Signature 365 has been an absolute time-saver, especially now during our brand refresh. We’re launching a new logo, and previously, staff had to manually copy-paste their email signatures from Word - which was inconsistent and time-consuming. With Signature 365, I can instantly deploy the new email signature (with updated branding and logo) to all users across the organisation. It ensures brand consistency, saves hours of admin, and gives us peace of mind that everyone’s signature is always up-to-date and professional. There’s very little to dislike, but if I had to mention something, I’d say the initial setup requires some technical understanding of Azure and Office 365 permissions. We do not have an in-house IT team so I had to take some time to get it working! However, once it's up and running, it works seamlessly. Review collected by and hosted on G2.com. To summarise: Manual signature updates across staff Staff were copying and pasting signatures from Word - leading to inconsistent formatting, missing logos, and outdated designs. It was time-consuming for you to manage and frustrating for staff to update. Brand inconsistency Without a centralised system, email signatures varied across teams - especially during brand changes like your new logo launch. There was a risk of incorrect or outdated branding being used externally. Lack of central control There was no easy way to enforce company-wide signature updates — updating hundreds of users individually wasn’t scalable or reliable. Non-technical users struggle Many employees weren’t comfortable editing HTML signatures or navigating Outlook settings — mistakes like wrong contact info or distorted logos were common. It's great to hear the AD and Azure integration made setup straightforward, and that the campaign feature has been a good fit for your internal and promotional communications. On the add-in deployment delay on Classic Outlook; this is unfortunately a Microsoft-side behaviour, as the deployment is handled entirely through the Microsoft 365 Admin Centre and propagation timing is outside our control. One tip that can help is deploying the add-in to all users before rules are created, as the add-in won't interact with Outlook until a matching rule exists. This allows it to propagate in the background ahead of time, so there's no noticeable delay when signatures go live. Thanks again for sharing your experience. Coming from the Symprex Email Signature Manager software, they make it extremely easy to migrate to Signature 365. Their migration tool takes care of most of the work for you, including rules and deployment options, which are all migrated in the process. The Outlook add-in's deployment relies on the Microsoft Admin Center rather than being out of band. The support team was ready to assist quickly with any issues. For those supporting Outlook Classic, an agent is required to support that client, or you have to send mail through Symprex servers to put the signature in place; this isn't ideal. Signature 365 lets us quickly deploy professional looking standardized email signatures to our entire company in minutes. Signature builder is very easy to work with. If you have a user that needs something special in their signature, it's easy to make an exception for them vs the group. Very easy to customize. Works great with Outlook desktop and web versions. There is a 5-10 second delay in Outlook on the Web between clicking the button to compose a new email, and the signature appearing in the body. The screen will flicker a few times during this time period and if you are trying to type recipients or a subject into the email, you will be interrupted. Signature 365 is an excellent piece of software! As a System Administrator my priorities were ease of integration, reliability of service, and easy to use for non-IT staff. Signature 365 is incredibly easy to setup with on-prem AD sync or cloud. We have been customers for years and I've never had a service outage or needed to contact support. Updating signatures can be done by visual editor or code so everyone in the team is happy. Once setup, management of users and group deployments is also simple. I love the ability to assign multiple signatures to team members (especially during marketing campaigns) and make rapid changes that reflect instantly when they send new emails. The quick reload times are incredible for correcting mistakes! Signature 365 is also far more cost effective than the major competitors in my region. I don't see us ever changing providers. The root cause was a staff member copy/pasting HTML from a Word template, however I had to switch to code view and click save a couple times for Signature 365 to accept it and save.
