  ### 1. Excellent Support, but Scheduling Is Complicated and Buggy

**What do you like best about vFairs?**

The support I received from Yaqshan and the team was excellent.

**What do you dislike about vFairs?**

We weren’t able to handle scheduling in an easy way; it felt too complicated, and there wasn’t a quick overview of the sessions that were already booked. Making changes to items is also time-consuming—I’d suggest having the option to amend things in bulk (the agenda, for example). The system also has some bugs. For instance, when trying to limit the capacity of a session, I would select the “capacity” tab, but it would close and take me back up to the session description. Then I’d have to scroll down again and reopen the tab to enter the maximum capacity, and it would repeat the same process again.

**What problems is vFairs solving and how is that benefiting you?**

We needed an app for an event and that was solved but we did encounter some challenges along the way. I understand vFairs as a suite would make more sense but as a standalone app the process felt over complicated.

The vfairs team is personable and makes themselves available to address any questions or requests from our team. The team typically works quickly to resolve any issues or concerns, including quick-turn requests for new fairs. Our clients appreciate the end result of the project.

**What do you dislike about vFairs?**

Quality control is limited, even when details are provided upfront. Our team spends more time correcting issues with vfairs than we have with previous vendors, which frequently delays launch for our clients. The vfairs team also frequently struggles to provide accurate timelines, which then affects our ability to update our clients. We frequently aren't updated when fairs are live or changes have been made, which has resulted in further delays.

**What problems is vFairs solving and how is that benefiting you?**

Sharing educational content at scale with end users. This helps us add value for clients and better inform our end users.

  ### 5. Great platform - But Poor Implementation, Poor Customer Service and Poor Communication

**What do you like best about vFairs?**

The platform itself has a ton of great features to host a virtual event. It has everything you need from registration, email marketing, to the virtual platform itself (exhibit hall, networking lounges, sessions etc.)

**What do you dislike about vFairs?**

The implementation process was unnecessarily difficult. Their offshore team was very responsive but with very poor communication. We were constantly going back and forth asking them to fix edits to the landing page that we had previously told them about, or agenda errors etc. Whatever updates they made, we always had to review them to make sure they were actually done and this was time-consuming and inefficient.

The biggest issue was that the email address they gave us to give to attendees if they needed tech help didn't work! I realized this on day two of the conference. Instead of trying to resolve the issue, they gave me a new email address and tried to convince me that they had never given me the other email in the first place. We obviously had screenshots of our landing page where you could clearly see the other email there. I called them out for the dishonesty, and they admitted the rep lied to me, and that it wasn't the right way to handle it. Mistakes happen to everyone - but own them, apologize, and tell me how you're going to make sure it doesn't happen again.

Edited to add: When I emailed to make sure our subscription didn't autorenew and was canceled, I received no response from the CS or billing teams. Emailed again, no response. Followed up one final time to make sure and the CS rep said "As discussed, your subscription does not autorenew so there is no action needed." Even so, why not just reply to a customer? This continues to prove my point that they are not customer-focused at all.

The ability to enter different rooms and the feel of a true career fair venue

Clunky, tough to update things on my end, minimal interactivity in the platform for the user. Feels aesthetically pleasing but limited functionality of all the aesthetics. I also found it very complicated to update booths, webinars, etc. Did not like having to manually move webinars to the bottom during the event to keep the next one at the top of the agenda. No interaction with microsoft products or the ability to add events to personal calendar for users.

They seem to be more of a digital event "first" service. They didn't have all the features we wanted, so we had to make some last minute changes to make the app work for our event.

**What do you like best about vFairs?**

The layout of the virtual event was very nice. Participants enjoyed the exhibit hall. The swag bag feature that allows participants to download resource materials was very useful. Having a specific project manager to meet with regularly was very helpful. She walked me through each step and offered to do whatever she could to lighten my workload. I liked how she helped make the virtual environment look familiar to my audience. That was a nice added feature.

**What do you dislike about vFairs?**

Meeting schedules being sent in the wrong time zone confused things. I felt like there was a lot more work on my end than I anticipated - trying to get banners sized was an ordeal. It seems like for the amount of money invested, someone at vFairs would be able to take care of that. 

Before being handed over to the project manager, it was stated that it would take "no time" to get everything set up. However, when I met with the PM, she said it usually took at least 2 weeks. This timeframe resulted in registration not opening early enough. Had I known that earlier, we would definitely have started earlier.

**What problems is vFairs solving and how is that benefiting you?**

I think vFairs is helping to address several issues: 1) Time Commitment, 2) Lack of Technical Expertise, 3) Travel Restrictions, 4) Access to Experts, and 5) Need for Interactive Virtual Experiences. Allowing participants to log in from where they are located rather than having to take the time to travel to a destination really reduces the amount of time participants are required to commit to participate. It also allows speakers to do the same. I work for a nonprofit that has 3 employees and no IT department. It would have been impossible for us to create a virtual environment like what we were able to offer through vFairs. I am not sure that our budget would allow us to fly speakers in, pay for lodging and meals, etc. Offering this virtually was an economical decision. Some organizations have staff on travel restrictions due to the costs. This event was accessible to everyone. Using vFairs opened the door for us to utilize national subject matter experts. Again, we were able to offer top-notch experts through this platform. Finally, I think we are all a little "zoomed" out. vFairs offered an interactive experience that was visually pleasing.

**What do you like best about vFairs?**

My project manager (Hiba Shakil) was wonderful, responsive, and super helpful. The conference attendees were impressed with the lobby and auditorium graphics, and I can see how this platform could lead to meaningful virtual interactions.

**What do you dislike about vFairs?**

It was a ton of work to set up, with so many choices and options for customizing - and there wasn't an option to "scale down" to make the work effort appropriate for the outcome. Everything took a lot longer than anticipated, with the vFairs team being halfway around the world, small updates/changes could take 2 business days. I wanted more independence and less reliance on vFairs to set everything up for me. Overall, I don't think the amount of effort required to set everything up really paid off in terms of participant interactions.

**What problems is vFairs solving and how is that benefiting you?**

We wanted to have a relatively similar virtual conference as our previous in-person conference, and some attendees did say they felt this was achieved through the vFairs platform.

  ### 11. Immersive experience, with crasy custom designs!

**What do you like best about vFairs?**

I've appreciated working with my project manager (Rafay Arshad) whom I felt much involved in our project! He was available for us and did a lot! He is professional, efficient, and he is a good adviser.
Vfairs offers the opportunity to create a unique experience to engage our communities. The hashtag wall looks very nice!

**What do you dislike about vFairs?**

The custom designs were great but this was an obstacle to getting functionalities I thought would be included. Only few custom avatars were animated. I've also had a lot of feedback to make concerning custom designs. The user interface could also be more friendly, and adapted to the mobile device. The Paypal functionality isn't applicable in the conditions we needed it and so we've had to manage all the in-person registration by hand. The emailing tool seems old (no customer journey, no statitics, no automatic "unsubscribe", no template (we had to clone former ones!)), and the Auditorium player could be more attractive (clickable thumbnail for ex). The Kahoot were not easy to use for users.

We enhanced the event's location, and allowed people who couldn't come to the event to experience it online and interact with the community

**What do you like best about vFairs?**

The user-friendly appearance of an actual trade show. The easy booth set up.

**What do you dislike about vFairs?**

I would prefer that the attendees individually determine if they want their faces shown during the Live Presentations. We were not able to see any of the Live Presentation attendees until the end when we could release the mute and video capabilities. 

The video chat feature did not allow for screen sharing. The individual "chat" schedule was not user-friendly and did not easily show availability or allow for seamless pre-scheduling. It also did not blend well with our way of scheduling one on one meetings with our customers.

Other vendors should not be able to surf the entire platform and view and download other companies posted information.

The Vendor training was not clear or set up well. It would have been better if everything was set up as simply as the actual booth set up. A lot of our business community does not use much technology so training would have been better if it was approached as a step-by-step process where none of us had ever set up anything online. Eman was good about responding but, her style of training was not clear for technology handicapped participants. It would have been helpful to provide basic training for attendees as well so that they could navigate the platform quickly once they logged on.

**Recommendations to others considering vFairs:**

Make sure it fits your type of business and how it operates in the real world.

**What problems is vFairs solving and how is that benefiting you?**

COVID restrictions (both real and imagined) on doing face-to-face business. This allowed our customers to still have something similar to an in-person trade show.

We sincerely apologize that you had some issues with the platform, and we assure you that you will not face these issues again in the future, if you come back at vFairs. vFairs has the capability to host Zoom meetings that allow attendees to have their camera turned on/off based on their preference. In a Zoom webinar, we do not have this function, but that is a limitation from Zoom itself, so we can use Zoom meetings as an alternate. Moreover, we can have a screen sharing facility in a Whereby setup (audio/video networking feature), in case you are interested, we can provide you a demo on this feature. Adding to this, we can also have permission restrictions applied on the platform for the vendors, so we can limit the content that they can view. Furthermore, vFairs is consistently working on improving processes and is happy to provide an extra help to the client in building booths, setting up webinars etc. Hope this helps, and we look forward to working with you again.

- Ease of navigation on the vFairs platform.
- live sessions and booth/showcase areas
- Zoom for live meetings
- Vimeo for video upload
- it provides booth and showcase features, instead of just recorded/live webinars

- Platform not working well on browsers other than Chrome
- User needs to login every time he/she comes back - it would be great to have one-time login for duration of the event
- It would be great to take users directly to next session, instead of having them to join each session manually (particularly uncomfortable for events with many sessions)

- Organizing events online during pandemic when physical events were not possible.
- no, the virtual event requires as much preparation as physical event
- on-demand events perform better than live ones since people have more time to access at their convenience

  ### 14. A+ Exceptional Customer Service; Beta Product

**What do you like best about vFairs?**

We have been nothing but happy with everyone we have worked with at vFairs, our PM Ahsan included. He was prompt and responsive and did everything he could for us. I appreciate how many features the team was willing to build for our national organization specifically, and the generous offer of a refund when those features didn’t work as planned was especially incredible customer service.

**What do you dislike about vFairs?**

In our two years working with vFairs, the platform itself has felt like a constant beta product, where new features are rolled out more quickly than could be properly tested, and nothing, including pre-existing features, is designed to be robust enough to withstand minor issues. There's no contingency plan when something breaks. 

I realize our national organization was asking for a lot, and vFairs was doing all it could to provide. We also had the first events of offices representing our organization across the country two years in a row, so we faced more challenges than others. But I can’t speak to anything other than that lived experience.

Also, I wish all the project managers were able to sleep more. Neither of ours ever complained, but timestamps on emails don't lie. I'd be happy with a little less customer service if I knew the employees were able to work reasonable hours.

We converted a local career fair to the virtual environment of vFairs to get through COVID times. It took a ton of work and wasn't perfect, but it was better than two years of students missing out on the experience entirely.

Everything for the event is stored in one place.

The Zoom features I needed were not available on the vfairs platform. I did not know this until the event had started. Also, there was not help for a presenter with sound issues during practice.

It allows a diverse group who is not close to each other to come together and learn as a group.

**What do you like best about vFairs?**

The overall design of the lobby was well received by our users. Our attendees commented that the platform was easy for them to use and navigate. We had no reports that the live zoom sessions did not open at the correct time. 

Our vFairs representative Syed was very patient with us as we provided the content and graphics for the page. The tutorial meetings with him were also very helpful, as was receiving the recordings of these meetings so we could return and review. We had a clear idea of what was needed from us and the due dates for these items. Syed was quick to respond to us when we had questions. 

Our exhibitors and sponsors appreciated the ability to pick a custom booth and add graphics to match their brands. There were some hiccups in the booth builder, but overall it was easy to follow.  

The platform had good reporting on attendee metrics, including booth visits, time on site, webinars attendee, etc. These reports, coupled with the live zoom reports, gave a good picture of how engaged attendees were at the conference.

**What do you dislike about vFairs?**

We were pleased that the platform was well-received by most of our users, but as event admins we did not find the platform as easy to work with. 

There was quite a bit of a time lag from when changes were made to when changes were applied on the backend. Refreshing was needed frequently – both before the event when edits were being made, and throughout the whole live conference. Attendees needed to refresh frequently to make sure the agenda was being displayed properly. 

Admins had to manually mark agenda items as “ended” and switch them to a different agenda category so they would no longer display at the top of the agenda. It was unfortunate that this was not automatic. 

We thought the auditorium room was unnecessary, but we were unable to have it disabled. The auditorium “room” was essentially just a click-through to the agenda.

We were disappointed with the entire agenda format. The overall look was very basic and hard to scroll through. There was a lot of dead unusable space. There was also no “read more” option to let users read more of the description if desired – the entire description had to be shown which left a lot of text to scroll. There wasn’t a way to distinguish different types of sessions from each other (keynotes, breakouts, etc). 

The agenda times were not synced with the user’s computer time and could only display one time zone. We have attendees from all over the country, so this was confusing to our users. 

We had issues with the time zone our event was displayed in. This was brought up a couple times and we were assured the event was in the correct time zone and to just ignore the incorrect time zone that was listed on the backend of the platform. This may have also been the source of one of our issues with the gamification. 

We struggled with the gamification. We confirmed twice what the time gamification should start and should end. However, gamification still launched a couple hours early and attendees started to accumulate points before it was supposed to open.  Also, we had some concerns about the gamification a couple days before the event in the event of a tie. We were assured that vFairs had reports that gave details of all the points earned by each user and when their last points were earned. We were told to use this in the event of a tie to determine who reached the highest points first. Then in the middle of our event there were some discrepancies between the report and what was being show on the leaderboard. Our vFairs rep checked with the developers on this, and they changed their initial instructions and told us the time on the reports means nothing and the “system randomly picks the winner” in the event of a tie. Luckily in our case, there didn’t end up being a tie – but it was often a tie throughout the day and we didn’t appreciate the extra anxiety. 

Direct messages to our vFairs rep were responded to quickly, but it seemed like messages to vFairs general help needs some improvement. Our exhibitor booth reps would submit help inquiries to vFairs using the contact form provided to them on their build page, but they reported to us that they rarely heard a response. As the event organizers, we were not included on this communication and were not aware when our booth reps would submit these questions. As the event organizers, we would receive responses fairly promptly, but it was unnerving to hear that this same courtesy wasn’t returned to our booth reps (sponsors).

**Recommendations to others considering vFairs:**

I would recommend avoiding using vFairs' gamification without them making significant updates. One of the references vFairs gave us before signing on with them also described some issues with gamification. So that was a hot topic for us when we were preparing for our event. But we were assured that gamification would be working properly. We were disappointed when it still ended up being an issue.

Our conference is typically an in-person event. 2020 was our first virtual conference, and we used vFairs in 2021 when we decided to have our conference in a virtual format again. The ability to use a platform like vFairs helped us still have a conference instead of canceling the event. A virtual event does allow access to many more attendees who otherwise would not have attended our in-person event. The ability to have recordings of the sessions available after the live dates is also an added benefit of a virtual event.

Visually great product; there are limitations in using this in practice. The product is good although there are limitations; you are very dependent on the project manager who in our case was more limiting the product development than supporting this and this is why my recommendation is neutral.

1) Easy-to-operate admin page. I could edit page intuitively, and it was easy to see the live change instantly on the actual page. Since I was familiar with brief coding of stylesheet / tagging, I could edit CMS directly on some parts, where massive graphical change was not needed, which helped.
2) Easy-to-attend platform. I liked the professional look of the virtual event.
3) User experience as a whole. It was not cheap looking platform, but it was not overly complicated to handle.

**What do you dislike about vFairs?**

1) Working with vfairs team on setting up the page all in Japanese took much longer than we initially expected. Zscaler has been experienced with hosting events in different regions across the globe, but it was first time to do this in Japan, and none of us thought things would be that different compared to the previous examples. We should definitely plan things ahead considering that Japanese is nothing like other languages.
2) We had some technical difficulties, where in some cases the changes I made on admin page were not reflected live etc. It would have helped if these could have been solved sooner.
3) I would want to have more Asian graphics, for Lobby and Booths if possible.

I'm not sure if I get the question right but here goes:
The challenge and the incentive for this project was to host first time large scale virtual event in Japan. We struggled in between due to the issues noted above, but we managed to pull off successfully in the end.

The platform was very user friendly, easy to navigate and had a nice design. The features were nice, e.g. booth setup, possibility for chats, etc.; also the webinars worked out very smoothly.

**What do you dislike about vFairs?**

The platform definitely had a lot of bugs. The Chats were updating very slow, even though our event was supposedly a small event with only about 2000 people. Also the 1-1 video chats were not working properly for many people and it was not possible to perform those with zoom instead - no technical assistance was provided here, we needed to solve the issue ourselves. 
Also the service provided was not very proactive. We needed to remind the vFairs project managers several times to implement changes and were promised features which were not possible to be implemented in the end. Also, again no technical support was given to upload the recorded meetings after the event.

We used the service of vFairs to implement our annual Career Fair online, due to Corona. We did have more participants this year du to the easy accessibility of an online fair.
