"Pros and Cons of Vantaca"

What do you like best about Vantaca?

I do like Vantaca. However, comparing software such as Notion to Vantaca and its dynamic properties leave a lot to be desired. Review collected by and hosted on G2.com.

What do you dislike about Vantaca?

Below is a list of Drawbacks and Wishlist Items that I would like to see for Vantaca

DRAWBACKS/BUGS:

Calendar lacks export functionality, limiting its effectiveness.

- Due Date filter is not working correctly.

- Email Templates should automatically generate the "Note" template - when adding a Note as a recipient. If adding an external recipient, the template should automatically switch to an external email template.

- Templates should not require confirmation when changed; a quick change back is more efficient.

- Updating steps in the Vantaca Call Center is unreliable and does not function properly.

- Agenda View on the Calendar does not allow for event or series editing.

- Calendar should have a filter to remove unwanted items from view.

- Viewing XNs on the Owner Dashboard should include a date column for sorting by date created.

WISHLIST:

- Vendors should have a portal link to mark work as completed.

- Ability to process multiple RFPs in one module. For example, when processing tree trimming proposals for three vendors, I should be able to open an RFP module, select the number of vendors to send requests to, and choose the vendors to ensure the same scope of work is sent to each, instead of manually entering or copying multiple RFPs.

- Back and forward navigation. It should be possible to open a specific space in Vantaca without being directed to the home screen, and pressing refresh should not take me back to the home screen.

What do you like best about Vantaca?

Overall. I really like Vantaca and can see it has a lot of value. The software is very fast compared to our old software we used as a management company, and it is nice that it is an all-in-one software for billing, homeowner management, ARC and Compliance. I love that it intergrates with SouthData for mailing. When the work flows are set up properly, it saves so much time compared to doing the same task in our old software and I love how all communications for a homeowners from anyone in the company can be seen so there is less stuff being missed or repeated. The homeowners portal is easy to add documents to and seems easy for homeowners to navigate. We've been told that it can take a year to master Vantaca and get proficient at it. After only a few months, I do already see the value and time savings. I look forward to seeing where the team is in a year from now. Review collected by and hosted on G2.com.

What do you dislike about Vantaca?

The setup within our management company has been frustrating. As mentioned, when the workflows are set up properly, it is wonderful, however, there is so much back end setup for each Action Item, which our company has to do, and getting support from Vantaca isn't always easy. The Violations/Compliance really needs an offline mode. We are in a bad cell service area and the app doesn't always work for our Compliance Manager, which results in him having to take photos and notes and then has to enter everything when he's back at the office, which is a slower process than what we had with our old software. What do you like best about Vantaca?

What is most helpful about Vantaca is sending Violation letters and reviewing Architectural requests. It is really nice that for both of these, there are automated letters with the homeowners' information, which prevents errors and mistakes. The architectural application process is streamlined, and it is simple to see that when the ARC committee has approved or denied, I can easily send the approval/denial letter. Having Vantaca write these letters for me saves a lot of time, and again, prevents errors. I like the feature for uploading leases for the tenants, and being able to easily view those or add new ones. Review collected by and hosted on G2.com.

What do you dislike about Vantaca?

The downside of Vantaca is that I have to have my own tracking systems for Violations and Arc requests. If a homeowner responds to a violation, it can easily be missed because when you look at your action items, Vantaca won't alert me of a new message. I have to go to Messages, but the way mine is set up, I have to look at each individual Association to see if there any new messages, and I have to check this throughout the day. It would be so much better if I could get an alert of a new message. It would be helpful if the action item had a different color when there is a new message. It would be helfpul if the dates were clearer, instead of just an XN number. Also, I wish that I could use the back button to go back, instead of starting over, especially when I'm viewing a homeowner and I want to look at a different aspect of the homeowner. It has taken me about 4 months to learn Vantaca. It is not user-friendly. Review collected by and hosted on G2.com.

What do you like best about Vantaca?

Vantaca provided extensive trainings with staff to help transition. The reports are very user friendly and they listened to our inquiries in how to make the system cater more to our industry and what the Boards want. Review collected by and hosted on G2.com.

What do you dislike about Vantaca?

The inspection module is not the best. There are quite a few bugs and is not very user friendly. Going from a software that catered to inspections and architectural it is apparent that Vantaca is still working on perfecting this module. Vantaca has listened to the functunality we have lost moving to the Vantaca software and are working on improving, however, we have lost efficiency in the inspection process for the majority of 2024. We hope the offline version will help but will not know until we have a chance to utilize as this release keeps getting pushed back. Review collected by and hosted on G2.com.

What do you like best about Vantaca?

Planning, preparing, and implementing a software transition is not something to take lightly. Experts and those who have completed the task will tell you it will be challenging at best and more akin to a root canal. In our industry, we don't find ourselves looking to make a software transition because of "nice to have" or "wouldn't that be convenient" features. We take the plunge because, fundamentally, something is driving you crazy with your current setup, you see yourself falling behind your peers, or you envision a future where your ability to scale is stifled by excessive manual processes, or the inability of your current software to adapt to new technologies. Taking that first step, albeit one of the most nerve-racking and stressful decisions you may ever make in your business, has been rewarding for us immediately out of the gate.

Once our transition team started the training process and was able to see not only the enhancements to our business process but also experience the organized and thoughtful approach towards migration Vantaca takes, an immeasurable boost to everyone's optimism was felt company-wide. For us, this boost was like a adding fuel to our company culture, cultivating volunteerism in the process, and unwaiving confidence in our decision despite any challenge we encountered along the way.

Maybe we already had a good base to build upon, or maybe it is luck; I'd prefer to think that it is a mixture of both added to Vantaca's support team and every person involved in the process. We may not be 100% as of the date of this review, but I can speak for our entire team that we have the confidence to overcome any challenge backed by Vantaca's amazing team that truly complements our own. What do you dislike about Vantaca?

At this time, it wouldn't be fair to list aspects we do not like about Vantaca, as we are just getting our feet wet. Undoubtedly, this has been the most challenging team effort we have met to date. I'm sure in time, we may identify "Vantaca-isms" that may seem illogical or misunderstood to us that would otherwise find themselves on this list. However, what I feel is more important here is that every "missing gap" we have found between our old platform and Vantaca has been met with an open mind by our rep to communicate it to the dev team. I acknowledge that not every customization or feature can be provided as Vantaca is a platform built for an industry and not specific to my needs or wishes. The very acknowledgment and the pathway to communicating this "wish list" is proof positive that we have made the right decision. Review collected by and hosted on G2.com.

What do you like best about Vantaca?

Vantaca helps a lot with streamlining community management by making it easy to keep track of workflows, communications, and financial processes in one platform. It makes day to day tasks very quick and efficient by automating tasks such as work orders, violations, and payment processing. Additionally, board members, homeonwers, and managers have access to up-to-date information, improving collaboration and decision-making.

What do you like best about Vantaca?

What I like best about Vantaca is that overall, the platform offers a lot of flexibility in how assessments, charges, and fees are managed at the Associaton and account level, allows Associations the latitude to make the right choices for their community. The documents section allows for a central point of referral to everyone and the seamless integration of the homeowner portal allows for a lot of one-contact resolutions in that HOs are given a guided tour of the portal and next time, can find the needed info on their own. What do you dislike about Vantaca?

one thing that is least helpful about Vantaca is not having a "status" field that could be used to tag accounts and segregate them into different groups to allow for more efficient processes outside of traditional collections. The other big roadblock is the lack of Custom Report writer - - data never lies but there is very little ability, beyond what is available in Vantaca IQ to get a bead on different things that may influence the efforts needed to support a community. What do you like best about Vantaca?

As someone who has primarily used Vantaca for property management, I can confidently say that it is an incredibly user-friendly and customizable platform that streamlines communication and increases operational efficiency. What do you dislike about Vantaca?

One drawback I've encountered is the inability to schedule eblasts in advance. This can be a bit inconvenient, especially when a manager is on vacation or during the weekend, as there is no option to set up an email blast to be sent automatically at a specific time. As a result, it’s necessary to either send the emails manually or rely on someone else to handle the communication, which can disrupt workflows during periods of absence.

Overall, despite this limitation, Vantaca remains a highly effective and reliable tool for property management. Its ease of use, customization options, and communication features make it an excellent choice for those looking to increase efficiency and stay organized. However, adding the ability to schedule eblasts in advance would greatly enhance its functionality and reduce the need for manual intervention during off-hours. What do you like best about Vantaca?

Vantaca is helpful in that you can store almost anything about a community to assist you in the day to day management. The document archive is very robust allowing you to add specific folders and not be bound to only those created by the system. In addition, the functionality to customize toward your business is awesome. There are national companies with proprietary software and expect all states to fit their square in a round hole. What do you like best about Vantaca?

We have been using Vantaca for more than 3 years now and have been very pleased with the usability of the software. The integreation of the websites / portals with our business user interface has been extremely helpful. We like the auto reconcile and payment intergrations and find that they save us an enormous amount of time and staffing. We also have been pleased to see that Vantaca is continually working on the software and rolling out improvements and updates to keep the product current and maximally useful.
