit our needs.

**What do you dislike about Xref?**

The downside is I would like to be able to send two different templates for one candidate. We do verifications and references for each candidate here. The verification only needs three questions, whereas the references are a little more detailed. It still has been working, so I wouldn't say it is a problem.

Xref helps eliminate emailing all the references and verifications personally. It also helps keep track of the references and verifications in one place.

**What do you like best about Xref?**

I like that from the employer point of view it takes a few minutes to hit send, and then we get an easy to use report back. It puts the pressure on the candidate to ensure that their reference completes what they need to do they can get a job

**What do you dislike about Xref?**

I dislike the 2 step authentication. I'd be fine once a day but having to do that multiple times a day gets a bit frustrating.

**What problems is Xref solving and how is that benefiting you?**

They are solving time issues. Conducting a reference check takes about 15-30 mins to complete and ensure notes are taken. By using a ref we gain that time back. For each applicant that could be an hour back in my day.

Saves time trying to call referees. Most people don't like to answer unknown numbers these days but regularly check their emails where they can quickly submit their references.

Once a candidate submits a reference, they cannot add another, and I have to send them a new link

No time wasted trying to contact references

You are right, many people don't answer unknown phone numbers or don't have time for unexpected calls. Xref helps overcome the phone-tag challenge by allowing referees to complete a reference check in their own time. On average, a reference check is returned on average within 18 hours, meaning organisations reduce time to hire. Automated reference checking saves both the organisation and referee time. 

With regard to your feedback about sending a new link if a candidate wishes to update their referees, there are a few scenarios where you don't need to send a new link and information can be updated. You can unlock a reference request if you would like your candidate to add another referee or if your candidate needs to edit referee information this can be done before the reference is completed. It's automating the reference checking process and the anti-fraud features reduce fraudulent candidates from slipping through the cracks.

Easy to use - Jess and James are always so helpful especially with my daily requests to send new access links to reactivate candidates. Haven't used competitors to understand.

**What do you dislike about Xref?**

its annoying that we can resend access links to candidates and its frustrating how after 21 days, the candidate can't access the xref platform with the link. I would like to see what the candidates see on their end and also what information is being sent.

Speeds up the hiring managers time and we receive proper answers rather than calling the reference on the spot. Yes because we don't have to waste time calling references that are busy during that time.

If they haven't received it from you in a certain amount of time, they should check their junk email folder. You can also encourage candidates to mark Xref as a safe sender. 

It can also be helpful to have your candidates pass the same information on to their referees so the referees know to expect an email from Xref and can mark us as a safe sender. 

Like you Samantha, many of our customers say Xref saves them time by reducing the need to play phone tag and do manual, over the phone references. Xref is incredibly helpful how it will automatically send information to our candidates for them to submit reference information, all I have to do is put the candidate in XRef status and everything is taken care of from there. It feels like references are literally as easy as clicking a button. Its a new favorite part of my job to review the reference information. I love how I did not have to collect those reference details and input information into our system manually.

I wish xref would be more responsive with our applicant tracking system when we put candidates in the archive. Especially when people withdraw from our process. When someone withdraws, I will archive them in their system but they still receive emails from xref asking them to submit their reference information.

**What do you like best about Xref?**

I like that you get updates on how candidates are progressing to your email so you aren't having to actively check up on candidates, especially when sending so many in a day. It also alerts to potential fraudulent references completed. You can alter templates to ensure you are asking the questions you want to know. I used it as a candidate before I started my role using Xref to issue reference checks and it was easy to nominate details and check-in with referees who hadn't completed it yet. You can also easily export the reports created and refresh checks if the answers aren't quite up to scratch.

**What do you dislike about Xref?**

The notifications do sometimes get repetitive especially if you are getting an email to confirm a candidate hasn't accessed Xref yet. It is handy to know but receiving that notification twice a day across multiple days can clutter your inbox if you are like me and issuing high amounts of checks every day.

**What problems is Xref solving and how is that benefiting you?**

The number one issue solved is time. It takes a few minutes to issue a check either individually or even in bulk provided you know the candidate's details. This saves the business time and money as you aren't having to call every single candidate's referees which can be quite a lengthy process especially if they don't know the referee details straight away or you can't get in contact with them during business hours. Plus we are moving these things towards being digital. People are less likely to answer a phone from an unfamiliar number and would rather complete these things in their own time and aren't being put on the spot.

xRef has helped me save so much time in the post-offer stage. I like the notifications received when a reference check is completed, it keeps me up to date with everything I need to know for a particular candidate.

Notifications when a reference check is unobtainable, or if a referee hasn't responded would be helpful. Currently you have to manually check this and it can be missed/might not leave enough time before the candidate starts employment.

We have been using Xref for several years and have integrated it into our ATS. Not only is the process incredibly convenient for our recruiters, but the quality of response and the turnaround times are incredible. The fact that you can track based on sentiment, number of words in a reply, and turnaround times make it incredibly easy to streamline this stage of our recruitment process. It is also an excellent tool for the collection of referees details as potential future contacts.  Xref, has had a significant impact on our operations. The quality of responses has not been impacted at all.

**What do you dislike about Xref?**

The positives far outweigh the negatives in the use of Xref. No negative feedback comes to mind. However, for Senior Executive appointments doing them references verbally is always an excellent process to follow.

**What problems is Xref solving and how is that benefiting you?**

The amount of time that our Talent team spends leaving messages and chasing up referees has reduced significantly.
The automated reminders to sent out to candidates and referees to complete the process save us a lot of time, plus the quality of response is excellent. Referees can complete the checks at their convenience has a lot to do with the quality of response.
This process removes any subjectivity or misinterpretation of responses when completing a verbal reference.

**What do you like best about Xref?**

XRef makes it easy to request and receive references back quickly. Their interface is intuitive and straightforward. The reports generated are beneficial to our hiring managers to see if the reference was positive or not quickly. The AI is highly accurate. I would recommend XRef to any HR/TA team who has a high volume of reference checks to complete. As an added bonus, XRef can be used anywhere in the world so we have been able to use it for positions outside of Canada without any issues.

**What do you dislike about Xref?**

I wish there were an easy, in-app way to request more credits. Currently, we have to email our account manager every time we need new credits. This is fine but unnecessary - we don't need an interaction with a sales person when we have already committed to using XRef. 

I would also like to see more "standard templates" for reference check questions - this would make it easier for us to quickly modify/adapt a new set of questions instead of having to design them from scratch.

**Recommendations to others considering Xref:**

If you are a Canadian company, don't think twice about using XRef.

**What problems is Xref solving and how is that benefiting you?**

We have significantly cut down on time it takes to complete references. In just the first two months of use, we saved 18 hours as a team. XRef references take, on average, 2 minutes to complete. This is compared to 20 minutes per reference previously. As a Continuous Improvement project, XRef easily made it worth our time invested up front to get the system up and running. We looked at other providers but none that were based in Canada and therefore understood our needs as a Canadian business. Other reference check providers that are based in the US or Australia store their data there and often do not have the capability to be fully bilingual in French and English. This is necessary for us as we operate an office in Montreal.

We have also found that the systems ability to follow up with references and ping them until the refernece is filled out to be effective and helpful.

XRef allows us to capture detailed responses that help determine if the candidate is fit for the role!

What I like best is that the xref is coming from the candidate. I find that references are more willing to answer & answer quickly if it's been sent by someone they know.

The only downside to using xref is that sometimes they do not go through to facility emails, which I know is a faciity issue but it makes the process longer.

**Recommendations to others considering Xref:**

If you'd like to make your life easier, xref is for you. It's so easy to use, especially in medical staffing when managers & other references are working crazy hours. They can fill it out on their own time. You can modify it so that what is important to you in a candidate is reflected.

Honestly it just saves alot of time & work on the recruiters side. Helps us to work smarter, not harder.

In regard to your feedback about editing questionnaires and criteria - you can edit a questionnaire if it has not yet been used, however we encourage you to create new questionnaires once one has been used. The reason for this is because Xref’s automated reference reports directly compare references for a certain role. 

While we empathise that dual factor authentication can be annoying, we do this to ensure your data is kept safe and secure.

In regards to your feedback around slow or delayed verification codes, we definitely understand how frustrating that can be! This can sometimes be due to your email provider having multiple filters in an effort to reduce spam. We make up for that though with our quick and accurate reference checks! Did you know the average reference check with Xref is completed within 18 hours?

Overall, our customers find that using online reference checks mean they don’t have to play phone tag or organise calls outside of working hours.  This means for many of our customers, the time to hire and overall hiring journey is much faster.

With regard to your feedback around the tone of the referee being lost and the nature of automated reference checking being impersonal - if this is a cause for concern for our customers, they can rely on our Sentiment Analysis report, accessible once a reference check is completed. This tracks word count. The higher the word count, the more engaged a referee is with a candidate, tending towards a positive sentiment. Additionally, some of our customers like to follow up referees with a call to further understand the tone and create that personal connection to understand the detail better.
