What do you like best?

Stampli is intuitive; user-friendly. I can easily scan/upload documents in batches and separate them individually or by group for easy coding. Stampli has eliminated our need to separate uploads by invoice type (operating vs. vendor) in order to send to "file cabinets" to store/file them. The cutting feature makes grouping invoice pages almost effortless. Stampli offers multiple searchable filing credentials that allow quick retrieval for review and sharing with other departments (other platforms we have used were limited in that regard). It's extremely helpful to be able to route invoices for questions or approvals, as needed. Errors are easily fixed when information is assigned to invoices incorrectly--allowing me to pull invoices 'out of the process' to update and send back to AP authorization. I also like how adaptable the interface is. It gives us tremendous control over the integration of Stampli with our Quickbooks system, from how quickly the syncing of invoices into our accounting system happens, to what accounts can be used to code. Stampli is also the most affordable solution we have found that met both our needs -- to have a cloud filing capability for easy document retrieval AND elimination of a slow, manual entry process for getting our invoices into Quickbooks. I can't say enough great things about the thorough attentiveness of the staff, throughout our implementation process. Review collected by and hosted on G2.com.

What do you dislike?

We have had Stampli in place for just over a month and I have very little complaint with how the system works. If I had to point to any dislike, it would be that 1) it would be a time-saver to be able to delete documents uploaded in bulk instead of having to add the extra step of rejecting them individually, to do a group cancel. With auto-syncing emailed invoices to Stampli, at times non-invoice documents liking shipping notifications are pulled in and while canceling them individually is not extremely time consuming, it would be nice to choose them all and dump at once. 2) It would be helpful to have an append/staple type feature to quickly connect documents that are erroneously split. What problems are you solving with the product? What benefits have you realized?

I don't have to "touch" invoices but once and they are stored for immediate, efficient access and processed for future payment. This cuts my processing time almost in half. I also no longer have to print emailed invoices, in order to batch upload for filing, reducing our paper use/costs. Currently, I have the sole responsibility for invoice entry, coding, and filing (for upwards of 700 or so invoices per month) as well as weekly bill review and payment processing and multiple monthly credit card reconciliations. I have, at times in the past, had part-time help responsible for the filing and coding part of our process, but this often resulted in inefficient and untimely 'filing' of documents. Eliminating time that it takes to enter, code and file invoices allows me to be able to dedicate more time to the other tasks that are assigned to me. What do you like best?

The ease of accessibility and making new changes to users permission. Also the ease of accessing invoices that need to get coded. Review collected by and hosted on G2.com.

What do you dislike?

Not having the ability to have notifications enabled for coders and authorizers and for rejected invoices to be recoded correctly.

Approvers not having visibility to the departments that they approve for. I have to set individual permissions such as reviewer or coder/route even though they will not be coding the invoice.

I also would like to have one user out of 3 to 4 be able to approve an invoice as long as ALL the 4 approvers have sight to the invoice rather than having it go through 1 to 2 to 3 to 4 to approve. Review collected by and hosted on G2.com.

Recommendations to others considering the product:

The help available from Stampli's customer care Rep is great and always detailed with step by step actions. Gabe has been very helpful for my organizations needs.

I really like the easiness of using stampli also the tracking of the invoices during the coding/approval/ authorized for final payment process.

Having the ability to modify the workflow to each specific department has been very beneficial.

Solving problems for approvers to have visibility to the entire department invoices the coders need to code and send for approval. Updating and changing workflow $ amount for certain users. What do you like best?

- Stampli's invoice approval process has made our AP team's lives a million times easier! We used to spend so much time tracking down invoices, naming and coding them, manually emailing each one out for approval, tracking the invoices until we get an approval back, then manually saving and merging each approval to its matching invoice, before we were ever even able to begin keying the invoices into our system. Stampli has reformed this process completely! We now just forward our invoices to Stampli, then our AP team goes in, codes each invoice (which Stampli does half of this for us), selects the approvers it needs to go to, then sends. Once the invoice has been approved by all approvers, it shows up in our Approved Invoices tab, where we can easily authorize it for payment and then export it out to our financial system.

- Stampli’s duplicate invoice detection has also cut out a ton of extra work we were doing, as previously, we would often receive duplicate invoices, go through the entire approval process, then try to key the invoices into our financial system and find out that they have already been keyed or paid… Stampli now tells us right when we are coding the invoices whether they are a duplicate or not.

- We love that we are able to see all communications between everyone who has touched the invoice, all in one central location with Stampli’s Communications Hub. This makes it much easier to know where an invoice is at in the process, without having a million separate emails going around.

- Our GM’s like that they now have easier access to viewing their store’s invoices, rather than having to keep requesting copies from us.

- Our DM’s also like that they are easily able to run a Pending Approval search to see which of their GM’s still have invoices open, that way they can keep them on track. This is a big plus for our AP team as well, as this has significantly cut the time and effort we have had to put into getting approvals back in a timely manner.

- Stampli’s customer support has been top notch overall. Our customer rep, Eric Juco, has truly been a godsend. He is prompt and quick to reply. He answers every question we ask, and we have asked many, in detail and provides examples. After going through demos with 3 other companies that had decent products, but shotty customer service, Stampli has definitely been a breath of fresh air. Review collected by and hosted on G2.com.

What do you dislike?

While most of our feedback regarding this product is positive, there are a few negatives to consider:

- Only AP Personnel are able to use the Comment feature to make comments on invoices. The only way Approvers are able to comment on an invoice is for them to click Approve, Reject, Request a Field Update or to use the Ask a Question feature, then type the comment in the field below. This is really not optimal, as most of the time, the approver does not want to do any of those things, they just want to add a comment.

- When invoice copies are downloaded in bulk from Stampli, which we have been doing each week, only the invoices will download, not any of the communications or approvals attached to each invoice.

- We wish we were able to give our department head’s (approvers) permissions to edit GL coding, without giving all approvers these permissions. Currently, there is only the option to either give everyone GL coding permissions or to only give AP Personnel GL coding permissions.

- I have heard numerous comments throughout our company about wanting the invoice view to be a bit bigger, although most agree that the magnifying tools do make up for this.

- Only PDF files can be forwarded to Stampli. All other files types must be converted to PDF before being sent. Review collected by and hosted on G2.com.

What do you like best?

Ease of use. Stampli is extremely user friendly. From getting the invoices into the system to approved and paid. Very efficient. The way that the system learns as it goes and can auto populate the information is very helpful. What do you like best?

What do you like best?

The software is very intuitive and extremely easy to use. Comments from our approving managers include: "I love this, I can see the invoices on my phone, iPad, or laptop." "This was the easiest roll-out of any software application I've seen." "Stampli is terrific! This is so simple. I didn't even read the instruction guide."

The audit trail is complete and captures the history of all communication from the moment an invoice is received in Stampli, including all questions asked both internally and externally. In order to assess the accuracy of entry, we can see which A/P clerk coded the invoice, whether they overrode the AI entry, went back to the invoice at a later time to change things, and how long the invoices were in the queue.

Their AI product, Billy the Bot, is learning our coding and pre-populating key fields, which minimizes keystrokes. There are a few times when we don't understand where he picked up some of the choices he made, but we believe that he is continuing to learn and are overall impressed with the AI functionality.

The training and support have also been great. We made the transition to Stampli while our teams were working remotely, conducted the training through Zoom, and were up and running in a very short time. Review collected by and hosted on G2.com.

What do you dislike?

For invoices that must be charged across multiple location and department codes, it would be beneficial if Stampli allowed us to simply copy and paste the allocation from Excel. Stampli doesn't allow us to do that today. We can create an Excel template with the coding, but the template must be uploaded and attached to the vendor. Because that feature is also restricted by certain user profiles, it is not optimal.

We also wished Stampli offered a companion product for Purchase Orders. We have the capability to attach the PO from our legacy system as a supporting document to the invoice, but it would be even better if it was one integrated offering that allowed us to see receipts and complete the match in one system. What problems are you solving with the product? What benefits have you realized?

Stampli allowed us to completely digitize the workflow for invoice approvals and maintain an audit trail of all activity. Previously, we relied on the circulation of paper invoices. Then we transitioned to the circulation of digital copies via email. However, the volume made it impossible to effectively track the approvals and make sure all approvals had been obtained before an invoice is imported into our A/P system and released for payment. Stampli offered an effective and efficient solution.

The ability to import invoice data into our A/P system is also a huge benefit. Our A/P staff codes everything in Stampli, aided by Billy the Bot to minimize keystrokes, and no dual entry is required in another application. Having been unable to establish other effective integrations with our A/P system, we were very cautious of Stampli's ability to fulfill that need. What do you like best?

The best part was the elimination of hundreds of emails back and forth needed to approve invoices. Before, 90 percent of my day consisted of sending, saving, entering and attaching PDF invoices in QuickBooks. With the implementation of Stampli, the retrieval of the invoice, data entry, and approval process takes place all within the same portal. Each department is able to review their assigned invoices with a simple click of a button. What do you like best?

Using Stampli has allowed us to process AP for eight companies in one user-friendly system. Stampli really simplified our annual audit, as we were easily able to provide invoices with all approvals and documentation to the auditors. Whenever I have had any problems/issues, the Stampli team has always been very quick to respond and everyone I have worked with has been very knowledgeable and happy to help solve them in a very timely manner. We use QuickBooks as our accounting software, but we have eight different companies that we pay bills out of. Before Stampli, we had to log into each company in QB to process that one company's AP, and were entering all bills manually. In order to switch companies, we had to log out of the company we were in and log into the next. Using Stampli, we are able to switch between companies effortlessly, and have been able to go nearly completely paperless. I oversee the AP of an organization that manages 15 different business. Stampli creates a system where an organized workflow allows for invoices to be received, processed, sent for proper approval and sent for payment.

It hold users accountable, keeps the invoices organized and significantly increases the the rate at which an invoice can be processed.

What do you dislike?

What do you like best?

We have copies of every invoice right at our fingertips. Coding the invoices has become easier with the help of "little Billie" - recognizing more and more as we use Stampli. Stampli's customer service is amazing. The response time and patience is appreciated. You're not dealing with an "out of touch" operator when you have a question or problem. What do you dislike?

I can't say there is anything I dislike about Stampli. Having to learn or start using a different software system can be a dislike, but the customer service and training that Stampli provided took even that away. The hardest part was building a way for Stampli to communicate with our current DMS. But again, Stampli came through. Any hardships in this process has been on our DMS's end. Managers can view invoices and expenses any time. Nothing gets paid without their quick approval through Stampli. It's taken away the guessing game or many questions about expenses. - which frees up time for the payable dept. :) There are less ways for invoices to get lost. There is less paper being used. What do you like best?

The user interface is extremely easy to use and understand. It doesn't take much training to be up and running. Implementation truly took under an hour. The abililty to send out automatic reminders has helped us the most. Approvers like being able to see all their invoices in one central location where they can improve, instead of getting multiple emails that could be lost. Review collected by and hosted on G2.com.

What do you dislike?

I would like to be able to customize the tabs at the top to make a unique one to our company if it's used often. I would also like to be able to mass update invoices that are rejected if the GL Posting Date is in a closed period. Review collected by and hosted on G2.com.

We are solving for invoice storage, reduced time in entering invoices, and securing appropirate invoice approvals. The benefits we have realized is that our teams now have greater visibility into their spend since they can view historical invoices and their spend much easier. What do you like best?

The amount of time Stampli has saved me per week is unbelievable!

We have gone from paperclips, mass amounts of paper, and staples to no paper invoices, no filing, and no wasted time with paper, period!

Each of the people who handle A/P can work at their own pace and are no dependant on others to get their work done like it was in the past.

Billy the Bot saves my tons of keystrokes and I can have an invoice entered and sent off for approval in 30 seconds or less! Review collected by and hosted on G2.com.

What do you dislike?

There are only a few formatting things that I would change in Stampli such as the communication section, it is a bit large and it would be more beneficial to have a larger view of the invoice. Review collected by and hosted on G2.com.

What do you like best?

Stampli has made our AP processing and collection of approvals a breeze! The interface is very user friendly and takes hardly any time to implement. The integration works seamlessly with NetSuite. What do you like best?

Stampli has allowed our company to implement a simple, yet efficient workflow process allowing each of our subsidiaries to approve/reject/amend invoices that are then loaded into our accounting system, Netsuite. The Stampli team worked quickly to resolve any issues we had initially and are now running without any hiccups. The application has saved us many, many hours in manual input of invoices.
