The implementation, integration and execution of AI, especially in its Protection module. The multiple variables considered for the duplicate detection is industry leading, where most duplicate checks rely on mostly 3 variables, Xelix application is in its tens which included OCR and other input errors, usually missed by the traditional matching approach. The Document error and Master data cleanse tool also eliminating non-value added exercises by identifying the exceptions and reducing massive volumes of false positives, enabling the team to concentrate on root cause analysis - which again is self-learning dependant on first responses and trend analysis. Xelix is an easy-to-use tool that brought our company a lot of benefits. Easy to implement and from the moment we used the tool we did not pay any duplicate invoices or had any significant data errors that are identified after the payment run. When you outsourced your invoice process, it is crucial that a tool can track all the mistakes made in wrong currencies, duplicate vendors, duplicate invoices, especially when everyone is working from home during the pandemic, and human errors are more common. The tool also learns from identified mistakes that were made on purpose. The tool gives us all the important controls we need. There is no need anymore for a 3rd party to go through your data with a similar tool for the past years, identify mistakes after the fact on your behalf, discuss this with you, and contact your vendors to receive some money back and get an unknown fee. Processed credit notes are not always identified as being part of a correction entry for a duplicate invoice, but the Xelix team listens well and adapts its software to the requirements of the customers. Recommendations to others considering Xelix: If you outsourced your Procure to pay activities to a BPO provider, make sure you make use of a tool like this in addition to the standard controls that are in place when you use an ERP system. The problems that are solved are: Identify duplicate invoices processed within the same legal entity or different legal entities, duplicate vendor creations, invoices processed under the wrong vendor, invoices processed with the wrong currency, invoices incorrectly processed without VAT. When we started and the tool reviewed the last 2 years of historical data, we earned our investment for the coming 3 years back. It reduces a lot of error communication with our vendors, and we don't need to worry anymore if we can settle the incorrect invoices with future invoices or waiting for ages before we receive our money back from vendors. Perhaps the lay out could be made more simple and divided into different ledgers without having to filter them all the time, also once you complete a transaction xelix takes you back to the beginning rather then carrying on from where you left of this then takes time to get back to where you were.. What problems is Xelix solving and how is that benefiting you? The email alerts are very beneficial when needeing to resolve issues that you may not know about prior to the alert. Xelix has a really simple and fast onboarding process, which allowed us to get up and running in under two weeks. Navigation and screens are clear, concise and user-friendly. The AI processes that Xelix uses to identify the duplicate invoices & deviations from historical postings all worked as defined, and it's a simple process to teach the system better habits to clear up any false-positives. McBride implemented Xelix in 2019 in order to have a clear visibility on the potential errors made by the PTP team. The implementation was very quick as Xelix team provided us with a lot of support during that period. Xelix is very easy to use. The supplier additionally provides the regular updates and training regarding the new functionalities of the system. Each user has the access to reporting tools in order to see the current status of invoices posted, awaiting payment. I really like the visualisation provided by Xelix. I use the graphs set-up for McBride in my monthly reporting. The customer service provided by Xelix is just excellent. I have regular calls with the provider in order to discuss my observation and any potential room for improvement. If I have any questions or concerns, Xelix team comes back to me in less than 24h. When we first spoke to Max in 2018, we didn’t realise we were facing any issues and decided not to progress conversations. However, in 2019, Max reached out again, offering us a free Proof of Concept. This seemed like a no-brainer, so we gave the green light for Xelix to analyse our transaction data. We were so surprised with the results, and it really highlighted how important it was for us to implement a purpose-built solution for detecting risk. We saw the value and decided to onboard Xelix.
