Billy puts the most frequently used codes (per vendor) at the top of the list to simplify trying to select which code and eliminates the need to scroll through dozens of codes to find the correct one. Customer support chat is a nice function, though sometimes the wait time is a bit long. **What do you dislike about Stampli?** Integration with QB was simple enough, but sometimes there are disconnects that take a long time to resolve. Additionally, the automatic assignment of "invoice" to everything that comes through can be a bit annoying. It would be great for it to automatically assign other invoice types, such as payment receipts. **What problems is Stampli solving and how is that benefiting you?** Stampli gives our companies a way to allow departments to have control over their own expenditures and invoices. As I use the software more it learns how each vendor is generally coded and it becomes even quicker to upload our bills. I no longer have to have all my paper copies of bills saved from week to week because Stampli saves them for me. I can find them quickly by searching key words rather than searching through the file cabinet. **What do you dislike about Stampli?** I wish that when reimbursing employees we could upload multiple receipts to create one bill. Right now each receipt becomes one bill. **What problems is Stampli solving and how is that benefiting you?** We are able to pay many of our vendors via ACH through Stampli therfore preventing fraud. Even if I can't address them that day, I always know I'm not falling behind. I appreciate having that reminder and knowing I can get to them when I have time. **What do you dislike about Stampli?** It's really hard to put notes in there. At times I want to send a note to accounts payable or if I want to let them know, "this is on pause." Just having a cleaner, easier way to put in a note or put in a tag or put in something like that would be so helpful because oftentimes, it's not clean. Right? It's oh, I gotta check this thing and do that before I can do this. I wanna let someone know. So there'd be a way to have messages and conversations inside of the tool would be super useful. **What problems is Stampli solving and how is that benefiting you?** I use Stampli to manage all of our invoices, which helps me track everything in one place. The ability to copy text directly from PDFs is extremely useful for accuracy and efficiency. Stampli’s support team is generally responsive and helpful, and while not perfect, they do make an effort to resolve issues effectively. Additionally, the integration with NetSuite works smoothly and provides a reliable connection between platforms, helping maintain data consistency and reducing manual work. The Stampli interface is simple and easy to work in. **What do you dislike about Stampli?** The system has several limitations and workflow challenges impacting efficiency. Currently, text can only be copied from page 1 of PDFs, and the Billy Bot tool often produces incorrect or inconsistent data. New merchants automatically recommend an unwanted GL account with no option to override. Recurring invoices cannot have auto-assigned approvers, and their details (such as title or start/end dates) cannot be edited without duplicating the record. Once stopped, a recurring invoice cannot simply be restarted. There is no “Pending Approval” tab, requiring manual report checks, and invoice editing after authorization involves multiple unnecessary steps before it can be reapproved. Users cannot copy an invoice or reuse the same PDF to create multiple invoices, and key fields like invoice number, date, or GL details cannot be mass-edited. If a Stampli card transaction lacks a receipt, it doesn’t appear for AP processing, and filtering AP Workview by Stampli card transactions does not function properly. Invoice PDFs also cannot be saved into the receipts library for future card charges. Additionally, card and limit management through Stampli/WEX is cumbersome—temporary limit adjustments cannot auto-reset, prior-period pending transactions affect available limits, flexible card limits cannot be edited once issued, and one-time card limits may decline legitimate transactions that include separate processing fees. Finally, Stampli card or WEX-related issues can take several days to resolve due to third-party involvement, further slowing operations. **What problems is Stampli solving and how is that benefiting you?** Stampli has significantly streamlined our accounts payable process by centralizing invoice management, communication, and approvals in one platform. I appreciate that it keeps receipt and invoice tracking in one platform, which allows me to see and approve purchases made by my employees. **What do you dislike about Stampli?** I don't like having the lag between turning in receipts immediately and then having to respond a second time when they are executed. I usually just wait a few days until the transaction is processed, then submit them. Another thing is the Mastercard doesn't have a tap function. Vendors can search their own open invoices, update their information independently, and even attach files on their behalf — which saves a lot of back-and-forth and makes the process much smoother. Overall, it’s a strong platform with excellent vendor-facing functionality, and with a few more enhancements, it could be even more powerful. **What do you dislike about Stampli?** On the downside, there are a few limitations that make things harder for us. For example, we can’t export the approval workflow into an Excel spreadsheet, which would be very useful for tracking and reporting. Another challenge is that I don’t have visibility into which GL codes haven’t been assigned to an approver, which can create bottlenecks. Looking ahead, one feature I’d love to see is for Billy the Bot to be able to read the total amount of an invoice if it happens to land on the second page. The fact that the automation provided by Stampli is usually legit and spot on tremendously helps with the AP process. I also love that it doesn't sign you out during the work day unless you are gone for over an hour. Also Stampli syncs into our main ERP (Netsuite) quickly and efficiently. This is a software we use everyday to process over 2,500 invoices a week, and it does a great job of handling the load. **What do you dislike about Stampli?** I wish Stampli had a more robust system when it comes to sending bills back to the purchaser to fix problems on the bills. We all know that problem invoices are a nuisance and Stampli doesn't really help with that portion. Also, the PO portion of Stampli can be stepped up. As we have multiple locations with hundreds of employees each, it can be very time-consuming for our team to reply to multiple vendor emails multiple times per day. We are receiving, coding, and processing millions of dollars of invoicing and this interface make our processes much clearer. It's incredibly helpful that it reads the invoices and places the information into the field, so you aren't wasting time hunting and pecking for those details. It's also so easy to create a distribution list, or listserv, so multiple people can be reached in order to access coding. This makes our processes much easier than having to hunt through your inbox for emails. I especially like the feature where it notifies you that you have an invoice ready for coding and reminds you three days later. That's a great time to keep past due payments at bay, and also help when your workday is overloaded and you can't get to everything straight away. This has streamlined our processes and helped us reduce paper waste and hunting down information, and making sure everyone has access. **What do you dislike about Stampli?** The only downside that I can see is that there is no portal yet for vendors to send the emails straight to Stampli, as that would assist in keeping everything in one centralized location. We have many vendors who do not have technological advancements and still use handwritten invoices, so that is the only downside, but that isn't the fault of the program. **What problems is Stampli solving and how is that benefiting you?** Stampli is solving the issues our company was having of moving into a higher-tech interface to handle our AP. We were still using a DOS system, as well as emails and scans, which, needless to say, caused a lot of confusion and delays in getting things processed and paid on-time. It's also very user friendly for vendors who want to create client portal, check their status, or even sign up for ACH. **What do you dislike about Stampli?** The Stampli help takes a but longer to respond now, and sometimes I have to follow up if they place me on "hold" to answer a question. I do think that whoever is creating the bill should be able to edit or add attachments even if the bill is sent off. It has tremendously helped our team process, record, approve, modify, and export invoices to our accounting system. Before, invoices were often lost and, consequently, paid late. Stampli helps foster a positive working relationship with vendors, who could also easily check on the status of a payment within the Stampli platform. Business runs smooth and compliant utilizing Stampli. Additionally, the chat feature with a live customer care representative is extremely handy. You receive immediate attention with an actual person who will help answer questions and guide you in the right path. Overall, wonderful software for all businesses who receive vendor invoices! **What do you dislike about Stampli?** A couple of hiccups we experienced using Stampli arose when we made edits to a vendor or customer name in our QuickBooks system because Stampli treated the edited vendor and customer name as new vendors and customers.Therefore, the history of transactions in Stampli were only showing under the old version of the name. Stampli is currently unable to make the change on the backend to move the transactions in batches from the old version to the new. The only option is to manually open every invoice and make the change there; however, our company has hundreds of transactions for each and cannot go this route due to time and cost restraints. The second issue we have is when we have hundreds of invoices received from vendors in the later part of a period and it takes our staff extra time to get the invoice through the entire review process, which the invoice ends up missing the cut off period for export in QuickBooks. The problem is we close our books in QuickBooks then we need to change the date of many vendor invoices in Stampli to the first of the following, open month. Again, we have hundreds of invoices in this case and would like to see a batch option in the future to make for a quick and easy change to all invoice dates at once.
