Steadfile collects IRS tax forms from the people and companies you pay — W-9 for US payees, W-8BEN, W-8BEN-E and W-8ECI for foreign ones — without the vendor ever choosing a form. You add a vendor’s name and email. They get a secure link, answer a few plain questions that route them to the right form, and every answer is checked as they go, including treaty claims across 56 countries. The vendor confirms a one-time code and signs electronically. You get the completed official IRS PDF, a consent and signing record, and an expiry date that steadfile tracks and renews before the form lapses. Built for finance and operations teams at small and mid-size companies, and for the bookkeepers and accountants who serve them. Two-factor authentication on every account, tax IDs masked by default, and signed forms kept four years in line with IRS recordkeeping rules.
