They used to appreciate small businesses and curtail their services to companies of any size, but that is no longer the case. They do not care about a company that pays for fewer than 15 paid members. **What do you dislike about Smartsheet?** Their SEVERE lack of customer service, and blatantly ignoring support that a customer needs because the problem has become too difficult or because it's no longer worth their time. **What problems is Smartsheet solving and how is that benefiting you?** They were TRYING to help my company move from an annual paid business membership to a monthly paid membership. Doing this would have resulted in more money for them in the long run. But once they figured out that EVENTUALLY (6+ months), we were going to move away from SmartSheets altogether, they stopped helping and just ignored all emails asking for help. This process should have been extremely simple. We've had virtual meetings, exchanged emails for 3.5 MONTHS, and have had the issue (supposedly) 'upgraded' to a higher-up individual on 3 separate occasions -- and yet, still no resolution. Apparently, if you want any meaningful help with your account (technical or administrative) while already being an established Smartsheets customer, you have to pay MORE for any level of 'technical support'. ### 3. Plus, they recently changed the billing method so that every user pays which makes it very expensive. Tracking when tasks are complete helps me stay on track. The initial setup of Smartsheet was easy. **What do you dislike about Smartsheet?** Their customer service and hidden terms are horrible. I was recently charged for 14 users when I am just one. I issued multiple complaints and they hid behind terms that I never saw nor knew where they were. I couldn't get anyone on the phone to discuss. I tried using their support chat, but it was just a bot who couldn't help with anything. When I finally got someone via email they didn't help nor did they offer me any type of refund. My Smartsheet payments go to an account I don't access regularly, so I didn't see it until I was overcharged over $1000 dollars. Horrifying experience. Their policy is no refunds. Billing practices need to be clearer and they need to prompt users when they make changes that will impact costs. I had shared Smartsheets with users with edit modes that weren't under my plan and then suddenly they were. Most things on an action item list consist of several steps and communication. SmartSheet allows all that information to be placed on a single row in an action item list. Unlike an internal document, being web-based means that anyone with permission can access the sheets at any time. This is entirely nullified by the new subscription scheme. **What do you dislike about Smartsheet?** This year, SmartSheet forced all its customers into a new payment scheme that is entirely unworkable for small businesses. Originally SmartSheet required that you only purchase 6 licenses and then could have as many unlicensed users as you need. Only licensed users could build sheets while unlicensed users could only edit at most. This was acceptable because you don't need a lot of people making new sheets but you need everyone to have access. As of this year, SmartSheet forced all of its new and legacy customers into a new subscription plan whose express purpose, it seems, was to boost revenue from every customer by a minimum of 15%. In the new model, all users must be licensed in order to have editing access to the sheets. So now we have to pay for 20 licenses instead of 6. Their solution to complaints about how ridiculous that is was to create an extremely complicated and time consuming administrative system where you have to move licenses around or temporarily add/ remove licenses from month to month which changes how much you pay. It's entirely unworkable unless you have an employee dedicated to just managing SmartSheet. It is now a truly unworkable system. Rather than address my grievances directly, when I brought these complaints to my representative, he replied with nonsensical AI responses. His real responses were curt and unsympathetic. The AI responses were contrite word salads that explained how paying more money to do more work was actually a benefit to me. **What problems is Smartsheet solving and how is that benefiting you?** The ability to create action item lists that do not only include action and responsibility. One of the reasons we went down the Smartsheet path was due to the ability for non-licensed people to update the sheets. Smartsheet allows non-licensed (or free) users to collaborate on sheets, reports, and dashboards that they've been shared to, but they cannot create new ones. However, if someone on your plan shares a sheet, report, dashboard, or workspace, shared users will gain Provisional Member status. Provisional Member status changes to a paid user automatically after 30 days .” This generated a huge invoice our company was unaware of. There is no way to turn off automatic billed licensing In addition, when a new "non-licensed" users creates an account so they can access a shared sheet, the system automatically generates and email to the admin stating "John Doe" has requested user access (implying but not stating and new license), this occurs many times over the next several months confusing both the admin and user. There has been very little genuine development over the past eight years. Additionally, there seems to be little interest in the premium apps, likely because they are overpriced and somewhat misleading. For example, the so-called API Data Shuttle isn't actually an API—it simply allows you to download and then upload data, so it doesn't provide a real-time or live API connection. **What problems is Smartsheet solving and how is that benefiting you?** This tool provided a fast and straightforward way to track and share information. The ability to customize dashboards and reports is great, athough until you have quite a bit of experience with it it's clunky to figure out how to best utilize. **What do you dislike about Smartsheet?** A few years ago we had a spectacular account manager who was very attentive to our needs and very active in helping us get the most of our solution but that service/support is now basically completely non-existent. We recently did a large build-out of a control center environment and it was a painful process, and one where we are left with something that still doesn't meet our needs. On top of that, the recent change in service and contracting structure no longer meets our needs. I think there should be an option where non-members can respond and add to the sheets' specific rows of information without making them provisional users and charging our company for the use. Also, when we tried to get additional training scheduled from your organization for our staff to better understand how to use Smartsheet, it was not free or included in the program. Customer Support is lacking. Sometime I just use it as a more advanced and interactive version of Excel, other times you can take advantage of its dashboard and automation functionalities to create very powerful tools that can make work a lot easier and more organized. **What do you dislike about Smartsheet?** I initially enjoyed these features but expected the product to improve. However it did not and rather when it came time to renew they both "upgraded" my subscription to charge me more per user for the same features as before, but also tried to secretly increase user count. This was because features such as collaboration were now paid only features, eliminating a lot of the benefits I enjoyed in using it for contractors. When I tried to downgrade the user count due to redundancies within my team, they did not allow this, citing a now outlawed FCC "Negative Option Rule" included in their old contract whereby because I hadn't inferred a lack of consent, that they were okay to do this. They will change the agreements of the service with no notice. It is very dangerous for a company to use this platform. As well as the ability to have external people to my organization get access to view their projects progress any time they link. **What do you dislike about Smartsheet?** The organisation I work for has strict IT security protocols, which limits the tools we can use. However, the client insisted on a project plan management approach that would allow them to view progress in real time. The only approved platform that met both our internal requirements and the client’s expectations was Smartsheet. We went ahead and purchased Basic licences, assuming this would be more than sufficient for a single project. But now that the client is requesting slightly more advanced dashboard views and summaries, we have hit an absurd roadblock. A basic feature like “Group By”, which is critical for displaying and sorting dashboard widgets correctly, is not available on the Basic licence. This is absolutely ridiculous. “Group By” and “Sort By” are fundamental functions in any data-driven tool. To lock such a core capability behind a higher-tier licence makes no practical sense—especially when it directly impacts the usability and performance of standard dashboards. If Smartsheet is going to restrict basic functionality like this, they may as well do away with the lower-tier licence altogether. We are only using Smartsheet for this one client project, and upgrading just to access features that should be standard is simply not financially viable. First and foremost is their subscription model and the quarterly "true-ups" that they try to sell you is somehow for YOUR benefit instead of theirs. Now rather than creating users and, for the most part, forgetting about them until they leave the company I have to manually manage and review all of my users every quarter. Smartsheets doesn't stop them from editing sheets like it did before for 'free' users so now they all edit sheets and become provisional members that I have to review every quarter. Because reviewing this EVERY SINGLE QUARTER is absolutely the best use of my valuable time. **What problems is Smartsheet solving and how is that benefiting you?** Nothing that a well designed Google Doc strategy couldn't do for 1/2 the cost and effort. ### 23. And to make matters worse, some of my customers’ IT departments block Smartsheet, so we can’t even share it with them. In those cases, O365 ends up being a better option. The manual save on a web app is another pain point. In 2024, why are we still dealing with manual saves? Lastly, the support is slow, and when we do get help, it’s not particularly useful. I find myself avoiding Smartsheet whenever I can because it just takes way too much time to enter project data compared to other tools. Our company had turnover with the previous primary contact for Smartsheet. We wished to not renew for an additional year when the renewal came up. The account manager for Smartsheet reached out to our previous contact without supplying adequate information regarding the auto renewal. We provided notice of our intent to not renew ahead of the auto renewal date, but missed the "cut off" for that notice by a few days. Smartsheet then held us to the entire auto renewal period. After asking kindly for them to not enforce, or not to enforce for the full renewal period, especially given our situation with primary contact turnover, and taking into account the fact that we still provided up front notice, Smartsheet proceeded to hold us to the entire renewal period and payment. Trapping customers in contracts is not a wise approach for how to operate as a SaaS vendor. We will never use them again.
