I like the view of the invoices, accounting information and approval all in one screen. It's super efficient.

**What problems is Stampli solving and how is that benefiting you?**

In a large organization, with many teams and individuals involved in procurement, it centralizes and simplifies the approval process. The time and efficiency saved are game changers. Everything is centralized in the platform for people who are not involved with the finances of the business, yet play an important role in approving expenditures. It saves Finance from chasing approvals via email and slack, across multiple teams and individuals.

It's very user friendly. I've only been using it 2 months and it's easy to understand.

I do wish the export to excel list when you do a advanced vendor search it would be a little cleaner on export. I'm generally just wanting the basic stuff that's shown on the screen like vendor name,

It allows our AP team to easily link invoices with Sage and it is very user friendly.

**What do you like best about Stampli?**

We like that Stampli streamlines the approval process and allows for better auditing by keeping everything in one place. We appreciate that we can set up who approves and in what order, and it just works well as a whole.

**What do you dislike about Stampli?**

The expense side isn't as robust as the invoicing side. We aren't able to upload multiple receipts on a single expense report to be paid in one sum.  We wouldn't rate the initial setup as easy, but not hard either. You have to be very tech savvy to pick up on it quickly.

**What do you like best about Stampli?**

I like that Stampli is simple. I specifically like that you can view previous invoices from a vendor so you can compare. This is often useful for maintaining consistency, ensuring accuracy, preventing duplicates, and similar things. I also like that it is easy to add reviewers and to see where each invoice goes after your inputs and approvals. I like how there is a notes section, so there is an easy place to add notes or concerns. This keeps information close to the invoice and easy to refer back to when needed.

**What do you dislike about Stampli?**

{"Some pages of the site can be a bit cluttered, especially when you are working on invoices.","There is a lot of information to add and enter, and there aren't enough visual separations between important sections (vendor information, invoice document information, coding, and payment information).","Though this isn't the biggest problems, it can annoy the eyes sometimes.","I heard that the implementation and set up was difficult only because there was a lack of training. This cleared up with practice and communication.","We are in the middle of changing software, so it is difficult to identify how Stampli will play into the newer software. It is too early to tell."}

I use Stampli to input, review, and approve invoices as part of our AP process. It lets us store, record, and code invoices and communicate with other parts of the organization about approvals and amounts. I can view previous invoices from a vendor to compare, which helps with consistency and preventing duplicates.

**What do you like best about Stampli?**

I use Stampli for AP automation and streamlining our AP approvals, which helps reduce inbox clutter. Stampli keeps approvals and comments tracked in an audit trail, and I can attach supporting documents easily, which simplifies documentation records. I really appreciate the convenience and streamlined process it offers. The Billy the bot feature and AP bill automation are quite good; it can pick up on previous vendor coding such as GL account, department, and entity location, which is particularly helpful for our multi-structured entities. The setup was easy, and appropriate time was scheduled to understand the dynamics and structure of our entities. The integration with Sage Intacct, where our bills export to, also works well.

**What do you dislike about Stampli?**

I think Stampli could improve by making additional suggestions, like suggesting a GL account when it's a new vendor invoice with a similar invoiced description or memo for similar work.

**What problems is Stampli solving and how is that benefiting you?**

Stampli reduces inbox clutter by tracking approvals and comments in an audit trail, allows easier attachment of supporting documents, and streamlines AP automation and approvals.

**What do you like best about Stampli?**

AI Auto-filling invoice details from reading the pdf. The onboarding was solid, performance is consistent but the UI isn't super approachable at first. I think integration would benefit from greater company customization of required  fields or if and fields. We're getting our money's worth.

Insufficent integration with other software and customization of company forms takes a lot of effort.

**What do you like best about Stampli?**

I like how Stampli learns habits with specific vendors. Billy puts the most frequently used codes (per vendor) at the top of the list to simplify trying to select which code and eliminates the need to scroll through dozens of codes to find the correct one. Customer support chat is a nice function, though sometimes the wait time is a bit long.

**What do you dislike about Stampli?**

Integration with QB was simple enough, but sometimes there are disconnects that take a long time to resolve. Additionally, the automatic assignment of "invoice" to everything that comes through can be a bit annoying. It would be great for it to automatically assign other invoice types, such as payment receipts.

**What problems is Stampli solving and how is that benefiting you?**

Stampli gives our companies a way to allow departments to have control over their own expenditures and invoices. It has greatly increased the time available for me to focus on other tasks and spend less time exclusively working on AP related duties.

The dashboard and interface look modern and are easy to follow and understand. I haven’t received any training yet and I don’t use it very often; however, so far I’ve still been able to complete the tasks I need to. My administrative staff are starting to use it more regularly and so far no reports of any major issues.

I've experienced some technical problems, e.g., notifications of an invoice to sign, yet it is not there.

Stampli is replacing our prior purchasing order and invoice system, streamlining the processes throughout our department and company as a whole.

**What do you like best about Stampli?**

It makes invoice approvals so much faster. What I like most is that everything lives in one place, so I can review, approve, and track invoices without digging through emails or chasing people down. It’s saved me a noticeable amount of time compared with similar roles I’ve had in the past.

**What do you dislike about Stampli?**

I don't have many complaints overall. The biggest minor friction is that searching older invoices can take a bit of digging, but it's nothing that gets in the way of my day to day work.

Invoices can mean a lot of back-and-forth over email between colleagues. With this, the whole process is centralized in one place, which means less time spent tracking things down and fewer things slipping through the cracks. It’s made a routine but time-consuming task much more manageable overall.

The ai features. I really appreciate how it will auto populate some of the fields for me. I think this is a way better system than what my organization has used before.

I noticed that the number of pending invoices doesn't change automatically until i refresh my whole page. I think it could do better at that.

It is making submitting invoices to our finance department more efficient. I think I use to spend so much time with excel and pdf sign and this has made things soooo much easier.

**What do you like best about Stampli?**

I like the simplicity of the approval process in Stampli. Seeing the live invoice next to the approval button is really convenient as it saves me 5-10 minutes of searching for the invoice in my emails. The initial setup of Stampli was fairly easy, making it user-friendly right from the start.

**What do you dislike about Stampli?**

I don't like that too many approvers are needed to pay a small invoice. It would be more convenient if invoices could be set up so that high-level invoices only need the most senior manager's approval. Currently, it requires a junior manager's approval to land in my inbox, and I'm the director.

**What problems is Stampli solving and how is that benefiting you?**

I use Stampli for internal billing approvals. It streamlines all invoices to the appropriate teams and simplifies the approval process. Seeing the live invoice next to the approval button saves 5-10 minutes of my time searching emails.

I use Stampli for business purchase order tracking and I find it pretty streamlined and easy to navigate. It's really handy to have all POs in one place, and the layout and aesthetic appeal make it easy to navigate. When I open up a PO, I can find all the information I need from the open invoice, and I can also navigate old POs easily. The initial setup was easy and simple.

**What do you like best about Stampli?**

I like how Stampli makes the approval process streamlined, allowing users to see who needs to approve invoices. Coding invoices is very straightforward, and exporting to our ERP system is a breeze. I appreciate the ease of use with Stampli, especially the straightforward UI. I also value the ability for vendors to email invoices and check their status, which eliminates the paper waste from printing and scanning invoices. The initial setup was very straightforward and easy to adapt.

**What do you dislike about Stampli?**

The Stampli Card process has not been as easy as hoped. Our cards have been declined several times for 'security purposes' which has prevented transactions from processing. The creation and approval of virtual cards has also had some challenges. The cards have been turned off which required every user to call customer service and verify company info to reactivate. I understand the need for security, but it has been challenging.

I use Stampli to streamline the approval process, making it easy to see who needs to approve invoices. Coding invoices and exporting to our ERP system Sage Intacct are straightforward, and it reduces paper waste by allowing vendors to email invoices.

**What do you like best about Stampli?**

I like how Stampli automates AP processing with OCR and connects seamlessly to MS F&O, eliminating the need for manual entry. I appreciate its ease of use and the user interface, which allows for easy option changes and invoice approvals. The system flow is smooth, and the help menu is quite useful. I like that everything is on one page with menus that jut out, and I find the colors nice. The initial setup was very easy, which is a big plus for me.

**What do you dislike about Stampli?**

I don't like that there are lots of hidden features that I need to dig into the help to find, or that there are premium features you have to pay for which aren't mentioned in the help file. You see a feature, but it isn't available unless you pay. I'd also like an invoice merge feature and better GL coding.

I use Stampli for automating AP processing with OCR, which connects to MS F&O, saving us from manual entry.

Initially it is a lot to look at when you are going in to approve something but I appreciate the overview and that we can see all of the important details at a glance

I like the email reminders that Stampli sends because it gently continues to let me know I have invoices. Even if I can't address them that day, I always know I'm not falling behind. I appreciate having that reminder and knowing I can get to them when I have time.

**What do you dislike about Stampli?**

It's really hard to put notes in there. At times I want to send a note to accounts payable or if I want to let them know,  "this is on pause."  Just having a cleaner, easier way to put in a note or put in a tag or put in something like that would be so helpful because oftentimes, it's not clean. Right? It's oh, I gotta check this thing and do that before I can do this. I wanna let someone know. So there'd be a way to have messages and conversations inside of the tool would be super useful.

I use Stampli to manage all of our invoices, which helps me track everything in one place. I can get reminders to stay on top of tasks, ensuring I don't forget anything.

I like how the level of automation in Stampli speeds up invoice processing time. It's great that Stampli learns from my coding and eventually codes the invoices automatically, minimizing the manual review and coding that was required with prior systems. The integration with Sage Intacct adds to its value. The initial setup of Stampli was very quick, taking only a few one-hour sessions.

Duplicate invoices, or statements that are not processed as invoices count towards your monthly quota

I use Stampli for automating vendor invoice receipt, reviewing, and coding. It speeds up invoice processing time by learning from my coding and eventually coding invoices automatically, reducing the manual review and data entry.

**What do you like best about Stampli?**

The Billy Bot AI automation is a standout feature—it’s fast, intuitive, and saves significant time during invoice entry. The ability to copy text directly from PDFs is extremely useful for accuracy and efficiency. Stampli’s support team is generally responsive and helpful, and while not perfect, they do make an effort to resolve issues effectively. Additionally, the integration with NetSuite works smoothly and provides a reliable connection between platforms, helping maintain data consistency and reducing manual work. The Stampli interface is simple and easy to work in.

**What do you dislike about Stampli?**

The system has several limitations and workflow challenges impacting efficiency. Currently, text can only be copied from page 1 of PDFs, and the Billy Bot tool often produces incorrect or inconsistent data. New merchants automatically recommend an unwanted GL account with no option to override. Recurring invoices cannot have auto-assigned approvers, and their details (such as title or start/end dates) cannot be edited without duplicating the record. Once stopped, a recurring invoice cannot simply be restarted. There is no “Pending Approval” tab, requiring manual report checks, and invoice editing after authorization involves multiple unnecessary steps before it can be reapproved. Users cannot copy an invoice or reuse the same PDF to create multiple invoices, and key fields like invoice number, date, or GL details cannot be mass-edited. If a Stampli card transaction lacks a receipt, it doesn’t appear for AP processing, and filtering AP Workview by Stampli card transactions does not function properly. Invoice PDFs also cannot be saved into the receipts library for future card charges. Additionally, card and limit management through Stampli/WEX is cumbersome—temporary limit adjustments cannot auto-reset, prior-period pending transactions affect available limits, flexible card limits cannot be edited once issued, and one-time card limits may decline legitimate transactions that include separate processing fees. Finally, Stampli card or WEX-related issues can take several days to resolve due to third-party involvement, further slowing operations.

Stampli has significantly streamlined our accounts payable process by centralizing invoice management, communication, and approvals in one platform. I like how Stampli keeps track of submitted invoices and the GL codes they are assigned to. It's great that it allows us to get approvals from the people who ordered the items without using paper. I find the easy search for invoice status updates really useful. I also enjoy the ability to change the person who should approve an invoice, which avoids sending it back to accounting. The initial setup was very straightforward and easy, just a few meetings and it was up and running.

Sometimes the searching doesn't work as well as I would like. Using the general search function on an invoice number sometimes doesn't return that invoice till you search using the actual invoice number search bar. The general search function at the top of Stampli tends to not return details that we are searching for. We can get those details when we go into the search function and use the fields we are searching for the data.

**What do you like best about Stampli?**

The Stampli user interface, configurability, and available options and integrations make it a really great AP product. The workflows are intuitive, and the features we needed are readily available without significant customization. The payments module is slick and convenient. The number of available features and customizations is adequate without being too overwhelming. Customer support is decent, although it can take longer than we'd like to respond or at least to provide an actual answer to the question at issue. The trainer we had (Samantha) was very friendly and nice, and we think she did a good job picking the best options for how to set us up on their platform - we are multi-entity and cross multiple industries, too. The QuickBooks Desktop integration works well, but it does freeze up fairly often and needs to be manually restarted. This is not difficult to do, just something to note. My favorite feature is the way hyperlinks back to the original paperwork and the audit trail are added to the memo in QuickBooks Desktop, making it possible to quickly and efficiently find the original paperwork and all the notes about it. This feature has proven to be worth so much more than expected! Thank you, Stampli!

**What do you dislike about Stampli?**

The WEX credit card that they partner with is really bad. We have found WEX to flag WAY too many transactions as fraud, even after being explicitly told that they are authorized charges. We are also not a fan of WEX's 2-week statement period which cannot be customized or changed. Finally, I do not like that WEX issues separate statements and makes separate payments for virtual cards and physical cards - a seemingly needless distinction that makes statement reconciliation more challenging than it should be. We are still using this card program because it is the only card program that is integrated with the Stampli platform. But we would gladly switch if another corporate card program was added.
Also, the mobile app for submitting expense receipts is flaky, especially in poor phone service areas. It often hangs up on receipt upload and it is hard to get it do anything else when it does.

**What problems is Stampli solving and how is that benefiting you?**

We went to Stampli in order to take our AP and credit cards paperless. But it provides so much more than that with its approval workflows and direct payment options. Stampli is providing us with a digital history of all transaction-related communications as well as a digital file cabinet that is linked directly to transactions in bookkeeping software.

Stampli has made the process of reviewing and approving invoices much easier. It has significantly reduced the communication bottlenecks we used to experience when handling everything through email. Now, all the invoices I need to review are conveniently organized in one place. Another useful feature is the ability to assign a different approver if an invoice sent to me falls outside my area of responsibility.

**What do you dislike about Stampli?**

At times, the software can be slow. I believe there are some UI and UX improvements that could enhance the experience. For instance, when switching from one invoice to another, the page sometimes takes more than five seconds to load. Additionally, I find it inconvenient that I have to select all invoices and click 'review selected invoices' just to access the feature that allows me to switch invoices from the upper right section of the invoice view page.

**What problems is Stampli solving and how is that benefiting you?**

Before, our accounting team sends us an invoice for our marketing platforms through email. We will then review the invoices and signify approval if the costs indicated are correct. The struggles we had with this kind of process is that usually the emails can be buried with all other emails that it would be hard to locate them once I review them on the time I have set to review them for myself. 

There are also times when the invoice sent to me are not under my scope so it will cause additional email exchanges which can cause delay in payment of the invoices. It can also be very inefficient having to go through different emails to review different invoices.

I love that Stampli is very precise when it comes to reading all of the different types of bills that are received.  The fact that the automation provided by Stampli is usually legit and spot on tremendously helps with the AP process.  I also love that it doesn't sign you out during the work day unless you are gone for over an hour.  Also Stampli syncs into our main ERP (Netsuite) quickly and efficiently.  This is a software we use everyday to process over 2,500 invoices a week, and it does a great job of handling the load.

**What do you dislike about Stampli?**

I wish Stampli had a more robust system when it comes to sending bills back to the purchaser to fix problems on the bills.  We all know that problem invoices are a nuisance and Stampli doesn't really help with that portion.  Also, the PO portion of Stampli can be stepped up.   Overall, the ease of use is great, but it's the small things that AP has to handle that Stampli doesn't help me with.

**What do you like best about Stampli?**

We just integrated this system for our company in order to make sure that our vendor payment processing is smooth and easy. As we have multiple locations with hundreds of employees each, it can be very time-consuming for our team to reply to multiple vendor emails multiple times per day. We are receiving, coding, and processing millions of dollars of invoicing and this interface make our processes much clearer. It's incredibly helpful that it reads the invoices and places the information into the field, so you aren't wasting time hunting and pecking for those details. It's also so easy to create a distribution list, or listserv, so multiple people can be reached in order to access coding. This makes our processes much easier than having to hunt through your inbox for emails. I especially like the feature where it notifies you that you have an invoice ready for coding and reminds you three days later. That's a great time to keep past due payments at bay, and also help when your workday is overloaded and you can't get to everything straight away. This has streamlined our processes and helped us reduce paper waste and hunting down information, and making sure everyone has access.

**What do you dislike about Stampli?**

The only downside that I can see is that there is no portal yet for vendors to send the emails straight to Stampli, as that would assist in keeping everything in one centralized location. We have many vendors who do not have technological advancements and still use handwritten invoices, so that is the only downside, but that isn't the fault of the program.

Stampli is solving the issues our company was having of moving into a higher-tech interface to handle our AP. We were still using a DOS system, as well as emails and scans, which, needless to say, caused a lot of confusion and delays in getting things processed and paid on-time. The automatic recognition features stand out as excellent, and I find the storage and search functions really useful. Without having everything in front of me, I would need to find the invoice, find out who and when it was approved, and then call up the program manager to see where it should be coded.

I like that it imports directly into our accounting system. This is a huge time-saving benefit which take the manual data entry and its pitfalls out of the equation for seamless entry.

All staff members have been trained on invoice entry into Stampli so the implementation was easy.

**What do you dislike about Stampli?**

I think introducing more robust reporting tools would make Stampli a better system. I has been confusing to figure out reports and to add fields to existing reports like check numbers.

Being able to know if an invoice has been entered into the payment system and where it is in the payment system has always been a challenge. Stampli eliminates that problem and I can find invoices quickly.

I would probably make the actual invoices easier to view from the review side of things. Currently, when invoices are submitted into a ticket request, you'd have to look at them in a separate window. We’ve been using Stampli to manage our accounts payable process, and it’s been a great improvement overall. The platform is very intuitive and easy to navigate, making invoice approvals and communication between departments much smoother. The ability to track invoice status in real time and add notes directly within the platform has helped reduce back-and-forth emails and speed up our payment cycle.

The AI-driven coding suggestions and automation features save a lot of time, especially when processing high volumes of invoices. Integration with our accounting system was straightforward, and their support team has been responsive and helpful whenever we had questions or needed adjustments.

One area for improvement would be to enhance the reporting and analytics side — while functional, it could be a bit more flexible for custom reporting needs.

Overall, Stampli is a solid solution for streamlining invoice management, improving visibility, and strengthening communication between accounting and other departments.

While Stampli is a great tool overall, there are a few areas that could use improvement. Additionally, the approval flow setup isn’t always as flexible as we’d like for more complex processes.

**What do you like best about Stampli?**

It 1) reduces the accounts payable processing time for me as an administrator and final authorizer significantly from previous manual processes, 2) gives me a lot of flexibility in how I oversee the entire workflow, reporting, and processing of individual invoices and payment creation, and 3) the customer experience has been incredible.

**What do you dislike about Stampli?**

Stampli costs more than its competitors and I feel you pay for that in the amazing customer experience you get from them - which really is great -  but it is hard to digest when they release new features that could be potentially helpful and market them as "add-ons" for additional cost instead of making them available to existing customers. With that critique I will also say that they do update the existing user experience annually.

**Recommendations to others considering Stampli:**

Make sure that you're accounting system is designed to handle batch uploads. I had to work directly with the programmer to ensure that the design for both the batch uploads and the check register for upload into Stampli were designed correctly. Even if your organization doesn't have all of the problems I did and you're just looking for a new workflow Stampli works great.

**What problems is Stampli solving and how is that benefiting you?**

Stampli is helping my team to:
1) Increase Efficiency: I hated accounts payable processing from day one on the job. As the only director under 30 in my previous organization, I was shocked to see how much paper was involved in paying bills. What Stampli means for me is a more efficient workflow and faster accounts payable and payment processing, which means fewer late bills and more time for me to focus on the rest of my job. Additionally, as a company that undertakes a lot of construction projects, Stampli took the time to help us with our integration issues with Microsoft GP to allow to track expenses by footprints for construction invoices and have that integrate to our job costing software within our ERP which has again decreased processing time. 
2) Enforce Policy through Accountability: the audit trails have been so nice to help keep approvers accountable in an organization that is culturally still coming around to more personal responsibility at the supervisor level for expenses within their department. The Stampli system has also helped us in our annual audit, giving them temporary read-only access allows them to take their samples instead of bothering us about it.
3)  Organize AP Efforts: I have two AP clerks and I have their invoice duties separated out by type of invoices (operational, procurement-related, construction) and using their trays feature allows for easy dividing and access for my team and the GIS team that inspects all of our construction invoices as well as restricting invoice access to department heads based on the type of invoices they need to see.
