Very straight forward to use. Learns as I learn and feed it more information. I especially like the exported copy for vendors as it is very straightforward, I have even had a similar response from a supplier to say how much easier it was to read. We have also had a great amount of support and patience from the customer support team, it has been a long journey to ditch our old ways. **What do you dislike about Xelix?** The only trouble I have found is when suppliers have strangly formatted statements however this was an issue with our old way of working and most of the issues we have found the xelix support team have been able to give us solutions to make it easier to work with. **What problems is Xelix solving and how is that benefiting you?** Making statement reconciliations so much easier. We have a huge list of suppliers and were only successfully reconciling the most important suppliers due to time taken. Now it takes a matter of minutes so we can push through large amounts each day. ### 2. Primarily used for identifying historical duplicate invoices and invoice errors but the forward looking aspect and proactive nature of identifying potential duplicates is saving unnecessary cash leakage and identifying root causes for duplicates. Its a key daily tool for the AP team and the setup is straightforward with minimal tech integration. Xelix is a company that always appears to be on the front foot with further developments and takes feedback from clients very seriously. The addition of the statement recs module gives the AP team another string to its bow and takes out a lot of the churn needed for manual reconciliations - i'm excited about the Inbox module and what that can bring to the team too. **What do you dislike about Xelix?** Nothing to dislike - I've always found the Xelix customer success team very helpful and encouraging. **What problems is Xelix solving and how is that benefiting you?** Automating the Statement rec process, identifying duplicates, showing invoice errors, highlight VAT compliance issues. providing analytics/insights to name but a few. ### 3. We have trialled others before to help us imporve our transactional side of the business and xelix is by th far the easiest one we have. The team and espically Paris have been great with us setting up weekly calls and monthly reviews. A company of our size turning over billions in revenue every year you could imagie how many invoice we enter. The system picks up every single error/duplicate we have. The statement reconcillaiton tool is brilliant as it helps us complete recs in minutes. The best tool on xelix has to be the new AI tool they are implementing. Emails from suppliers are directly linked to the system and the AI automatically picks it up. It recommends suggestions on what to do, sending responses back and even completing statements recs. We use Xelix on a daily basis and I highly recommend to any company out there to implement this tool! **What do you dislike about Xelix?** Nothing to dislike about xelix. All works perfect for us. **What problems is Xelix solving and how is that benefiting you?** Picking up invoice errors and duplicates, we enter millions of invoices monthly and this is a big aid s it helps us identify and errors we may have missed. The product itself is constantly evolving to meet market demands, with again user experience at the forefront of all processes. With seamless integrations with most ERPs it does make onboarding swift and with confidence (as long as you have quality data to feed in of course!) This is a tool/product that can be used by many levels within the organisation on a daily or even adhoc basis due to the way the user profiles can be setup and the various modules from transactions to insights are available. **What do you dislike about Xelix?** I have nothing to comment here as I have been nothing but satisified with my experience. **What problems is Xelix solving and how is that benefiting you?** Insight into vendors that are being paid to terms, but main inital issue was around identifying duplicate payment in what was a very manual process and prone to error. ### 5. The response time, should you be struggling, is always quick too. There's plenty of support to assist in using all features and it makes day to day and audit requests much more simple. **What do you dislike about Xelix?** That I can't use it all! There's a couple of features within statements that I think could do with tweaking but I'm sure they're just company specific. Overall there's not a lot at all. **What problems is Xelix solving and how is that benefiting you?** It's solving issues that would otherwise have not been brought up; such as the quantity of duplicated invoices and the information needed to help resolve issues with all aspects of AP that others don't necessarily think about. Company specific it would take a LONG time to go through all the features to clean the accounts down but the reporting and the statements is a benefit to help get resolve quicker and easier by seeing evidence that there is an error or that something is paid. ### 6. We have had challenges getting a disciplined process for addressing and resolving the issues it identifies. Previosuly i would have to spend time converting PDF's to excel and exporting reports from different systems and do look ups to get an accurate position Also just in terms of querys and can instantly combine the two systems to get an instant picture. It is also a good way to find any duplicate invoices lost in the system. The service provided is second to none and one of the best platforms we have used. **What do you dislike about Xelix?** If i am honest, there is not a bad word i can say about xelix; if there is ever a minor technical issue, it's always resolved very quickly. Amazing The next product statements recs, and this as above saves us so much time, and easily recognizes any issues with the statements; it relays info in a simple format for us and suppliers and breaks down anything that is miss, paid, ETC. It is straightforward and quick to learn. I love how easy it is to use. The statement reconciliation is a brilliant tool as well as the duplicate checker. We have all the platforms that Xelix currently offer and have no regrets. The training they provided as a team has been incredible, and nothing is ever too much for them. They always keep in contact, hold regular meetings for us as/when required, and have events throughout the year. It is a pleasure to work alongside them. **What do you dislike about Xelix?** I honestly can't fault them. I am not just saying it. I can't give anything negative about them. **What problems is Xelix solving and how is that benefiting you?** Xelix has helped us with many problems, the first being the duplicate checker. It made our job much more accessible and efficient using this instead of doing a lot of things manually this also saves us alot of money. Moving onto the statement reconciliations, the seamless format from Xelix is great. We had a manual template built previous to this and as you can imagine, it was very time-consuming for everyone involved, so it has saved time for us mainly. The other benefit is that the statements from Xelix save into the PDFS which categorise missing documents, already paid etc this makes it helpful for us and the supplier. ### 22. Reduces staff time in manually searching for as the system interacts directly and provides all information required to easily identify the issues. **What do you dislike about Xelix?** There doesn't currently appear to be any issues with the product that can be identified as a dislike. Xelix have always worked with us to make amendments to the system where needed. **What problems is Xelix solving and how is that benefiting you?** Preventing the duplication of payments that have been entered via OCR and possibly matched incorrectly. Allows historic checking of payments to recoup past duplicates that may have occurred prior to system implementation. Easy to implement and from the moment we used the tool we did not pay any duplicate invoices or had any significant data errors that are identified after the payment run. When you outsourced your invoice process, it is crucial that a tool can track all the mistakes made in wrong currencies, duplicate vendors, duplicate invoices, especially when everyone is working from home during the pandemic, and human errors are more common. The tool also learns from identified mistakes that were made on purpose. The tool gives us all the important controls we need. There is no need anymore for a 3rd party to go through your data with a similar tool for the past years, identify mistakes after the fact on your behalf, discuss this with you, and contact your vendors to receive some money back and get an unknown fee. With this tool, there is no need to contact your vendors anymore because the mistakes are identified upfront. **What do you dislike about Xelix?** Processed credit notes are not always identified as being part of a correction entry for a duplicate invoice, but the Xelix team listens well and adapts its software to the requirements of the customers. **Recommendations to others considering Xelix:** If you outsourced your Procure to pay activities to a BPO provider, make sure you make use of a tool like this in addition to the standard controls that are in place when you use an ERP system. **What problems is Xelix solving and how is that benefiting you?** The problems that are solved are: Identify duplicate invoices processed within the same legal entity or different legal entities, duplicate vendor creations, invoices processed under the wrong vendor, invoices processed with the wrong currency, invoices incorrectly processed without VAT. When we started and the tool reviewed the last 2 years of historical data, we earned our investment for the coming 3 years back.
