E.g. Automations --> used for wrong user inputs etc. The tool has also a great integration in other tools like Power BI (Connectors) Our Sheet admins also likes the summarize functions very much - they said it is great to have one place where all relevant informations are collected and presented together. Usage: All in all the tool had a great overview and deliveres a perfect user experience. Though there are so many different functionalities, due to the tabs and the great overview it was easy to find anything you need. What we also like very much is the design and the colors. The tool had a very beautiful look and feel and our users like to work with it very much. And also perfect for our and probably many other customers is the customization probabilities: you can send emails or trigger field-warnings etc. in many different scenarios, much better than many other tools can do. **What do you dislike about Smartsheet?** there are some greater distinctions regarding license topics: We´ve had some premium licenses and some standard end users. For example Version History / Activity log wasn´t available for everyone - that would have been perfect for us. Also IFTTT integration for some topics would bee nice. But apart from that there is nothing that we dislike. **What problems is Smartsheet solving and how is that benefiting you?** used for organizational wide shared sheets and colaboration work for different use cases. As well as a data basis for some reports in Power BI. Also very great for is was the Automations functionality: Sending Users automatic email notifications when a Smartsheet was edited, or some inputs are wrong etc. We also use the template apps for some predefined projects or campaigns. ### 4. The extremely straightforward layout helped us build, write, organize and send content for approval. **What do you dislike about Smartsheet?** We tried to run all of our agency's projects out of smartsheet - the way we were using it was not user friendly, it was incredibly difficult to keep track of due dates and communication within the platform. I do want to iterate, the way we had it set up was not conducive to the nature of our work, it might not be the tool's fault! However, the customer service was severely lacking as well, so it was difficult for us to troubleshoot or receive much guidance from their team. **What problems is Smartsheet solving and how is that benefiting you?** Smartsheet was a good tool in the beginning stages of our agency operations. It *sometimes* is easy to assign tasks to my team. It seems like it could be helpful if I knew how to actually use it. **What do you dislike about Smartsheet?** Unbelievably frustrating interface without proper training. The columns inexplicably can't be deleted sometimes. For some sheets, I am not allowed to @ or "tag" users in my organization when I want to assign tasks. I get these extremely complicated pop ups asking me to configure settings that I have no time or patience to learn. Nobody from my organization actually sat me down to help me walk through my questions. **Recommendations to others considering Smartsheet:** Get the training you need ASAP - it's extremely tough to use from the get go and not intuitive to learn on your own (which is what I like and hope for; I think software should be intuitive) **What problems is Smartsheet solving and how is that benefiting you?** Having stale excel trackers and not being able to assign tasks to specific people. Features that allow us to link sheets, examine workload, and automate reporting on tasks are great. **What do you dislike about Smartsheet?** We ended up switching away from Smartsheet for a number of reasons. The primary reason was price. It is significantly more expensive than the other options we reviewed. It is very robust, but most of those features were not useful to team members who were not directly in project management roles. For those familiar with excel, the interface is great but for many it just isn't as intuitive as other solutions. Finally, I love that you can access sheets on the app, but updating sheets can be clunky. For example, when a task is finished, it isn't possible to just recheck the box to show that the task is complete...the entire task opens up and has to be updated....I wish it were a bit more streamlined. **Recommendations to others considering Smartsheet:** We loved Smartsheet at first because it is quite robust. However, it was not intuitive for many team members and so wasn't fully adopted and the price was just prohibitive. I would recommend Trello for a lower priced, easy to implement solution. For those needing a more robust PM tool that is affordable and feature rich, I would recommend ClickUp. **What problems is Smartsheet solving and how is that benefiting you?** As a project manager I loved the level of organization Smartsheet brought to our team. However, the price ended up being a deal breaker and it was probably too complex a tool to be fully adopted by all team members. ### 14. More rigidly typed data can be better than unstructured cells in a typical spreadsheet like google sheets or excel. Collaboration is better than excel but worse than google sheets. **What do you dislike about Smartsheet?** Collaboration - it LOOKS like online collaboration like google sheets, but in practice, it is easy to step on each others' changes. If one user is changing things, those things don't show up on another user's view, so you can't, say, have five editors working on a sheet together in a meeting. We work in this collaborative way often, and Smartsheet makes that difficult. A bigger problem, though, is with the premise of the Gantt chart view. My organization uses these charts for scheduling projects. This use leads to misleading results because the Gantt views are not correctly resource-aware. If I set up task dependencies, the Gantt view will auto-compute dates. These dates don't understand things like team capacity. Either you can have perfectly serial execution (each team can only be assigned ONE thing at a time) or parallel (each team or resource can have ANY number of things at a time). Neither of these dates is correct, but because the tool generates PRECISE dates, people seeing the chart will assume that they are correct as written. The tool leads our organization to make mistakes in a way that a different tool would not. **Recommendations to others considering Smartsheet:** Unless you really know what you're doing, Smartsheet is the wrong tool. **What problems is Smartsheet solving and how is that benefiting you?** We use Smartsheet primarily for scheduling projects. When the project schedule is well maintained and vigilantly policed for changes and problems, the schedule is very clear. When not as well maintained, the schedule is misleading. ### 15. We used Smartsheet as a living document to track project management tasks and timelines. One benefit is not having to be concerned over version control, since multiple users can collaborate on the sheet at one time. I also enjoyed the ability to easily attach documents to assigned rows. Gantt charts are incredibly easy to set up for an easy visual of project timelines. **What do you dislike about Smartsheet?** Smartsheet is certainly not meant to be a replacement to Excel. However, even for simpler projects the functionality is quite limited. We ultimately decided to stop using Smartsheet because we did not realize major benefits compared to collaborating on an Excel file using a file-sharing platform. I did not find this platform to be much easier than using Excel, which would have influenced our decision. I also do not believe this platform would be a good solution for larger companies. It's a better fit for students or small teams of professionals. **Recommendations to others considering Smartsheet:** Bare in mind that Smartsheet is not intended to replace Excel functionality and is more project-management focused. **What problems is Smartsheet solving and how is that benefiting you?** We used Smartsheet as a living document to track project management tasks. However, again it did not provide enough benefits beyond Excel that made it worth keeping our account. I would only recommend this platform to someone who is not currently using Excel primarily and would only use it for small jobs such as task-tracking. Managing resources, linking Jira tickets, and changing anything around was a bit of a chore. I prefer to use a roadmap tool, than this. **Recommendations to others considering Smartsheet:** Easy Jira use. Create pipeline to make generating project plans easier / simplier. There's nothing about it that feels like an advantage over other spreadsheet tools. It seems to have nice graphing & charts, but it takes a lot of work to figure out how to use them. **What do you dislike about Smartsheet?** It isn't intuitive to navigate. From what I understand, things like pivot tables are modules that are only available for purchase and not included. It's not easy to color code things. Another issue I just noticed is that it's telling me there's a new version of Smartsheet available and that I need to refresh. I refresh & get the same message. Over and over and over. It's a web-based tool. Why does it not refresh itself? **What problems is Smartsheet solving and how is that benefiting you?** I am so sorry to say this, but I've used Smartsheet in two different companies now and wished they'd just use a standard spreadsheet. It's just not intuitive to the user. Unfortunately, most of us are "Excel Trained" in the sense that it created a foundation for spreadsheets and formulas. Of course, there is a disparity between Excel and Smartsheets in the sense that they are two different products, but I feel that it is so foreign like a language I never heard of. Make writing formulas as easy as excel and replicate many of those tried & true key formulas. **What problems is Smartsheet solving and how is that benefiting you?** The organized data source that we can trust like our bible where multiple collaborators can work towards the same goal for a project, but with different responsibilities. It's good for collaborating but if you have any sort of data tables to input or manipulate like a BI system, forget it. ### 22. The hotkeys are useful for speedy filling out and changing the levels of groups. **What do you dislike about Smartsheet?** Unfortunately there's a lot this program can't do. There's no backwards linking, so to determine the start point of a project you have to hack it together using negative time delays. There's no easy way to setup repeatable subtasks and change them for multiple components other than copy pasting. And copying too and from excel/googlesheets is always a bit of a nightmare. Additionally the grouping system of files and who is able to access what is confusing, and you regularly have to invite people to see new smartsheets despite the settings that should have let them see it already. **Recommendations to others considering Smartsheet:** Start with a simple project you understand well before working on more complex projects. This will help you understand the capabilities of smartsheet before you get bogged down in the unknowns of your project. **What problems is Smartsheet solving and how is that benefiting you?** The typical schedule and planning problems. It's fine for finding quick insights, but longer duration use by teams is difficult to encourage. ### 23. It's a resource for everyone to have bookmarked in their tool bar that links to other important and helpful documents hosted elsewere. **What do you dislike about Smartsheet?** While our brand sale's use of smart sheet has been extremely helpful, our company also has access to Google Drive which I believe is a duplicative tool. Everything that our teams are using smart sheet for can be done in google drive and it would be very helpful for everyone across the company if we could use one system and not both. **What problems is Smartsheet solving and how is that benefiting you?** Our Brand Sales team uses this to host all important documents, trackers, schedules ect in one place for everyone across the company to access. We had multiple calls to arrive to the conclusions that price model for anything other than enterprise licenses (i.e. data uploader, pivot tables, control center) was out of our range. if you plan to do add-ons, basically plan like for like to each dollar of services for every dollar of the add-ons. **Recommendations to others considering Smartsheet:** do your homework on the integrations and understand the cost of anything past user licensing. will be critical to budget appropriately for time and materials. **What problems is Smartsheet solving and how is that benefiting you?** - Delivering project management functionality of project templates, dashboards and reports. - Additionally, supporting program and portfolio views and shared centralized area. - Establish a common intake form and position ourselves for further automation and capability. - Getting files out of legacy check-in / check-out into a more robust and collaborative user experience. ### 38.
