There are features to be improved such as - formulas, pivots. The XBRL integration is a lifesaver during crunch time; regulatory filings that once felt daunting are now almost routine. I use Wdesk several times a day, and its stability means I rarely worry about crashes or lost work. It has robust access-permission settings that allow me share sensitive documents confidently, ensuring only the right eyes see the right data. Customer support has been stellar; whenever I get stuck, clear and timely guidance gets me back on track fast. **What do you dislike about Workiva?** Steep learning curve: mastering advanced linking, tagging, and navigation still takes me a lot of trial and error, and onboarding required outside consulting help. Interface overwhelm: the UI feels cluttered with lots of clicks in and out of windows, so quick edits don’t feel as intuitive as other tools (e.g. Google Docs). The 'processes' and 'tasks' functionality is very basic for our needs. It only allows one preparer and one reviewer but sometimes we have multiple levels of review. Additionally, it does allow a review to re-assign the task or add comments as to why they reject or deny a task. While I value the functionality, the increasing subscription costs are becoming harder to justify, especially for smaller budgets or lighter use-cases. While the support reps are great, I’d rely on them less if the manuals and tutorials were more more detailed. **What problems is Workiva solving and how is that benefiting you?** It funnels ERP and other data into one secure hub, wiping out manual re-entry and spreadsheet chaos. Real-time collaboration and built-in audit trails cut errors and speed up month- and quarter-end closes. Automated workflows and strong controls boost confidence in SEC, financial, and ESG reports while slashing compliance risk. A lot of functionality doesn't really meet our needs in terms of gathering data and we're not able to analyze it in the system. It makes it basically not very usable for us to plug data into. Many of the text fields and comments strip out newlines upon submission which makes later reading of those comments more difficult. I also appreciate the Workiva Sync functionality. I wish that my firm chose to also purchase the W-Data real-time data refresh package. **What do you dislike about Workiva?** The fact that you do not get all features of Workiva with the basic package that QH has. We do not have W-Data and thus the Workiva Sync is really a glorified copy + paste tool. I also hate that system functionalities are abridged simply because we did not buy the W-Data package - for example, the Find + Replace feature is a one-by-one adjustment rather than being able to select a full page or sheet and have it find / replace everything. This can sometimes take HOURS - what gives?! **What problems is Workiva solving and how is that benefiting you?** Workiva has stream-lined our close process with the Workiva Sync method. Before, it could take much longer for us to complete and update reporting during financial close. With Workiva, we have nearly cut that time in half. This proved to add some good efficiencies along with easier reporting and knowledge for everyone to view the status. We use Workiva daily and **What do you dislike about Workiva?** Customer Service answers your posts quickly, but it does take quite a while for any meaningful change to occur, if they do choose to take your suggestion under review. For example, 4 years ago I requested an advanced search that would allow us to search within files that are in the testing experience. This is to help comply with regulations such as the CCPA. About a year ago they implemented an advanced search that looks in files, however it doesn't look in the testing experience for some reason, and after multiple follow-ups I am told they are still looking into it. **What problems is Workiva solving and how is that benefiting you?** not having to do the work and track manually. It allows for easy collaboration with the commenting feature, and we always have a full audit trail since we can set permissions easily, track changes/versions and see who has edited down to a cell level. I like the automation features to send review notices or lock sections when we've marked them in a certain status as well as the mark up feature that makes tie-outs much more efficient. The XBRL review is also super clean and easy to do within the platform. I appreciate that they are continuously trying to improve the platform and introduce new or improved features based on user feedback. **What do you dislike about Workiva?** New features are not always communicated well or aren't available for all users, often requiring you to be on a more expense solution to gain access. You do have a dedicated Customer Success Manager but it seems they often prefer to point you to help articles or videos vs. actually fixing the issues you're having themselves. In general, I've found you need to be pretty self sufficient to use the software. Additionally, while they've made their platform look and feel like Microsoft Office, which makes using it easier, it doesn't have ALL of the capabilities of those (e.g. not all chart formats are supported; export to Microsoft Word often gets messed up) which can be frustrating at times. **What problems is Workiva solving and how is that benefiting you?** Workiva has helped created a single source of truth across all of our external reporting processes, which cuts down on prep and review time, allowing us to focus on more value-added tasks. It allows for easy and timely collaboration, especially helpful when working on a completely remote team working across different locations and time zones. It has also been extremely valuable for maintaining data continuity. The features that allow us to assign tasks and request data have improved both our timing and overall processes. Given the complexity of the reports we produce and the thorough verification steps required, the collaborative features have made a noticeable difference for every team involved. **What do you dislike about Workiva?** While Workiva excels in certain areas, it still falls short in terms of design features that are considered standard in other programs. For example, there is currently no option to create a horizontal report, which complicates the workflow. The only workaround is to break the control chain at the final step, but this can introduce its own problems. Furthermore, handling attachments in spreadsheets, linking data between reports, or establishing source links remains cumbersome and unreliable. As a result, I often find myself having to double-check and review my work, which leads to unnecessary duplication of effort. **What problems is Workiva solving and how is that benefiting you?** Workiva is solving a problem of controls, data collection and reporting. As explained before, it has been tremendously helpful in that sense because there is less access and need for multiple people to add or edit data. It allows for easy handling of sub-certifications and comprehensive documentation of control and risk design. The setup process was facilitated excellently by using a third-party service called embark, making the introduction to Workiva smooth and efficient without the need for further customizations. I appreciate the standard control forms, test forms, and the streamlined workflow for PVC requests and certifications which significantly enhance our operational efficiency. Moreover, Workiva integrates seamlessly with various tools such as Microsoft Excel, Word, and Adobe Acrobat, which I find very useful for uploading necessary artifacts. I am so satisfied with Workiva that I would certainly consider purchasing it again and have even recommended it to other vendors, who subsequently found it valuable enough to purchase themselves. Overall, I have a high regard for Workiva's capabilities, which is why I would recommend it on a scale of nine. **What do you dislike about Workiva?** I find Workiva's visualization capabilities lacking compared to specialized tools like Tableau. Management visualizations are increasingly important, and I feel Workiva could improve in this area. That may include financial statements, sox controls, internal audit reports or carbon reporting information. As a combined package, it allows for a single vendor with savings over the licensing, training and support cost of multiple tools from different vendors. It is generally intuitive and easy to use. It also makes financial statement preparation, review and tagging much easier than competitive options **What do you dislike about Workiva?** The tool is not really best in class in any area apart from financial statement preparation. They accomplish the requirements of each area and are worth the trade off in savings from having a single vendor but other dedicated, single purpose tools often do those individual tasks better. Their biggest strength is financial statement preparation, tagging and reporting but in their quest to extend functionality, they have fallen into the trap of buzzwords and trends (such as AI in name only) rather the focusing on building a great core. They also try to nickel and dime you over modules and extensions especially data connections/interfaces that really make your work efficient. The sales process is misleading when it comes to what the tool can do generally vs what they are providing in your quote. SLA is also disappointing in that they really don't even try to set a reasonable bar. I guess they assume that their solution will never be mission critical to a company and thus are unwilling to deliver even industry standard SAAS uptime promises. **What problems is Workiva solving and how is that benefiting you?** It has financial reporting, SOX, internal audit and carbon all in a single tool. **Official Response from JD Garciano:** > Thank you for your detailed feedback! I use Workiva on a near-daily basis, to draft, review and file countless 8-Ks, 10-Ks and 10-Qs, proxy statements, prospectuses and offering memoranda. It is truly an all-in-one solution for drafting, review and filing, eliminating inefficiencies and potential points of error that previously arose from trading drafts among multiple stakeholders and sending filings to a financial printer. The all-in-one nature of Workiva gives us peace of mind that sensitive information is more secure than it would be when sharing email drafts and using multiple third-party solutions. The product is impressive. First, I’ve found Workiva is an invaluable tool for collaboration among internal finance, internal legal and outside counsel. Before using Workiva, questions would take days to resolve, waiting until the next turn of the document was emailed for review. That process also led to version control issues, repetitive questions and duplicated efforts. Now, questions are resolved quickly and efficiently through comment threads in Workiva, ensuring all parties are aligned, and eliminating time spent on emails or calls (and the associated expense of time billed by outside counsel). Second, I love the wide range of integrations and that all parties can view source workbooks, eliminating questions about how a figure was calculated and simplifying the tie-out process. Third, the ability to use Workiva’s interface to file directly rather than sending to a financial printer has reduced costs, time spent waiting for proofs, proofing and correcting errors. Finally, Workiva’s interface is relatively intuitive and simple to use. When I was outside counsel, it wasn't difficult to start using Workiva, even with no training or prior experience. If questions arose, the customer support I have received has been largely very prompt and helpful—far above the customer support received for other SaaS programs I use. **What do you dislike about Workiva?** For some types of documents, formatting can be challenging. Within the Workiva platform, it sometimes can be difficult to create the layouts desired in the SEC filing tool. That being said, I have always been able to tag in a Workiva specialist for formatting help, and within minutes, we can typically achieve the desired result. If not for this, the formatting difficulties would be a much bigger pain point. Another pain point is that downloads to Word format (which are requested by some stakeholders) often result in formatting and numbering changes. If this could be improved, it would help eliminate unnecessary questions and comments about issues that don't actually exist. **What problems is Workiva solving and how is that benefiting you?** Workiva eliminates disconnects between internal finance and internal legal in preparing SEC filings, which had previously been a source of inefficiencies and frustration. In other words they have to start one after the other or all at once. Would be nice to be able to have a combination within the same process. **What problems is Workiva solving and how is that benefiting you?** Ability to manage the audit plan and review work papers. These offerings work very well with each other, even across company departments, so data fields from one department can be linked into documents/fields in other departments for easy updating. There is a bit of a learning curve to WDesk because even though it looks like Word, Excel, etc., it does behave a bit differently from those, so things you would expect it to do like those natively, it either doesn't do (currently) or it does it in a different way. Often there are ways to work around this, but it is just good to know going in that you have to learn the specific tools within WDesk. That said, the team at Workiva is constantly working to enhance WDesk in increase the usability and tools within the suite, and they often take feedback from their customers to learn about what features are most important to them that they should work to build out. **What do you dislike about Workiva?** It is all cloud-based, which is a blessing and a curse at times. Since the way I use the product often has many references or links across many different documents - making changes to source data can sometimes be problematic, and making small updates could have large impacts if it is incorrectly done. I wish there was a way to make a "testing environment" version of the documents based on their current state, to make sure everything works/updates as intended before having it all go live. **What problems is Workiva solving and how is that benefiting you?** The annual updating of annuity prospectus updates and having all my fund data feed directly into the legal filings of those prospectuses. **Official Response from Aya Moustafa:** > We appreciate your feedback and are happy to hear that you find our products to work well together. It does take some getting used to, as most software installs do, but after a while, the functionality is very user friendly and easy to navigate within the system. I use Workiva frequently, as I work directly with the audit reports, so having something that is user friendly was a huge benefit to me. Year 1 is a big lift to input all information, but the year 2 integration should be much smoother and more efficient. **What do you dislike about Workiva?** There is no rollforward feature for financial reporting/audit reports. The fact that you have to manually copy folders and update dates to rollforward, feels a little clunky and old. I think this entire process could be automated that once an audit report is complete for the fiscal year, you could push a button to roll forward you files, where the current year numbers become the prior year numbers and leave blanks until the current year numbers are input. **What problems is Workiva solving and how is that benefiting you?** It is creating efficiencies within our financial reporting process, which is streamlining the audit reporting on our end, and cutting down the amount of time spent preparing the audit reports. We also have 14 different audit reports we issue, and consistency across the audit reports used to be a problem. It's really awesome to be able to update a number in one place, then it will update on all documents at the same time. It reduces error - especially on last minute changes. The customer support team is great. They're fast and have a positive attitude. I like the free CPE opportunities. **What do you dislike about Workiva?** I wish Workiva's support articles were more helpful. I often still need clarification after reading several articles. Additionally, I am constantly logged out of Workiva, sometimes several times in a minute. This can get annoying when we're very busy. We also seem to get a new CSM very regularly, and our account manager is not always very responsive.
