  ### 1. Clumsy UI and Cumbersome Receipt Entry Make Editing a Struggle

**What do you like best about Webexpenses?**

It displays information clearly, and it’s nice that there’s an accompanying app as well.

**What do you dislike about Webexpenses?**

The UI is clumsy, frequently needs to be reloaded, its very difficult to find receipts and edit them, the AI for recognizing receipts must be from the 90’s as it almost never gets the information correct, there is no way to bulk edit items and the process to get the information in is extremely cumbersome.

**What problems is Webexpenses solving and how is that benefiting you?**

Good display of final reports and where money is being spent. It has improved over the last couple years - slowly - but it is at least usable now.

  ### 2. Clunky Receipt Workflow and Error-Prone Date/Currency Handling

**What do you like best about Webexpenses?**

The mobile app is fairly simple to capture images and assign to expenses once you figure out the interface, which is not completely intuitive - it overcomes a lot of the headaches with the web based version.

**What do you dislike about Webexpenses?**

The user experience is not what it could be.  On laptop/web view, when you enter an expense, and want to add receipts, it essentially closes the line item and then drops you in another section of the software where the receipts are.  If you've already uploaded a pile of receipts, sometimes it finds them, but often it doesn't - and there is no easy way to just pick from that list without having to exit the expense line item you're working on.  So this workflow really doesn't work at all.  It seems you can only make this kind of work by uploading receipts - and then from that receipt, enter information and add it to the report.  But this too requires on every receipt, going back over to the line-by-line report - only to then have to go back to the receipt pile to make the next entry.  It's just badly designed and should not be split up like this.  Dates are also poorly handled - the system cannot figure out how to manage European vs. US dates very well, leading to constant updating of auto-imported content.  Recently I also had every expense default to AUD instead of USD - which could be a very costly error given the difference in exchange rate.  I couldn't find any way to fix this.  On the mobile, once you understand the unlabeled interface and just go from the "+" it's generally efficient if you just photo or upload receipts direct from your phone one at a time and then fill in all of the information around them.

It replaced paper excel sheets that were far more difficult - but it's got a long way to go to be something that is truly a good tool.

**What do you like best about Webexpenses?**

I like that Webexpenses is digital and allows us to run the expense process without the need to send paper back and forth. It really bridges geographies for me; my team members are based in the UK while I am in France. They can send over their expenses, and I can review and approve them almost instantly. The setup was also very easy because it's web-based.

**What do you dislike about Webexpenses?**

The user interface feels a bit dated and simplistic. It's really difficult to see the attachments or receipts that team members attach to expense items. I have to hover over the expense item and read the text in a small window, which isn't practical. SAP Concur is better because it feels more modern and lets me open all receipts in a separate window, making it easier to check against entries. Additionally, Webexpenses seems clunky and not as practical as other software out there.

**What problems is Webexpenses solving and how is that benefiting you?**

I use Webexpenses to approve expenses for my UK-based team, replacing a paper process. It allows us to manage expenses without sending paper back and forth and bridges geography, as my team is in the UK and I'm in France.

I really appreciate how Webexpenses integrates directly with Sage, our accounting platform. This integration means the data is automatically filed in the appropriate cost codes, which significantly reduces the time needed to keep our accounts up to date.

**What do you dislike about Webexpenses?**

The app is terrible, and the user interface on the web portals is also slow, ugly and hard to use. The workflow on submitting expenses is highly laborious, requiring about 15 clicks to submit each item.

Webexpenses integrates directly with Sage, automatically filing data into the correct cost codes, reducing the time needed to keep our accounts up to date.

I find Webexpenses easy to use, which saves me time. I like that I can submit a duplicate of the same expense and edit the fields I need to, which is really convenient. The initial setup was very easy, and Webexpenses provides more detail which is probably useful for the company.

It's a bit clunky, and you have to upload images to specific line items, which takes too much time.

It requires a lot of manual input. A lot of the information could just be inferred from the receipt. I have to click buttons and drop downs. You could scan the receipt and do all that for me.

**What do you like best about Webexpenses?**

Overall, the system works, but the wording and layout currently make relatively simple tasks (like mileage and attaching receipts) harder and more stressful than they need to be.

**What do you dislike about Webexpenses?**

I find Webexpenses quite confusing to use, particularly around mileage and receipts. A few specific issues:

	•	Mileage map modal: When adding mileage, the map opens in a full-screen modal and the close button is off-screen at the bottom right. On a laptop it’s very easy to get “stuck” on this screen and it’s not obvious how to exit. The modal should either resize correctly or have a clearly visible close control.
	•	“Receipt required” on mileage: Our mileage is calculated per mile with no receipt involved, yet the system still flags the line as “receipt required for this transaction”. This seems to be a generic message for that category, but it’s misleading and makes users think they’ve done something wrong.
	•	Adding receipts/images to claim items: Logically, “Add Receipts” feels like the place to upload an image against a claim line. However, even on a miscellaneous claim item, trying to add an image brings up wording along the lines of “change the nature of the claim?”, which is confusing and makes it feel like you’re breaking the entry rather than simply attaching a receipt.
	•	General layout: The split left/right layout (list on one side, detail on the other) feels cramped and unintuitive. It would be clearer to treat each item separately, with a clean, simple screen for editing one claim line at a time, and obvious buttons for “attach receipt”, “add mileage”, etc.

Filename of photos clearly shows a lack of customer focus or knowledge of use of the software

Allowing a more efficient expenses submission.  

But it provides a easier way to capture expenses, but the use case was not really considered when designing the software.  There is an impoprtant difference when developing software to capture requirements, use cases, and document the behaviour so that you can share with the stakeholders the user journey and show how the efficiency is realized.

- The account managers take AGES to respond
- One of the issues we are having currently, they can't resolve it and said we have given you a "workaround" - we are paying for full functionality and not workaround and the workaround they have given us increases the risk of duplicate payments and in no condition will we accept it.

**What do you like best about Webexpenses?**

Being able to picture receipts and then not worry about keeping them. The credit card reconciliation feature is nice in principle but fairly clunky in execution.

**What do you dislike about Webexpenses?**

The system is fairly slow, and having to be online in order to do anything is a real pain. A great time for me to do menial tasks like my expenses is when I'm on a flight for an hour, and I can't because I need to be online to do so etc.

As an approver, it is a much more streamlined process than our old one. Reduced paper is also nice.

Ease of having the mobile application on hand to instantly capture receipts saving you the hassle of bulk uploading receipts at a later date. The flow is great and the visuals nice too.

**What do you dislike about Webexpenses?**

The application can glitch sometimes aqnd when using the mobile app you can reguarly get red alerts stating an issue with the exchange rate if used outside of your home country. You have to go into the website on a browser to fix.

Its great to use on the go and allows me to keep track of my expenses so I dont forget about my reimbursements.

**What do you like best about Webexpenses?**

I like the fact that we can claim expenses online, in a secure environment. I like that they incorporated a new feature that allows us to upload receipts and have them automatically parsed, where the information can be extracted automatically.  For me, it's a good way to keep track of my previous expenses.

**What do you dislike about Webexpenses?**

I don't like that it's slow and crashes a lot. Even with the super-fast internet on campus, this website feels to heavy and always gives the impression that you'll lose all the information you entered as it crashes quite often, with a message that says something went wrong.

**What problems is Webexpenses solving and how is that benefiting you?**

It's solving the obvious problem of avoiding doing that by hand by filling out expenses forms and attaching receipts to them. It also saves us from manually calculating and adding up amounts as well as the relief from manually doing the currency conversion.

We don't often face app or system crashes, however, a possible fix for this could be clearing your cache. 

1. For the App: Click 'More' at the bottom, then settings, then clear cache and confirm. Following this, please also click 'get latest company data' and confirm.

2. For Google Chrome: 
On your computer, open Chrome. 
At the top right, click More. 
Click More tools. Clear browsing data.
At the top, choose a time range. To delete everything, select All time.
Next to "Cookies and other site data" and "Cached images and files," check the boxes.
Click Clear data.

Buggy, often crashes. No offline support. Can't change exchange rate in the app. Takes a long time to do things in the app some times.

It sort of helps with expenses, but it's a pain sometimes. Expensify has some good feature webexpenses could look to incorporate in to their platform.

**What do you like best about Webexpenses?**

Pairing of credit card transactions and the provision of a phone app.

**What do you dislike about Webexpenses?**

Very glitchy/buggy interface with dead ends and frequent app crashes.

**What problems is Webexpenses solving and how is that benefiting you?**

Digitally completing my expenses - much less burdensome being able to photograph a receipt immediately after incurring an expense and forget about it, than having to save until the end of the month in a file.
