## About WORKSPACE.PM
Most PMOs end up choosing between two bad options. Option one is a lightweight work-management tool: fast to adopt, loved by teams - and structurally unable to answer the questions leadership actually asks. Which projects are competing for the same three engineers in Q3? What does the critical path look like after the change request? Where did we drift from the approved baseline? Option two is a classic enterprise PPM suite: it can answer those questions, but only after a six-figure implementation, a consultant on retainer, and a licence matrix where scenario planning, resource management and reporting each live behind a different tier. WORKSPACE.PM is built for the organisations stuck between the two. It is a German-engineered project and portfolio management platform that covers the full lifecycle - from the first idea and the demand pipeline, through scheduling, capacity, risk, change and requirements, all the way to portfolio reporting for the board - in one system, with one permission model and one audit trail. --- Is this you? Buyers who get the most out of WORKSPACE.PM usually recognise at least three of the following: - You run 20+ projects in parallel and reconcile them in a spreadsheet nobody trusts. - Someone asks "can we take this project on?" and the honest answer takes two weeks to produce. - Your industry expects traceability: public sector, automotive supply, engineering, construction, R&D, regulated services. - A US-hosted tool would create a real discussion with your DPO, works council or auditors. - You need classic scheduling (network logic, baselines, buffers) \*and\* agile boards, because different parts of the organisation genuinely work differently. - Your current tool's "Enterprise" tier costs three times the base plan for two features you already assumed you had. If none of that sounds familiar, a simpler task tracker will probably serve you better - and we would rather you knew that before the trial. --- What it does Scheduling that stands up to scrutiny: Gantt planning with real critical-path method underneath: forward and backward pass, earliest and latest start and finish per activity, total float, hard-anchored fixed dates, and an activity-on-node network diagram for planners who read dependencies as a network rather than as bars. Circular dependencies aren't rejected with a shrug - the system shows you the exact chain that loops back on itself. Baselines can be frozen at any point and compared against the current plan, or against each other, with the schedule delta shown directly on the bar. Portfolio and demand management: A structured intake pipeline with a demand board, conversion funnel, and configurable scoring frameworks, so prioritisation is defensible rather than political. Portfolio bubble analysis plots demands on axes you choose - risk, score, cost, benefit - alongside aggregate NPV and return figures. Resources and capacity: Assignment and utilisation tracking, skill and availability profiles maintained by the people themselves, absence management, and a live view of who is actually free before you commit to a date. Governance in the tool, not in a side document: Risk registers, change requests where a linked risk carries its own reasoning ("what problem prompted this change" and "how does the risk assessment shift"), quality gates, and a full audit trail per entity. Requirements and verification for engineering-driven projects: requirements with status flow, test objects, many-to-many traceability links, and verification runs - with the terminology following your world (generic, Automotive SPICE, or V-Modell XT) instead of ours. And the rest of the day-to-day: Kanban boards from personal to programme level, sprints and backlog with drag-and-drop, work-item types and estimation in the unit your team actually uses, time tracking including non-project activities, meeting management, project wiki with backlinks, OKRs, ideas and opportunity management, document generation from templates with dynamic placeholders, customisable dashboards, and reporting at project, programme and portfolio level. --- Three things that genuinely differ 1. No feature gating by deployment: SaaS, managed hosting, on-premises - the same complete feature set in all three. Your data-protection decision doesn't cost you capabilities, and choosing self-hosting doesn't send you to a "please contact sales" page. 2. AI you can govern, not just switch on: The assistant works with your live project data, but only ever within the permissions of the person using it, and asks for confirmation before it changes anything. Beyond that: bring your own key (Claude, OpenAI, Gemini, DeepSeek, Mistral, or a locally hosted model) or use a managed credit model; per-user monthly token budgets enforced server-side, not merely displayed; per-user consumption auditing with cost estimates; a dedicated RBAC permission level for generative AI; and a tenant-wide kill switch that turns every AI feature off in one click. Because that switch exists, you can say yes to AI without betting the compliance review on it. There is also a standards-based MCP endpoint: connect an external AI client, authenticate by OAuth as an individual person, and it inherits exactly that person's rights - with an additional role-level gate that can only ever restrict them further, never expand them. Administrators see every connection and its usage. 3. Compliance shipped as a feature: ISO 27001, German data centres, GDPR, no third-country transfers. More usefully: the data processing agreement is prepared \*inside\* the product, adapts to your hosting model, requires a designated authorised contact before it can be issued, and keeps an immutable version history - instead of living as a PDF in someone's mailbox. Add enterprise identity to that: SSO via OIDC or SAML, DNS-verified email domains, group-to-role mapping, SCIM and LDAP provisioning, scoped API keys, a documented REST API, and rate limiting on authentication paths. --- Methods, languages, integrations Traditional, agile and hybrid approaches run side by side - PRINCE2, PMI/PMBOK, Scrum, Kanban, V-Model XT, HERMES, Automotive SPICE. Different projects can follow different rulebooks in the same tenant, without a second tool. The interface is available in eight languages, and each project can pin the language of its AI-generated content separately, so an international team reads consistent project summaries regardless of who triggered them. The integration hub covers SharePoint, S3 and CMIS document storage, Zapier, identity providers and more - with modules honestly labelled as live or planned, so nothing you saw in the catalogue turns out to be a roadmap item after signature. --- Getting started A 30-day trial gives you the full product, not a stripped-down preview. Pricing starts around €99/month for the base plan, with per-user pricing in the €12.80–16.80 range - published, not quoted on request. Onboarding and migration support are available, and self-service setup is a realistic option for teams that prefer it. If you are comparing European PPM alternatives to US-based products and keep hitting the same wall - enough structure for a real PMO, without an enterprise implementation project - WORKSPACE.PM is worth the half hour.
