**What do you like best about Ultimo?**

I like that Ultimo's system is constantly evolving to innovate and improve. Moreover, I appreciate that the entire operation can use one system, which means we rely less on various subsystems. Also, with the integration of AI in Ultimo, things are better structured, and there is better documentation of processes and work instructions. The good guidance and collaboration with Pontifexx have helped us implement the system as a stable foundation.

**What do you dislike about Ultimo?**

The costs are often only upgradable in modules, as well as the use in roles and rights. It would be nice to be able to make a clearer distinction there to keep the costs for using the software more manageable for companies.

**What problems is Ultimo solving and how is that benefiting you?**

Ultimo is used for parts management, malfunctions, and planning. It improves process documentation with AI and centralizes our operation, so we don't have to work in subsystems.

**What do you like best about Ultimo?**

From the perspective of the administration the flexibility and the Ultimo Customization Tool. It is very easy to adjust Ultimo to our needs. Also the Integration and connection to other Tools is very good.
From the user point of view i would say, that you have every information accesible.

**What do you dislike about Ultimo?**

The mobile version has it benefits but also many pain points and many persons are not amused, that there is a different view for example on the job for the planner of the job and the craftsman on the tablet.
Also i don't like the evolution that every feature is going to cost extra, even when you already have the premium plan and the feature itself is a core feature for Enterprise Asset Management. In this case this should be included.
Last point would be the missing SharePoint Integration.

**What problems is Ultimo solving and how is that benefiting you?**

Biggest advantage is the replacement of all these excel files which also increases the transpreancy enormous. Also that every colleauge has all the information at hand if needed. If you connect it with a BI Tool you get a great insight in your company.

**What do you like best about Ultimo?**

One of Ultimo’s biggest strengths is the high level of flexibility it offers. Unlike many software packages that come as a fixed, “take-it-as-it-is” solution, Ultimo lets you shape the system to fit your organization. You can build a large part of the platform yourself by creating database tables, adjusting screens, and setting up workflows. That freedom means you can tailor Ultimo to your own processes, rather than having to change your processes to suit the software.

The implementation process is another major plus. Ultimo actively involves the customer in defining requirements and supports a smooth transition from your old system to Ultimo. Their approach makes the migration feel seamless, reduces friction, and helps you get up and running quickly and effectively.

Support is also a strong point. The team is easy to reach, responds quickly, and provides clear guidance whenever you have a question or need help building something. Strong customer support is especially important when you’re developing and configuring parts of the system yourself, and Ultimo delivers that very well.

**What do you dislike about Ultimo?**

I don’t have any real negative points about Ultimo. The only thing to keep in mind is the use of configuration points when you want to make your own changes. If you do a lot of development, you may need additional configuration points over time. Fortunately, these can be purchased easily, so it’s more of a practical consideration than a real drawback.

**What problems is Ultimo solving and how is that benefiting you?**

Ultimo helps us manage our maintenance processes far more efficiently. It makes it easy to schedule maintenance tasks, monitor progress, and quickly spot any backlog. As a result, we have a clear overview and can stay in control of our work planning.

Ultimo also supports us in creating annual maintenance plans and replacement plans, which are essential for long-term asset management. In addition, it offers a straightforward way to track and manage contracts, so important agreements and deadlines remain up to date.

Overall, Ultimo adds structure, clarity, and efficiency to our maintenance and asset management processes. It enables us to work more proactively and make better-informed decisions.

**What do you like best about Ultimo?**

It is a well-guarded program with few workarounds possible, ensuring that processes within asset management remain well secured. You can record everything in it, which makes it easy to manage and register things. A fine EAM solution, provided it is well managed.

**What do you dislike about Ultimo?**

It takes quite some time to properly teach people the system. Because it is set up so strictly, expansions are limited and it sometimes feels cumbersome to make adjustments. Implementing changes as desired is therefore not always easy. For example, I find AI still very limited.

Without this program, you quickly lose track of processes and the documentation of your daily and long-term management becomes messy. With 700+ assets, it is simply not manageable without such a system.

**What do you like best about Ultimo?**

I find Ultimo to be a very user-friendly and intuitive system. The software is easy to navigate and offers a wide range of functionality through its many modules, which provide strong backend support for the Technical Department. One of the most useful features is how work orders are automatically generated and clearly displayed within the system, which is especially valuable for preventive maintenance. This helps ensure tasks are scheduled and completed on time, whether they are monthly, semi-annual, or annual. Overall, Ultimo is an effective tool that helps the Technical Department stay organized and maintain control over maintenance planning.

**What do you dislike about Ultimo?**

Sometimes uploading large datasets in Ultimo can be challenging, especially for beginners. To use this functionality effectively, proper and clear training is needed so users understand the process and can avoid common issues.

Ultimo addresses the issue of inefficient maintenance management and the lack of structure within the Technical Department. What I like most about Ultimo is that the program is continuously evolving and fits well with our company. Thanks to the good integration by your partner Pontifexx, our sister companies also prefer Ultimo. Due to the quick response and clear communication and advice from Pontifexx, we can align our package well with our company and other companies.

We do not like applying configuration points in UCT in Ultimo and making the user pay extra costs if a certain number of points is exceeded.

Easy handling and very user-friendly. There are many options to adapt the system to operational needs and processes. Data can also be more easily integrated through the custom data import. Additionally, with the Ultimo consultants, an uncomplicated implementation of your own wishes is possible.

**What do you like best about Ultimo?**

I like about Ultimo that the program is simply designed and easy to learn, especially for older employees. This makes it very helpful. As an Application Manager, I can make small adjustments directly or try and test suggestions, allowing us to continuously adapt the entire process to our requirements. We can document our orders without any problems and manage documents related to the assets. The use of digital inspection lines by maintenance makes our work easier. Even if an employee cannot proceed with their task, a colleague can step in without additional explanation. Furthermore, I have already recommended Ultimo because it is simple, straightforward to use, and cost-transparent and manageable compared to other software solutions like SAP.

**What do you dislike about Ultimo?**

We currently have more of a hardware problem, as our colleagues in maintenance have been working with outdated tablets, which led to long loading times from page to page. Additionally, we have not yet fully developed our process and work a lot through the Explorer structure, which does not allow us to assign a specific system multiple times over parts. For this, we often have to record empty systems.

**What problems is Ultimo solving and how is that benefiting you?**

I find Ultimo helps us to technically document orders and manage asset documents. It simplifies task distribution and process responsibility, as every employee can handle orders. Ultimo is easy to learn, especially for older employees, and can be flexibly adapted to our requirements.

I like that Ultimo is so flexible and that you can come up with a solution for every problem. You can easily create an extra table and by linking it to, for example, your space table or objects table, you can easily create a new field that can be recorded. This way, Ultimo adapts to the work process. The initial setup of Ultimo went smoothly.

**What do you dislike about Ultimo?**

Maybe the self-service portal could be a bit smarter. Every question/request is different. It would be nice if when you ask a question and then answer it, you could adjust the flow based on your answer. It might also be useful if you could create a notification via voice.

Ultimo provides us with insight into current malfunctions and planned maintenance, and its flexible nature allows processes to be adapted to our workflow.

We have implemented an extensive integration to import data such as cost centers, suppliers, parts, and contracts, along with documents, from AFAS. For us, AFAS serves as the receipt file for this data, preventing the need to update this information in multiple applications.

A lot of different functionalities are interconnected, avoiding having different parallel systems to manage stocks, work orders and projects.
System works more or less stable, and reacts fast to clicks and user interactions.
Workflows are also fine, allowing you to be as creative as you want, to get things done.
Support team is also always kind.

Licensing might be tricky, and point you into a unexpected direction.
AI is a little basic right now, and maybe this is because Ultimo is on its first steps into this trendy topic.

Of course, every program has its own areas for improvement. One such area is AI input and reporting. But according to Ultimo, this is still under development.

We use Ultimo across our entire hospital. For example, we use it for reporting malfunctions; purchasing, maintaining, and lending medical instruments, equipment, and inventory; reserving meeting rooms and catering; organizing moving jobs, and much more. This saves us time and money

It is very user-friendly and offers a complete package of tools needed for the different disciplines within a professional organization. The tools also work seamlessly together, which helps us focus more on our work and less on administrative duties.

Some issues or changes can only be handled by a consultant unless you complete training and obtain a license from Ultimo. I don’t really see a better way to arrange this, but it can sometimes slow down improvements and make progress feel less flexible.

**What do you like best about Ultimo?**

The implementation and deployment of Ultimo are greatly facilitated by the ability to import data in bulk and customize the tool to suit our internal processes.

The fact that Ultimo is customizable also allows us to simplify certain screens to make it easier to use.

Ultimo also covers a large number of features; we mainly use it for maintenance management, viewing our equipment database ("equipment" and "organization explorer"), and stock management, but we are considering using the purchasing module and the HSE module.

Since our sites can be in hard-to-reach areas without network access, we appreciate that Ultimo has a mobile version available offline.

The ability to send emails from the application is also convenient for notifying and keeping the necessary people informed.

Inoteam is responsible for the integration of Ultimo in our company. Generally, they are the ones who relay our requests to Ultimo, so we don't often have direct contact, except with the sales department. We are satisfied with the customer service from the sales department and have good relations with them.

**What do you dislike about Ultimo?**

The negative feedback our teams have on Ultimo is mostly related to the cumbersome use of the tool. Some standard modules or features of Ultimo are not intuitive enough and require many clicks to achieve what we want to do, making task completion longer and more tedious, hindering adoption, especially when operations need to be repeated on several work orders in succession. Here are the more detailed feedback:

- Work Order Management: Navigating between all the screens (notifying work orders, preparing work orders, processing work orders, completing work orders, work order overview) made work order management too complex. Users did not know where to find their work orders. Changing status requires too many clicks, both on the web and on the mobile app. We have modified this to simplify the process, but it would be nice if it were simpler as standard.

- Search on the mobile app: We could save even more time if there was a multi-criteria search in the mobile app (so that it works like on the web).

- Asset Planning: Too many clicks to access the planning, you can't clearly see the name of the work orders unless you zoom in to the maximum, but in that case, you lose the overall view. As it is, asset planning is not very useful.

- Not enough provision for field use for the stock management part: it should be standard to be able to do an inventory from the mobile app rather than having to carry your computer through the storage shelf aisles.

- The tool is limited when you need to create, reschedule, or modify work orders in bulk. Our options are "process multiple work orders simultaneously" to change their status or go through import files. However, the files must be imported by an application manager and not by the user who wants to make the changes, which greatly extends the processing time. To address this, it would be practical to be able to:
 ○ Structure work orders and group them under a single "master" work order, and when you modify this master work order, the work orders attached to it ("sub-work orders") are also modified (for example, if you change the master work order to completed status, the sub-work orders that are not yet completed become completed, if you postpone the master work order by a week, the sub-work orders are postponed by a week, etc.)

 ○ Create work orders based on equipment types (rather than directly on equipment)

We have conducted feedback sessions and sent our improvement requests to Ultimo several times. We would have appreciated if our feedback had been taken into account in its development, rather than including more and more artificial intelligence.

**What problems is Ultimo solving and how is that benefiting you?**

Before the deployment of Ultimo, we did not have a CMMS. Our maintenance teams are spread across the world. Their maintenance management practices were different depending on the regions. Having a CMMS like Ultimo allows us to:

- Have a structured and centralized database of the equipment installed at our plants and the maintenance operations performed on this equipment, which facilitates reporting and prepares the ground for more comprehensive analyses once we have more data.

- Automate the generation of preventive and regulatory maintenance work orders to avoid omissions and ensure our plants comply with safety, environmental, governmental standards...

- Automate the drafting of maintenance reports, which saves one day of work for our technicians

- Standardize maintenance processes between each team while retaining the best of their practices

- Have visibility and traceability on maintenance activities in all our regions

**What do you like best about Ultimo?**

I like Ultimo because it is flexibly adaptable, which allows us to optimize our processes and increase the effectiveness in the department. The customer service is good and quickly helps with problems. I appreciate the frequent updates and that our own suggestions are taken into account. It is particularly advantageous that Ultimo can be used on both PCs and on tablets and phones.

At the moment, I have no negative points concerning Ultimo.

I like that Ultimo is dynamic and can be configured as we want. It's really fast and user-friendly. The system is also easy to go with, and the setup was pretty easy. Once we figured out the data import, it was a good startup.

**What do you dislike about Ultimo?**

Maybe direct purchase could be a little bit smoother with the automatic status update on work orders. That's something we need to build; it's not a standard solution today.

The updates that occur from time to time sometimes include design adjustments. Sometimes you hear from end users about them.

As an application manager, I can almost always address all the questions from end users. End users can manage their assets in a pleasant and simple way. Technically, Ultimo has virtually no limitations.

I like that Ultimo offers very extensive features. I particularly appreciate the comprehensively captured asset lifecycle and the complete recording of information regarding spare parts management, organization of maintenance work, and planning. The support is always striving to find a practical solution.

The software is too bloated. When a lot has been configured for the customer and updates are applied, they repeatedly cause problems. New updates that are applied come with scant explanation. The initial setup of Ultimo was difficult.

Ultimo is very clear and the overview and handling is intuitive compared to other software like an SAP. Less people are required to do the work. The system is more flexivel

The hardest part is to get it introduces in the organization and make higher management see the benefits of the system.

It makes making preventive maintenance orders easier and quicker. The overview of maintenance is easy. Pontifex made sure everything was arranged for us.

I like that I can individualize Ultimo because this feature makes the system more adjustable to our specialized needs. The integration with our ERP System is also a valuable aspect, as it streamlines sending out orders to buy products or services.

**What do you dislike about Ultimo?**

I don't like the limited capability for multi-selections, especially in the Explorer-Function. It would be awesome to select multiple assets and move them to a different process function or delete them.

I use Ultimo to write work orders and manage assets, which streamlines our order processing and documentation.

I greatly appreciate the customizability of Ultimo. The ability to customize the software ourselves is what led us to choose Ultimo. That is what I personally like best.

**What do you dislike about Ultimo?**

The design in Ultimo Go+ is currently very confusing. I would like to have the option to make the titles bold or italic and to change the colors. There are much better service programs in this area. The initial setup process was slow.

I document all systems and process work orders and the entire service through Ultimo.

I find Ultimo simple and understandable for everyone. It also helps with easily processing fault tickets, keeping track of and planning preventive maintenance, asset management, inventory and purchasing management, and incident management. Moreover, I appreciate the generation of KPIs and reports.

The UCT environment is still difficult.

With Ultimo, I easily process fault reports, keep track of preventive maintenance, and manage asset management, inventory, purchasing, incidents, and HSE.

I Like its cost control. Ultimo Gives Many features for less amount of cost. It is very easier to use. Its features make its easier than others.

Everything is fine, but it should come in many other languages like Hindi, Persian, Spanish.

If you are looking for easy and cheap maintenance management software, then try Ultimo once. Your Organisation is Uniques as others, you need to manage your assets in best possible conditions and at lowest possible cost. Ultimo fullfil all needs of your organisation.

I thing Eevrybody mainly has same problem that is cost. Ultimo is not so expansive. It is easier to use than other softwares. Its easy features make it easier. It impove our assets.
