## Workflowy Reviews
  ### 1. WorkFlowy Makes My To-Do Lists Easy to Organize and Reorder

**Rating:** 4.5/5.0 stars

**Reviewed by:** Rachel P. | HR Generalist, Non-Profit Organization Management, Mid-Market (51-1000 emp.)

**Reviewed Date:** April 23, 2026

**What do you like best about Workflowy?**

I use workflowy to manage my to do list. I like that I have different categories and columns and it helps me to separate into monthly, biweekly, and weekly plus a long term planning section. I can easily move things around and create hyperlinks.

**What do you dislike about Workflowy?**

I don't have much I dislike about it but I'm sure there are features I am not taking full advantage of

**What problems is Workflowy solving and how is that benefiting you?**

Workflowy helps with to do list management and general organization

  ### 2. The only tool I’ve consistently come back to

**Rating:** 5.0/5.0 stars

**Reviewed by:** Abhishek K. | CEO, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 27, 2025

**What do you like best about Workflowy?**

In a world flooded with productivity apps, most tools feel like fleeting crushes—exciting at first, but eventually too clunky, too noisy, or too rigid. WorkFlowy is the one I keep returning to. It’s not just a note-taking tool—it’s a thinking partner.

It is simple, yet powerful.

At first glance, it’s a blank list. But don’t be fooled. That simplicity is its genius. It offers just enough structure to manage staggering levels of complexity without ever becoming overwhelming.

It is versatile beyond belief.
I’ve used it to outline books, run company meetings, organize product development sprints, map out life goals, and even journal. It’s a canvas for any kind of thought, from the tiniest to-dos to the grandest systems thinking.

Outlines are underrated. WorkFlowy proves that.
It lets you think in outlines naturally, like the human brain does. Zoom in when you need detail. Zoom out when you need clarity. Nest ideas. Rearrange them. Build clarity out of chaos.

Best part? It never gets in your way.
No distracting bells and whistles. Just a quiet, infinite list that helps you think clearly and build elegantly.

If you’ve got big ideas, WorkFlowy is the rare tool that grows with your ambition, instead of bloating under it.

**What do you dislike about Workflowy?**

I would love it if it Allows users to visually convert any list or sublist into a mind map view with one click and retain the same infinite depth

**What problems is Workflowy solving and how is that benefiting you?**

Organising ideas
Visualising projects
Creating lists

Problem 1: Mental Overload & Fragmented Thinking
Modern work is chaotic—ideas, tasks, notes, and plans are scattered across sticky notes, emails, and dozens of apps. It’s overwhelming to hold it all in your head or keep it organized.

How WorkFlowy helps:
WorkFlowy acts like a second brain. It gives me a single, infinite, zoomable list where I can offload everything—tasks, projects, notes, writing drafts, long-term goals, random thoughts—without friction. I no longer fear forgetting important things or losing track of where ideas live.

Problem 2: Complexity Management
Big projects are hard to break down. Tasks get tangled. Priorities blur. Most tools either oversimplify or overcomplicate.

How WorkFlowy helps:
Its nested bullet system is deceptively simple but incredibly powerful. I can break any idea down into smaller parts, then zoom in to focus or zoom out to get perspective. It adapts to both strategic planning and tactical execution—seamlessly.

Problem 3: Tool Fatigue
Many productivity tools force you into their way of working—with too many features, notifications, or rigid formats.

How WorkFlowy helps:
It stays out of the way. The interface is clean, distraction-free, and fast. It supports my thinking style rather than forcing me to adapt to the tool. It’s versatile enough to shape around my needs: writing, planning, outlining, journaling, or tracking goals.

Overall Benefit:

WorkFlowy gives me clarity.
It turns mental clutter into structured thought.
It’s the backbone of my personal organization system—and the only tool that’s stuck with me through years of evolving projects, habits, and thinking styles.

  ### 3. Easy to use, but lacking in more powerful features

**Rating:** 3.5/5.0 stars

**Reviewed by:** Verified User in Professional Training & Coaching | Small-Business (50 or fewer emp.)

**Reviewed Date:** September 30, 2025

**What do you like best about Workflowy?**

It's very easy to get started. Just start typing! It formats itself as a bullet list which most folks are familiar with.

**What do you dislike about Workflowy?**

While it's great for getting started, the more advanced features are lacking. Also the free plan can be very limited, depending on what you need, and there is only one paid plan and it is quite high.

**What problems is Workflowy solving and how is that benefiting you?**

Workflowy allows me to capture content easily without having to worry about where to put it or how to organize it. I can write first and organize later, since it's easy to move the different bullets around.

  ### 4. Nothing else has worked for me as well as Workflowy

**Rating:** 5.0/5.0 stars

**Reviewed by:** Jeffrey D. | Data Analyst, Mid-Market (51-1000 emp.)

**Reviewed Date:** July 22, 2025

**What do you like best about Workflowy?**

I can dump ideas and thoughts from my brain into Workflowy so quickly - and more especially, keep them organized. That's the key.

**What do you dislike about Workflowy?**

They keep improving and I don't have a single thing that I don't like.

**What problems is Workflowy solving and how is that benefiting you?**

A place to capture and store - and easily retrieve thoughts, ideas, and reference points that I work through.

  ### 5. Infinite Instant Memory

**Rating:** 5.0/5.0 stars

**Reviewed by:** Verified User in Hospital & Health Care | Mid-Market (51-1000 emp.)

**Reviewed Date:** June 17, 2025

**What do you like best about Workflowy?**

Any data is written down. No data is forgotten. Every data can be found. '/' shortcuts. Mirrors. Keyboard shortcuts. Simple interface. Quick search engine.

**What do you dislike about Workflowy?**

Nothing so far (I am a two-year user). Kudos.

**What problems is Workflowy solving and how is that benefiting you?**

All useful data in one single place.

  ### 6. Note model that aligns with my brain

**Rating:** 5.0/5.0 stars

**Reviewed by:** Wojciech P. | Staff Software Engineer, Small-Business (50 or fewer emp.)

**Reviewed Date:** August 02, 2024

**What do you like best about Workflowy?**

I love the fact that everything is just a bullet point list. Bullet points is how I typically take my notes and Workflowy empowers me to do it more efficiently.

**What do you dislike about Workflowy?**

The CSS, especially around doashboards, could be improved. App looks ok, but probably could look a bit better.
I would also appreicate number of used/remaining bullets visible somewhere (or easier to fidn if its already there).

**What problems is Workflowy solving and how is that benefiting you?**

Keeping my life in order.

  ### 7. My number #1 app for taking and organising notes

**Rating:** 4.5/5.0 stars

**Reviewed by:** Peter T. | Principal Cloud Engineer - DevSecOps & Cloud Native, Small-Business (50 or fewer emp.)

**Reviewed Date:** July 27, 2024

**What do you like best about Workflowy?**

The infinite bullet list with infinite indentation allows very rapid organisation of notes across multiple domains.

**What do you dislike about Workflowy?**

I would like to be able to insert simple tables as bullet items

**What problems is Workflowy solving and how is that benefiting you?**

The main purpose for which I use Workflowy is note taking. In particular, I use it to organise notes across cyber security domains where links allow me to have a central list of tools and functionality, but organised into security domains using linked items

  ### 8. Suits my purposes well

**Rating:** 5.0/5.0 stars

**Reviewed by:** Malcolm S. | Small-Business (50 or fewer emp.)

**Reviewed Date:** February 07, 2024

**What do you like best about Workflowy?**

I like the hierarchical structure of Workflowy. As a long-time Evernote I've been waiting for them to allow this type of note structure, but in vain. If I want to arrange what I'm learning in a structured way, so I can easily review it and change the linkages in ways which suit me as my knowledge changes (hopefully increases 😜) then Evernote does not make this easy. Workflowy also has "Email to Workflowy" enable (as per EN) but using Zapier which is fine.

I am liking Workflowy a lot - having cycled through Obsidian (obscure), Notion (complex), Clickup (not for me), I am now on Workflowy - Evernote. That's working well. I am swapping stuff over to Workflowy and whether it's a complete swap I don't know yet. But I like Workflowy's simplicity. It also works fast (EN is annoyingly slow sometimes.)

The WF mobile app is not so easy, but I can cope with that - it's not a deal breaker and I guess it will improve over time. I'll put more effort into learning the ios shortcuts at some point but I am mainly PC so not a biggie.

I like Workflowy a lot.

**What do you dislike about Workflowy?**

IOS version could be improved but it's "OK".

**What problems is Workflowy solving and how is that benefiting you?**

Storing a mass of data on multiple subjects in a way that makes it easy to store, review, modify, and learn.

  ### 9. Why I like Workflowy and what will make me fall in love with it.

**Rating:** 4.5/5.0 stars

**Reviewed by:** Roger M. | HVAC Mech., Small-Business (50 or fewer emp.)

**Reviewed Date:** December 05, 2023

**What do you like best about Workflowy?**

What I like is that it gives you full control without limitations. Every idea; node can be rearranged without any restrictions. The mobile app works just as good as the desktop version. You can personalize it with icons and emojis and finally the word search is awesome and clean; once you find a word, you have the freedom to rearrange the nodes in your search.

**What do you dislike about Workflowy?**

What I dislike is that there is no intergration with Readwise yet. A full integration will really take the experience to another level. Everyone has something that they have highlighted. I believe that our highlights will be able to really come alive in Workflowy.
Second is inability to search words in other languages.

**What problems is Workflowy solving and how is that benefiting you?**

I use it strictly for note and highlight (PKM) management not for business.

  ### 10. Workflowy has powered our business for 12 years

**Rating:** 5.0/5.0 stars

**Reviewed by:** Seth B. | Small-Business (50 or fewer emp.)

**Reviewed Date:** January 16, 2024

**What do you like best about Workflowy?**

I love that workflowy is simple yet powerful. I can easily organize (and reorganize) my todos, and the powerful search capability makes it possible for me to have a history of my work.

Also, the easy sharing model makes collaboration a breeze.

I've kept my personal todo list in workflowy for more than a decade, and we've also tracked company-wide, department-level sprint goals for more than 300(!) two-week sprints.

**What do you dislike about Workflowy?**

After 12 years of history, it's a bit slow on the initial load sometimes. But, given how much I have in there, I'm not mad.

**What problems is Workflowy solving and how is that benefiting you?**

Personal todos and sprint goal tracking for the entire organization.
